Pull list

Use the Pull List in WorldShare Circulation to retrieve items that patrons or librarians have requested to be placed on hold or scheduled.

The Pull List is the list of items that patrons or librarians have requested to be placed on hold or scheduled.

To complete the hold process, use the Pull List to retrieve items from the shelves, then check them in to change their status to On Hold.  See Fulfill holds for more information.

  • For more information on statuses, see Item statuses.
  • If the Fulfill using variant records setting is enabled in Holds and Schedules, Settings, the Pull list will provide any relevant item in the variant record set that is otherwise allowed to fulfill the hold.

    • Checking in a relevant item will fulfill the hold request. No preference will be given to any of the OCLC numbers in the variant record set. Variant records cannot be removed or added to the set. Contact OCLC Support to report inaccuracies in the variant record set.

Items will not appear on the Pull list if:

  • Items shelved at this branch that could fulfill the hold are not currently available (e.g., on loan, in transit, etc.).
  • No items available at this branch can fulfill the hold according to the following library policies:
  • For title-level holds, there are no currently available barcoded items that are allowed to fulfill the hold according to the collection type policy.
  • Your branch has previously declined to fulfill the hold.
  • The hold or item schedule expires or is canceled.
  • The patron is suspended.

Use the pull list to retrieve items from shelves

  1. In the left panel, click Reports.
  2. Click Pull List.
  3. Click Refresh to ensure that the Pull List is current.
  4. (Optional) Click a column heading to change the sort order of the pull list.
  5. (Optional) Apply one or more filters to the pull list.
    • Click Remove all to clear your filter(s).
  6. In the upper right corner, click the More actions button circulation_actions_menu.png and select Print to print the  Pull List so items on the list can be pulled from the shelves and put in the hold area in your library.
    • To add columns to show the last time an item was printed or to allow you to print only selected items, see Configure columns, below.
  7. Take the Pull List to the shelves and return to the circulation desk with the items on the list.

You can also use the Digby mobile application to access circulation pull lists sorted by library location. Items scanned are marked as pulled with information about where they need to go next. See Digby app FAQ for more information.

Filter pull lists

Pull lists can be narrowed down using the available filters at the top of the page. By default, pull lists return all requested items.

 Note: Any filters you apply to the pull list are cleared after you select a different branch or log out of WorldShare.

  1. Use the Show filters button circulation_show_filters.pngto filter the the Pull list. 
  2. Select one of the available filters. 
  3. Select the values you want to apply. You can select one or more for each filter. When more than one value is selected, the system searches for any of the selected values.
  4. (Optional) To remove a filter, click the Remove all button or select the X next to the individual filter to be removed. 

Available pull list filters

Filter Description
Request Type The request type of the item on the pull list.

Select one of the following options to limit the pull list:
  • Schedules: Requests with items scheduled for use on specified days. 
  • External Requests: Requests originating from ZFL-server or WorldShare Acquisitions.
Shelf Location The shelf location of the item on the pull list. This filter includes all locations configured as shelving locations for your current branch, including any temporary location assigned to the item.

You can use this filter to prioritize or focus on pulling materials from a specific part of your collection by selecting one or more locations from the drop-down list.
Notes The item on the pull list contains a note in the hold or item scheduling request.

Select one of the following options to limit the pull list:
  • is not empty: Pull list entries will be limited to holds with a staff and/or public note and item schedules with a scheduling note.
  • is empty: Pull list entries will be limited to holds and item schedules without notes.
Patron Home Institution The home institution of the requesting patron.
  • This filter is only available to libraries in Circulation groups.
Pickup Location The pickup location of the item on the pull list, given the request currently associated with the item.

Select one or more pickup locations from the drop-down list. If your library participates in a Circulation group, all pickup locations for your group will appear in the list.
Approval Status The approval status of the item on the pull list. Refer to Hold approval and preparation for more information.

Select one of the following options to limit the pull list:
  • Not Required: Approval or preparation is not required. The item may be checked out or used in house.
  • Approval Required: The held item should be approved by an authorized member of library staff. The hold will not display as Ready for use when in this state.

