How do I batch export records from a list of OCLC numbers using Connexion client?

You'll need a .txt file of OCLC numbers (OCNs) for the records you want to export. To avoid timeouts, OCLC recommends processing no more than 2,500 OCLC numbers at a time.

Make sure the following settings are configured first:

  • Tools > Options > Authorizations
    Enter your authorization number and password here if they aren't already entered and click OK to save.
     
  • Tools > Options > Batch
    Check the box for Bibliographic Record Export and check the box for Display batch reports automatically. Click OK to save.
     
  • Tools > Options > Export
    Make sure you have an export destination set up. It should be highlighted in the list. If you don't have one set up, see Create export destinations.

Once the steps above are complete, you can move on to batch search process below, which will add the OCNs from your .txt file to your local save file in Connexion:

  1. In the menu bar, go to Batch > Enter Bibliographic Search Keys.
  2. In the Enter Bibliographic Search Keys dialog box, make sure your local save file is selected in the dropdown and choose OCLC Number (no:) from the Use default index dropdown.
  3. Click Import and browse to choose the text file of OCNs you created.
  4. A window will pop up asking if you want to delete your original import file. Click No. Then the OCNs populate.
  5. Click Save.
  6. Click Close.
  7. In the menu bar, choose Batch > Process Batch.
  8. In the Process Batch dialog box, check the box for your local file path and check the box for Online Searches.
  9. Click OK. The batch will take a few minutes to process because of the number of records.
  10. Then you'll see the Batch Search Report and it should say that you had successful searches.

Next, do the batch export process below:

  1. In the menu bar, go to Cataloging > Search > Local Save File.
  2. Press the Enter key to open the local save file without searching for anything. Then you'll see the records in the local save file.
  3. Highlight all of the entries. You can right-click anywhere in the list and then click Select All. All of the entries in the list become highlighted in blue.
  4. In the menu bar, go to Action > Export. You'll then see Rs in the Export column. This means the records are ready to export.
  5. In the menu bar, go to Batch > Process Batch.
  6. In the Process Batch dialog box, check the box for your local file path and check the box for Exports. Then click OK.
  7. A window may pop up asking if you want to overwrite your file, append it, or cancel. Choose the option you want.
  8. The batch export may take a minute or so to process. Once complete, you'll get a batch export report.
  9. If you exported to a file, the record file will be in .dat format but you can rename the file to change the extension to .mrc. These file formats are interchangeable.
