WorldShare Acquisitions Release Notes, May 2022

Introduction

This release of WorldShare Acquisitions provides two new features and enhancements. These features will help you manage more complex workflows, including:

  • Improving matching of incoming MARC order records by prioritizing items with the most holdings
  • Import quantity less than quantity ordered when importing EDIFACT invoice items

Many of these enhancements are the direct result of your feedback.

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution.

New features and enhancements

Improving matching of incoming MARC order records by prioritizing number of holdings

When you import order data using the MARC order import process, we use up to two levels of "matching" to find the correct WorldCat record. We have enhanced the second level of matching by prioritizing records with the greater number of holdings in WorldCat. Previously, matching did not take into account the number of holdings a record had when choosing the best record. Now, for the secondary matching process, it does take this into account, picking the record with the most holdings if possible.  

Importing less than quantity ordered when importing EDIFACT invoices

When you import an EDIFACT invoice, you can now import an item with a quantity less than quantity ordered. Previously, you could only import the exact quantity ordered as the quantity of an invoice item. Now, you can import an invoice item with a quantity less than the quantity ordered, as long as the copies are not invoiced yet. This allows you to invoice only some of the copies ordered.