Configure columns

 Note: Preferences are retained per your user account.

You can choose the columns that appear on the Pull List.

  1. On the right side of the screen, click the Show columns button Worldshare_Circulation_Show_columns.png.
  2. In the Show Columns window, check or uncheck the columns you want to show or hide. 
    • The columns you checked or unchecked are shown or hidden.
  3. Close the Show Columns window by clicking anywhere outside it.
Some fields need explanation:
Field Description
Checkbox selection Adds a selection box on the Pull List screen to allow for the selection of individual requests.
Request Type Requests originating from ZFL-server or WorldShare Acquisitions.
Title Title of the item. Includes author and edition statement. 
Barcode

Barcode of the item. 

A system-generated barcode will be associated with a special request. To fulfill a special request, you must check in the system-generated barcode and then select the barcoded item you wish to use to fulfill the hold.  

Include a barcode on serial items to display the items Enumeration on the Pull List.

If you are using integration with WorldShare ILL or Tipasa, temporary item records are created to represent borrowed items. ILL hold requests will have a system-generated barcode. This value is updated to the barcode you select when you receive the item in WorldShare ILL or Tipasa. 

Notes

Public Note:

  • Contains text a library user enters when placing a hold from WorldCat Discovery.
  • Staff can optionally add or edit a note on any hold request to provide additional details about the user's request before and/or after the hold has been fulfilled. 
  • When logged into WorldCat Discovery>My Account via Edit Request, hold notes are visible to patrons. See My Account.

Staff Note:

  • Contains text entered by library staff to provide additional details about the request before and/or after the hold is ready for pickup. This column includes both staff hold notes and item schedule notes.
  • The staff hold note will display on the Pull List, Holds for Review report, in the patron's hold queue, and when viewing or editing hold details. The staff note can also be added to the Pull List Entry receipt.
Patron Home Institution The name of the requesting patron's home institution.
 

 Note: This column is:

  • Only available to libraries in Circulation groups
  • Populated for holds requests only
Fulfilment Method The fulfilment method associated with the request's pickup location. Sort by:
  • Collect for Loan: Allows items on hold to be checked out to the requesting patron. This fulfillment method can only be set if the pickup location is a branch only.
  • In-House use: Items in this location must be used within the library. This fulfillment method can only be assigned to branch locations.

Approval Status

Approval status of the item. Sort by:

  • Not Required: Approval is not required. The item may be checked out or used in-house.
  • Approval Required: The held item should be approved by an authorized member of library staff. The hold will not display as Ready for use when in this state.

Actions Available actions to take on the item.
Some Icons need explanation:
Icon Description
Can be forwarded (Can be forwarded icon)

Indicates that the item can be forwarded to another branch or institution's pull list.

  • If staff at the pickup location forward the hold or there are no items available at the pickup location, then relevant items checked in at any branch or institution could be routed to fulfill the hold.
  • The forward option is only available to staff at the pickup location of a title-level hold if the item's Forwarding Policy is set to Prefers Pickup Location if any items are available in the Hold Request Policy in OCLC Service Configuration (WMS Circulation > Hold Request Policy). For more information, see Hold Request Policy.

To forward items:

  • You must have the Action column displayed. 
  • To forward a hold, choose the Forward option from the Action column.

Libraries in Circulation groups:

If you have configured the Prefer available items at the pickup location setting in your Hold Request Policy, additional options are available for forwarding that allow you to forward a hold to other branches of the pickup institution or to your group for fulfillment:

  • Forward to Library: Forward the hold to other branches of the pickup institution.
  • Forward to Group: Forward the hold to the other groups for fulfillment.

Clock (Clock icon) Indicates that the item has been scheduled.
ZFL-Server or WorldShare Acquisitions request (ZFL_Lending_icon.png) Requests originating from ZFL-server or WorldShare Acquisitions.

