Bulk loan boxes – Files

Items in a bulk loan could be saved to a file and issued or returned together. Items can also be returned and tracked individually.

Set up your file

Using a where search

  1. In Amlib navigate to Main > Stockitems > StockitemWhere.
  2. Create a where statement for your Items – for example the following will items on horses that are in the Adult Fiction collection. Your Where statement will be based on the items you want to bulk loan.
  3. Select F7 QtoFile.
  4. Select F1 New to create a file and enter a file name.
  5. Then choose F3 Save and F9 Select.
  6. A dialogue box will advise how many items are in the file.

Wand into file

An alternative method of creating a file (of Stockitems) would be to wand the physical items into a file.

  1. In Amlib navigate to Main > Stockitem > Stockitem.
  2. Select File > WandIntoFile.
  3. F4 Select.
  4. Select F1 New and give the file a name.
  5. F3 Save then F4 Select.
  6. Wand the items to be included in the bulk loan and when finished close the window.

Issue the file of items

  1. Navigate to Main > Circulation > Issues.
  2. Wand the borrower barcode or use the F4 Bor? button to search for the borrower.
  3. Select Borrower > Borrower IssueFromFile.
  4. Highlight the file to be issued and F4 Select - the file will then be issued to the patron.
  5. Any exceptions will pop up and need to be acknowledged.
  6. A confirmation message will appear, select OK.

Returning the items

Individual returns

  1. Items may be scanned individually in returns.
  2. A memo will display, indicating that the item scanned belongs to a file.
  3. Close the memo screen to continue.
  4. The returns screen will display all the items in the file, but due dates will show for the items still on loan and the returned item will have a cross in the left column.
  5. Once all items are returned, they will all be displayed with crosses next to them.

Bulk returns

If the contents of the box are all present, then all items can be checked in via the file used to issue the items previously.

  1. Navigate to Main > Circulation > Returns.
  2. Select Borrower Borrower ReturnFromFile.
  3. Highlight the file to be returned and F9 Select.
  4. The items will be returned, and each item will display a memo advising that it is part of a file.
  5. Once all items in the file have been returned a confirmation message will display, select OK.

Clearing the file

Once the box is returned, you may want to clear the file and the memos.

Clear selected items from the file

  1. Navigate to Main > StockItems > Stockitem.
  2. Select File > Display File.
  3. Highlight the file from the list and F9 Select.
  4. Select the items you want to remove form the file by holding down the Ctrl key and clicking on individual records.
  5. Select File > RemoveMarkedFromFile.
  6. A message will appear to show how many items are remaining in the file.

Clear all items from the file

  1. Navigate to Main > StockItems > Stockitem.
  2. Select File > Display File.
  3. Highlight the file and F9 Select.
  4. Choose File > RemoveAllFromFile.
  5. A confirmation message will display, select OK.

Renaming the file

If you have included a topic or contents description in the file name, or a Box number needs changing you may want to rename your file.

  1. Navigate to Main > Stockitems > Stockitem.
  2. Select File > Display File.
  3. Click in the Details section for your chosen file to delete or change the text.
  4. Select F3 Save
