Field definition and scope

This field contains 32 character positions (00-31). Some of the codes relate to coded values in Z39.71. Others are potentially useful for retrieval and data management purposes.

The data elements are positionally defined. Each defined character position must contain either a defined code or a fill character ( | ). The fill character is used when no attempt is made to supply a defined code for a specific character position. A fill character is valid only in the following positions: 06, 07, 08-11, 12, 13-15, and 16.

Guidelines for applying content designations

Character positions

00-05 Date entered on file

This represents the date the local holdings record was input into WorldCat. The current date is system supplied in the format yymmdd (yy for the year, mm for the month, and dd for the day). The date entered on file in 008/00-05 is never changed.

06 Receipt, acquisition, or access status

0 - Unknown

Code 0 indicates that the receipt or acquisition status is unknown.

1 - Other receipt or acquisition status

Code 1 indicates a receipt or acquisition status for which none of the other defined codes is appropriate.

2 - Received and complete or ceased

Code 2 indicates that all parts of a multipart (Leader/06, Type of record, code v) or serial (Leader/06, Type of record, code y) item have been published or that the publication is no longer issued (has ceased publication). Code 2 is used for single-part items (Leader/06, Type of record, code x).

3 - On order

Code 3 indicates that an order has been placed for the current and/or continuing parts of a multipart or serial item, but that nothing has been received. This definition excludes parts received under retrospective acquisition efforts. This code is also used with single-part items.

4 - Currently received

Code 4 indicates that parts of the item are routinely received. This code is used for serial items and for multipart items for which updates are being received.

5 - Not currently received

Code 5 indicates that the reporting organization has holdings of the multipart or serial item but neither currently receives nor intends to acquire the item. This code is used for multipart items and serial items for which updates are no longer received.

6 - External access

Code 6 indicates online content accessed via a third-party platform, e.g., through a publisher’s website, content provider, etc.

07 Method of acquisition

A one-character alphabetic code indicates how the reporting organization acquires the bibliographic item.

c - Cooperative or consortial purchase

Code c indicates that the item is acquired through a cooperative purchase and the library has expended its own funds.

d - Deposit

Code d indicates that the item is acquired through a deposit program. This code can be used as a generic code for any form of deposit program. Code l may be used if there is a need to separately identify legal deposits.

e - Exchange

Code e indicates that the item is acquired through an exchange program.

f - Free

Code f indicates that the item is acquired without cost.

g - Gift

Code g indicates that the item is acquired as a gift.

l - Legal deposit

Acquired through a legal deposit program established by law. If a distinction between types of deposit programs is not necessary, code d can be used as a generic code for any form of deposit.

m - Membership

Code m indicates that the item is acquired as a part of an organizational membership.

n - Non-library purchase

Code n indicates that the item is acquired on behalf of the library by an external agency and the library has not expended its own funds.

p - Purchase

Code p indicates that the item is acquired through purchase.

q - Lease

Code q indicates that the item is acquired through a lease.

u - Unknown

Code u indicates that the method of acquisition is unknown.

z - Other method of acquisition

Code z indicates a method of acquisition for which none of the other defined codes is appropriate.

08-11 Expected acquisition end date

Four characters indicate an intent to cancel, the effective date of a cancellation, or the date of the last expected part of a multipart (Leader/06, Type of record, code v) or serial item (Leader/06, Type of record, code y) that is received on a continuing basis by the reporting organization. A date is recorded as four numeric characters in the pattern yymm (2 for the year and 2 for the month).

<yymm> - Date of cancellation or last expected part

The effective date of either the cancellation of a multipart or serial item or the actual date of the last expected part. The volume or issue designation for the last expected part may be recorded in subfield ‡z (Public note) of field 852 (Location).

uuuu - Intent to cancel; effective date not known

Code u in each character position indicates that the reporting organization intends to cancel its receipt of the multipart or serial item but that the effective date of the cancellation is unknown.

blankblankblankblank - No intent to cancel or not applicable

Code blank in each character position indicates either that the reporting organization does not intend to cancel its receipt of the multipart or serial item or that the information is not applicable to the item (the title has ceased, been superseded or the title is not a serial).

12 General retention policy

A one-character numeric code indicates the reporting organization's general retention policy for the bibliographic item. The organization's retention policy for specific parts or editions or for a limited time is contained in field 008/13-15 (Specific retention policy) when the General retention policy (008/12) contains code 6 (Retained for a limited period).

0 - Unknown

Code 0 indicates that the general retention policy is unknown.

1 - Other general retention policy

Code 1 indicates that the general retention policy is one for which none of the other defined codes is appropriate.

2 - Retained except as replaced by updates

Code 2 indicates that all parts of the item are retained until they are replaced by updates.

3 - Sample issue retained

Code 3 indicates that only a sample issue of the item is retained.

4 - Retained until replaced by microform

Code 4 indicates that all parts of the item are retained until they are replaced by microform.

