Search for users
Learn how to search for user accounts using search indexes to limit your search, a Patron Personal Identifier (PPID), or an authorization role in the Admin module.
You have three ways to locate user records in the WorldShare Admin. You can search indexes to limit your search, search by the Patron Personal Identifier (PPID) or search by a user's role.
To access the search feature:
- Click the Admin tab.
- On the left navigation, click User Management to open the search feature.
- Select one of the following methods to search for a user record.
Limit search to
- On the left navigation, under User Management, select an index from the Limit search to list.
- Enter your search terms. You must enter at least two characters for the search to return results.
- Click Search or press <Enter>.
- From the search results, click a user name to open the record.

Name, ID, Email |
Search terms entered for this index return results based on the following:
- Name: Last name, First name, Middle name, or preferred name
- ID: Barcode, User ID at Source, ILL Identifier, or PPID
- Email Address: Email address located in the Library Record area of the Basic User Data accordion for the user
Values searched upon for the name and email address in the Name, ID, Email index may generate slightly different results than the individual Name and Email index.

Search all institutions in your group

Note: This option is only available if you are part of a WMS group.
Deselect the check box to search for users from your institution. When the check box is selected, users across all institutions in your group will be shown.
You cannot edit users that are not from your institution.

Search by PPID
The Patron Personal Identifier (PPID) is a unique ID created to identify user records within the WMS Admin database. Both regular WMS accounts and third-party authentication accounts are assigned a PPID when the user record is created. This field is often searched to identify records that appear in patron load exception reports.
Search by PPID is designed with a type-ahead feature for Admin users who are searching for a specific Patron Personal Identifier (PPID). As you type, a drop-down list appears with matching IDs.
To perform a PPID search:
- Begin typing the PPID number in the PPID search box.
- Select a PPID from the drop-down.
- The user record displays.
Search users by role
You can search by role to retrieve a list of users who have a specific authorization role. For example, you can search for staff members at your library who have the STUDENT_WORKER role.
- From the Search by Role list, select a role.
- Click Search or press <Enter>.
- From the search results, click a user name to open the record.

Note: the Everyone role is not searchable.
List of all users
To receive a list of all users:
Download the weekly Full Patron report via SFTP. In addition, a Patron Information Detail Report is available in the Analytics module.
Search for expired user accounts
To search for expired user accounts:
Limit search to Universal Expiration Date. A search is initiated by either selecting the desired value using the calendar option or entering a specific value. The From date will default to the current date.
