Users domain
In the Users domain, you can search for user records and use them in day-to-day processes (issuing books, placing reservations, etc.) or modify them as needed.
When a user search is launched, there are several search options available in the Other Searches box:

Users by Surname/Forename/InitiaIs | A normalised search. Normalisation ensures that common word endings and minor spelling differences are accounted for, e.g. a Surname search for David will also retrieve Davidson. |

Users by email ID | Search by email address. |
Current User Details | Displays your own user record (the one currently logged in). |

User Search by Secondary Code | Search on user's Secondary Code field such as student ID. |
Users by Surname/Forename/InitiaIs (Excl. Banned Users) | Excludes users with the Ban flag set to Yes. |
User Barcode Range |
Enables you to enter Barcode from and Barcode to. This is an alphanumeric search; the sort order is (space) ! " # $ % & ' ( ) * + , - . / 0-9 : ; < = > ? @ A-Z [ \ ] ^ _ ` { | } ~ (diacritics, £, €, ...)Note that the hitlist default sort order is primarily Surname... Forename... Barcode. You can change to sort by Barcode sort order if you remove the Surname and Forename sort. |
All Users And Groups | Search records from both the Users and User Groups domains. |
Logged in users | Allows system administrators to view which users are currently logged in to OLIB Web; the administrator can also carry out basic messaging from here. |
Library Staff Users | Users records where the WorldView Level in the User Category record is set to Catalogue and Modify or above. |
User details
The full details of the user record are available to the member of library staff to use or edit as required. Click the Name link to display full user details.
Actions to select
- Click the Select box to choose an individual user record to perform an action.
- Click the drop down on the Other Actions box.
- When you choose the action, OLIB displays the relevant choices .

Apply subscription charge | Add predefined subscription amount. |
Copy user category settings | Copy settings from this user category to a new user record. |
Export | Export user details using various export types. |
Remove User from all circulation lists | Remove user record from all serials circulation lists. |
Renew all copies on loan | Attempt to renew all user's current loans. |
Renew selected copies | Attempt to renew specific loans. |
Reset password | Send an email for the user to change their password. |
Transfer loans and archive | Loads the Circ. Desk to transfer loans and archive user. |
Issues/returns domain
When working at the Issue Desk, it is likely that you need the user record directly from the Issues/Returns screen.
- Click on the User function on the Issues/Returns screen.
This takes you to the Users domain for viewing / editing as required. When you go back to the issues/returns screen, the user details are carried back
Filtered searches
A filtered search allows you to further refine your search by specific criteria. Click the Refine Search link to access these. For example:
- Go to Searches> Users.
- Click Refine Search on the right of the search box.
- In Refine Search choose the field you would like to filter by, e.g. Banned.
- For this type of filter you choose One of = Yes. OLIB will list Users who have the Banned flag set to Yes.
The following refinements in the Users domain are noteworthy:

Email Address | For example search on whether or not the user has an email address by using the Accept Null? check box |
Department or Course | In the Refine Search window select Department or Course under Linked Domains and under General Fields select Department or Course. OLIB displays the values you can choose from and refines the search. Alternatively, checking the Accept Null? box allows you to find users who do not have a Course / Department. |
Address Type | In the Refine Search window select Addresses under Linked Domains and under General Fields select Address Type. OLIB displays the values you can choose from and refines the search. Alternatively, checking the Accept Null? box allows you to find users who do not have an address. |
Update Audit Trail | For example "Change Made By". This is a search on User records that have been updated. You select to search the member of staff who has done the updates. The list of names is restricted to only staff users (Privilege Level 6 upwards) who have made at least one change to a User record. (A User's edit to their own record in the OPAC would not be included). |
User Group | Click in Linked domains to find this. This filter enables searches to be restricted to users who are direct members of the user groups you select. |
Traps | Click in Linked domains to find this. Used to refine a user search by standard borrower trap message. |
Update audit trail | Click in Linked domains to find this. User records can be searched by values in the Users Audit Trail. |
Sort the results
The hit list has a default sort order. You can change this and when you next exit the domain, OLIB restores the default sort order.
To change the default sort:
- At the foot of the page click the minus symbol to remove a current sort option.
- Click Add More to choose an alternative from Refinements.
- In the Sorting Criteria window, choose a different value. OLIB re-displays the search page containing your new sort criteria.
Note: Seccode is included in the list of fields you can select and sort with.