5 - Retained until replaced by cumulation, replacement volume, or revision

Code 5 indicates that all parts of the item are retained until they are replaced by a cumulation, replacement volume, or revision.

6 - Retained for a limited period

Code 6 indicates that parts of an item are retained for a period of time or that only parts or editions of the item are retained. The specific time or parts may be recorded in 008/13-15 (Specific retention policy). Field 008/16 (Completeness) contains code 0 (Other).

7 - Not retained

Code 7 indicates that no part of the item is retained.

8 - Permanently retained

Code 8 indicates that all parts of serial item are permanently retained. This code is also used for multipart or single-part items that are normally permanently retained.

13-15 Specific retention policy

Three character positions indicate the specific parts of the bibliographic item that are retained for a limited time by the reporting organization, when field 008/12 (General retention policy) contains code 6 (Retained for a limited period).

A blank (blank) is used in each 008/13-15 character position when no specific retention policy is recorded.

13 Qualifier type

A one-character code indicates the type of specific retention policy.

l - Latest

Code l in 008/13 indicates that the latest, including the current, time or part unit is retained.

14 Number of units

A one-character numeric code indicates the number of time or part units used to specify the specific retention policy.

1-9 - Number of units

008/14 contains a one-character number (1-9) that specifies the number of time units or parts that are retained. If the number exceeds 9, this information may be contained in subfield ‡x (Nonpublic note) or ‡z (Public note) of an 852 (Location) or 863-868 Holdings Data field.

When Policy type is Latest (code l), the number includes the current time or part unit. When Policy type is Previous (code p), the number does not include the current time or part unit.

15 Unit type

A one-character, lowercase alphabetic code describes either the period of retention or the part that is retained.

16 Completeness

A one-character numeric code indicates an estimation of how much of the published multipart (Leader/06, Type of record, code v) or serial item (Leader/06, Type of record, code y) is held by the reporting organization. Percentages associated with values 1, 2, and 3 are for general guidance and are not prescriptive. They may be determined locally.

0 - Other

Code 0 indicates either that parts of the item are retained for a limited period (008/12, General retention policy, code 6) or that no estimate of the completeness of the holdings is made.

1 - Complete

Code 1 indicates that the organization holds about 95-100% of the parts of the item.

2 - Incomplete

Code 2 indicates that the organization holdings are incomplete (about 50-94% held).

3 - Scattered

Code 3 indicates that the organization holds only scattered parts of the item (less than 50%).

4 - Not applicable

Code 4 indicates that the holdings statement is for a single-part item (Leader/06, Type of record, code x).

17-19 Number of copies reported

Three numeric characters, 001, are system supplied to indicate that a single copy of the bibliographic item is represented by each local holdings record. The number is right justified and each unused position contains a zero.

20 Lending policy

A one-character alphabetic code indicates the reporting organization's external lending policy for the bibliographic item. More specific information about the lending policy may be contained in field 845 (Terms Governing Use and Reproduction Note).

a - Will lend

Code a indicates that the organization will lend the bibliographic item in accordance with any restriction in its general lending policy.

b - Will not lend

Code b indicates that the organization will not lend the bibliographic item.

c - Will lend hard copy only

Code c indicates that the organization will lend only a hard copy of the bibliographic item.

l - Limited lending policy

Code l indicates that the organization maintains a limited lending policy of the bibliographic item. More specific information about the lending policy may be contained in field 845 (Terms Governing Use and Reproduction Note).

u - Unknown

Code u indicates that the lending policy of the organization is not known.

21 Reproduction policy

A one-character alphabetic code indicates the reporting organization's reproduction policy for the bibliographic item. More specific information about the reproduction policy may be contained in field 845 (Terms Governing Use and Reproduction Note).

a - Will reproduce

Code a indicates that the organization will make a reproduction of the bibliographic item in accordance with any restrictions in its general reproduction policy.

b - Will not reproduce

Code b indicates that the organization will not make a reproduction of the bibliographic item.

u - Unknown

Code u indicates that the reproduction policy of the reporting organization is not known.

22-24 Language

A three-character MARC code indicates the language of coded data contained in the 863-865 Enumeration and Chronology fields. The source of the code is MARC Code List for Languages that is maintained by the Library of Congress. There are two special codes:

blankblankblank - Blanks

Code blankblankblank indicates that the holdings statement contains no coded chronological data or ordinal numbers.

und - Undetermined

Code und indicates that the language of the coded chronological data or ordinal numbers in the holdings statement cannot be determined.

25 Separate copy report

0 - Separate copy report

Code 0 is system supplied to indicate that the holdings report is for one copy of the bibliographic item. If more copies are held by the organization, a separate local holdings record is made for each copy.

26-31 Date of report

The current date is system supplied in the format yymmdd (yy for the year, mm for the month, and dd for the day) when a new local holdings record is input in WorldCat. The Date of report (008/26-31) is changed each time an existing local holdings record is replaced.
