Check in items

Find information on checking in items using Digby.

Digby's check in functionality can be used to check in items, clear Missing and Lost statuses from items, and route items to the Circulation desk to fulfill holds or move to another location. Checking in an item changes the item's last seen date, but does not contribute to any transaction counts for the item. 
 

To check in items using Digby:

  1. Tap Check In Items on the Digby home screen. 
  2. To scan an item, hold your mobile device over the item's barcode so that the barcode appears in the camera window at the top of the screen.
    • If better lighting is needed in order to scan the barcode, tap the lightbulb icon to the right of the Type or scan barcode field at the top of the screen to turn on your device's flashlight. Tap the icon again to turn the flashlight off. 
  3. To manually enter a barcode instead, tap the Type or scan barcode field at the top of the screen. Your mobile device's keyboard will launch, and the barcode can be typed in. 
    • If you will only be entering barcodes manually, the camera window can be deactivated by tapping the camera icon located to the right of the Type or scan barcode field. Tap the icon again to re-enable barcode scanning. 
  4. Once the barcode is successfully scanned, details of the item, such as its shelving location, call number, title, and barcode, will appear on screen along with instructions on how to process the item (ex. 'Return to shelf"), and the count of the items scanned above the scanned item list will be updated to reflect the new item. 
    • If the barcode scanned cannot be found, the message "Item barcode not found" will display in the scanned items list, and a red banner will display near the top of the screen with the message "Return item to desk." Tap the x on the banner to clear the message. 
    • When items with a status of Missing, Lost, Claimed Returned, or Claimed Never Had are scanned, their status changes to Available, and a message will appear prompting the user to Return to Shelf.
  5. To sort the list of checked-in items, tap Sort by above the list. Sorting options include:
    • Shelf Location, Call Number
    • Scanned Order
  6. To clear the list of items that have been checked in, tap Remove all items. A prompt will appear warning the user that list items cannot be retrieved once they have been cleared from the list. Tap Remove All to confirm and clear the list. 
    • There is a scanning limit of a thousand records in Digby. Any attempts to scan more than a thousand items will display a "Limit reached" message to the user. This can be cleared by clicking the Remove all items link.
