I'm trying to use shared vocabulary in a collection, but it isn't being applied in the collection metadata fields as expected.

Symptom

  • In CONTENTdm Administration, you're trying to use shared vocabulary in a collection, but the collection field says Yes rather than Yes - shared in the Vocab column.

Resolution

You will first need to set the Controlled vocabulary radio button in the Metadata field to No, and then save. Then you can go in, set it to Yes, and select to use a shared controlled vocabulary, and the change should take.

  1. In CONTENTdm Administration, go to Collections > Field Properties for the collection you're working with.
  2. Click Edit next to the field name you want to use controlled vocabulary for.
  3. Set the Controlled vocabulary radio button in the Metadata field to No, and then click save changes.
  4. You will be returned to the metadata fields list. Click Edit next to the field name again.
  5. Set the Controlled vocabulary radio button in the Metadata field to Yes and select Use a controlled vocabulary from another field or collection.
  6. Select the controlled vocabulary you want to use from the dropdown menu and click save changes once more.
  7. The Vocab column for this field should now show Yes - shared.