View or edit a hold request from the pull list

Depending on your assigned staff roles, you can view or edit additional information about a hold or item scheduling request directly from the pull list. See Circulation account roles for more information on the roles that grant request editing and request viewing permissions.

View a hold request from the pull list

  1. Open the Actions menu. Actions menu button - 3 dots
  2. Click View to open the View Existing Hold Request dialog box.
  3. Review the additional information about the hold request.
  4. Click x to close the dialog and return to the pull list.

Edit a hold request from the pull list

  1. Open the Actions menu. Actions menu button - 3 dots
  2. Click View/Edit to open the Edit hold request dialog box.
  3. Edit any of the following from the Edit hold request dialog.
    • Pickup Branch
    • Pickup Location
    • Fulfill From
    • Hold: Hold From/Until Dates
    • Suspend: Suspend From/Until Dates
    • Select or deselect the Move patron to top of queue checkbox
    • Notes: Public or Staff
  4. Click Save Changes to save your edits and return to the pull list.

View or edit an item scheduling request from the pull list

View an item scheduling request from the pull list

  1. Click the View button. The View Schedule dialog opens.
  2. Review the additional information about the item scheduling request.
  3. Click x to close the dialog and return to the pull list.

Edit an item scheduling request from the pull list

  1. Click the View/Edit button. The Edit Schedule dialog opens.
  2. Edit any of the following fields from the Edit Schedule dialog.
    • Pickup Branch
    • Pickup Location
    • Schedule Date/Time Needed
    • Note
  3. Click Save Changes to save your edits and return to the pull list.

Print individual pull slips

  1. Configure your columns to display the Checkbox selection column.  
    • The new column displays a checkbox on the far left of the screen.
  2. Select the checkbox next to the individual items to be printed or select the top checkbox to select all items.
  3. The Print selected: Select print option button at the top of the screen becomes active. 
  4. Use the Print selected option at the top of the screen and select the desired printer.
  5. Click Print from the Print preview screen.

Decline a hold from the Pull List 

Use the Decline option from the Actions column if you determine that your branch cannot fulfill a hold because relevant items cannot be found, need repair, or should not be shipped.

Declining the hold will:

  • Remove the hold from appearing on your branch's pull list.
  • Not allow an item shelved at your branch to fulfill the declined hold.

From the Pull List:

  1. Locate the item you wish to decline.
  2. From the Action column, select Decline.

If you are the last branch that could fulfill the hold, you will be asked if you would like to delete the hold.  This occurs when:

  • The patron requested a specific barcoded item.
  • The Hold Request Policy prefers the pickup branch, which then declines prior to forwarding.
  • The hold has been globally forwarded and your branch is the last with an available, barcoded item that could fulfill the hold.

Special requests on the Pull List

Special requests occur when the library user wants a specific item, but there is not enough detail for Circulation to select a barcoded item to appear on the Pull List. 

There are two types of special requests:

  1. Special Requests placed in WorldCat Discovery
  2. Unbarcoded item-level holds

Special requests require special handling to appear on the Pull List and depend on whether the Default Location in the Service Configuration has been configured. Refer to Default Locations for more information.

Special Requests placed in WorldCat Discovery

When the special request occurs without a Preferred Item Location:

  • If Default Location is configured:
    • The item appears on the Pull List at the default location only.
    • The Forward action is not available.
    • If declined, the hold is deleted. 
  • If Default Location is not configured:
    • The item appears on the Pull List of every branch.
    • The Forward action is not available.
    • The hold is deleted when the last branch has declined. 

Unbarcoded item-level holds

When the special request occurs with a Preferred Item Location:

  • If Default Location is configured and the item location is the same as the Default Location:
    • The item appears on the Pull List at the default location only.
    • The Forward action is not available.
    • If declined, the hold is deleted. 
  • If Default Location is configured and the item location does not match the Default Location:
    • The item does not appear on the Pull List at any location.
  • If Default Location is not configured:
    • The item appears on the Pull List at the item location.
    • The Forward action is not available.
    • If declined, the hold is deleted.
