Move a LHR to a different WorldCat record

Discover how to move a local holdings record to a different bibliographic record in WorldShare Record Manager.

Overview

You can move up to 100 local holdings records to:

  • Upgrade an item on a brief record to a fuller record.
  • Move a LHR to a record with the correct edition or format.
  • Correct a matching issue that occurred in data processing.

 Note:

  • A bibliographic record may contain a maximum of 10,000 local holdings records.
  • When you move a local holdings record from one bibliographic record to another, your holding on the item is retained unless:
    • It is the last local holdings record in the bibliographic record
      AND
    • You enable the Associated WorldCat Holding(s) or Associated WorldCat Holding(s) and LBD(s) checkbox when moving the local holdings record.

Move local holdings records to a different bibliographic record from a bibliographic record

You can move one or more local holdings records from one bibliographic record to another bibliographic record.

  1. From the bibliographic record, scroll down to the LHRs accordion and select the local holdings record(s) you want to move.
  2. From the Move LHRs drop-down menu, select Move Selected.
  3. (Optional). Select Move All to move all associated LHRs.
     Note: If the bibliographic record contains more than 100 LHRs, Move All is disabled.
  4. From the Move LHR(s) to Different Bibliographic Record dialog, you have two options:
    1. Enter the OCLC control number for the target bibliographic record in the Bibliographic Record text field
      Or
    2. Click Find and Select Record to search for the target record.
      • Select a scope from the Scope drop-down list.
      • Select an index from the Index drop-down list. 
      • Enter your search term(s) in the Term(s) search box.
      • Click Search.
      • Locate the target bibliographic record in the search results and then click Select Record. The Move LHR(s) to Different Bibliographic Record dialog reappears with an OCLC control number in the Bibliographic Record text field.
         Note: To see detailed information about the OCLC control number entered in the Bibliographic Record text field, place the cursor over the information icon (Information icon) in the Move LHR(s) to Different Bibliographic Record dialog.
  5. Select a method for handling any associated local bibliographic data records from the Associated LBD(s) drop-down list.
    • Delete LBD(s) only when last LHR is moved
    • Do not move or delete LBD(s)
    • Move LBD(s) with LHR(s) to different bibliographic record (Default)
  6. Select whether you want to automatically delete Associated WorldCat Holding(s) when the last LHR is moved from the bibliographic record.

     Note: WorldShare Management Services libraries will receive a warning message that moving the LHR can result in a change to the record's holding audience level.

  7. Click Move. When the record(s) has moved successfully, you will receive a confirmation message and link to the bibliographic record to which the LHR(s) were moved.

    You will receive an error message if:
    • You try to move more than 100 records via manual selection.
    • You try to move a LHR you are currently editing.

Move local holdings records to a different bibliographic record from the search results lists

You can move one or more local holdings records from the local holdings record search results list. Local holdings records that are on multiple bibliographic records can be moved to one bibliographic record from the search results list.

  1. From the local holdings record search results list, select the local holdings record(s) you want to move.
  2. From the Actions drop-down menu, select Move to Different Bibliographic Record....
  3. From the Move LHR(s) to Different Bibliographic Record dialog, you have two options:
    1. Enter the OCLC control number for the target bibliographic record in the Bibliographic Record text field
      Or
    2. Click Find and Select Record to search for the target record.
      • Select a scope from the Scope drop-down list.
      • Select an index from the Index drop-down list. 
      • Enter your search term(s) in the Term(s) search box.
      • Click Search.
      • Locate the target bibliographic record in the search results and then click Select Record. The Move LHR(s) to Different Bibliographic Record dialog reappears with an OCLC control number in the Bibliographic Record text field.
         Note: To see detailed information about the OCLC control number entered in the Bibliographic Record text field, place the cursor over the information icon (Information icon) in the Move LHR(s) to Different Bibliographic Record dialog.
  4. Select whether you want to automatically delete Associated WorldCat Holding(s) and LBD(s) when the last LHR is moved from the bibliographic record.

     Note: WorldShare Management Services libraries will receive a warning message that moving the LHR can result in a change to the record's holding audience level.

  5. Click Move. When the record(s) has moved successfully, you will receive a confirmation message and link to the bibliographic record to which the LHR(s) were moved.
