Cancel or terminate a request

Learn how to cancel or terminate a request in UnityUK.

There are 2 different scenarios where you might need to Cancel a request:

  • To cancel the request with the current lending location and move onto the next location in the rota – use the Cancel action
  • To completely cancel the request – take the Terminate Request action

Cancel the request with the current lending location and move onto the next location in the rota

Cancel action in item request

Enter any notes in the Notes fields and click Cancel to save the changes.

(Up to 2000 characters are available for Notes, the system truncates any further characters).

If the lending library is a UnityUK responder, the request will move from a status of Pending to one of Cancel Pending, waiting for the lending library to acknowledge the cancellation. If the lending library is not a UnityUK responder, the request will be cancelled with that lender immediately and either move to the next location in the rota or update to a status of Cancelled if there are no more locations in the rota.

If the lending library is a UnityUK responder and agrees to the cancelations, the request will move on to the next location in the rota and become Pending. If there are no more locations on the rota the request’s status will become Cancelled.

Completely cancel a request

The Terminate Request action should be used if you wish to cancel a pending request with all remaining responder locations in the rota.

You may retrieve the item from the ILL request search, or from the Pending section of the Borrower Work Queue.

When you choose the Terminate Request action, you can add a Private Note.

If the current responder library is a UnityUK responder, the request will move from a status of Pending to one of Cancel Pending, waiting for the lending library to acknowledge the cancellation. If the responding library is not a UnityUK responder, the request will be cancelled immediately and any further lending locations in the rota will be automatically removed.

When the Lending library uses UnityUK, the status of the request becomes Cancel Pending until the responder agrees to cancellation, after which the request’s status will change to Cancelled and it will move to the End of Rota work queue status.

Add Private Note action in item request

When the Lending library does not use UnityUK, the status of the request automatically becomes Cancelled and it will move to the End of Rota work queue status.

The request can now be Completed to remove it from the Borrower Work Queue.

Cancel Now

We have added a new variant of the “Cancel” action for use with full subscriber and email responder requests called “Cancel Now”.

As described above the standard “Cancel” action asks the lender to agree to a cancellation - and does not actually cancel the request unless the Lender responds with a Cancel-Reply=Yes.

The new “Cancel Now” action simply cancels the current transaction immediately without asking for agreement from the lender and automatically moves the request on to the next lender in the rota or to end of rota.

 Caution: Taking the Cancel Now action should be a last resort only. Please follow the usual workflow of Cancel or Terminate request (as described above). If the request gets stuck at Cancel Pending and attempts to prompt the Lender to take the Cancel-Reply=Yes have failed, you should then take the Cancel now action.

We have added a new work queue entry called ‘Cancelled by Borrower (unread)’ so that Lender is aware that a ‘Cancel Now’ action has been taken. These will stay in this work queue until they been Marked as read.
