Change item location

Find information on changing item locations using Digby.

The Change item location functionality allows users to update the shelving locations and permanent locations/branches assigned to items, as well as add, change, or remove the temporary locations assigned to items. 

 Note: Users assigned the Student Worker Circulation or Student Worker Restricted roles will not be able to make changes to item locations in Digby. For more information on how WorldShare account roles impact access to Digby functionality, see Circulation account roles


To change an item location:

  1. Tap Change Item Location on the Digby home screen.  
  2. Select the type of location move. The following options are available:
    • Change Permanent Location
    • Add/Change Temporary Location
    • Clear Temporary Location
       
  3.  To change the Permanent Location of an item:
    1. Tap Change Permanent Location.
    2. Select a location from the list. This is the location/branch that the item(s) will be moved to.
    3. Select a shelving location. This is the shelving location in the above branch that the item(s) will be moved to.
    4. Once a shelving location is selected, you can begin scanning or manually entering barcodes. 
    5. If the item is successfully scanned, a green banner will display near the top of the screen indicating that the item was successfully moved. If the item was not found, a red banner will display the message "Item not found. Return item to desk." Tap the x on a banner to clear the message. 
    6. The item will now appear in the scanned items list, and the scanned item count will be updated to reflect the new item. The following information about the item will also display:
      • Title
      • Call Number
      • Barcode
      • Holding Location
      • Permanent Shelving Location
      • Temporary Shelving Location
    7. Continue scanning items until all items that will have their permanent location changed have been scanned. 
    8. To share a list of items moved to a new permanent location, tap Share under the camera window. A .pdf will be generated, and users can select the mobile device app they wish to send the file with (ex. an email app).
    9. Once you have completed scanning items, tap Remove All Items to clear the list. Items cannot be retrieved once they have been removed from the list.

  Note: If you attempt to access the Change Item Location menu without clearing out the previous session, a Move In Progress error message will display. Tap OK and the previous session will load, allowing you to clear or remove items.
 

  1.  To Add or Change a Temporary Location:
    1. Tap Add/Change Temporary Location.
    2. Select a shelving location from the list. This is the shelving location that the item(s) will be moved to.
    3. Once a shelving location is selected, you can begin scanning or manually entering barcodes. 
    4. If the item is successfully scanned, a green banner will display near the top of the screen indicating that the item was successfully moved. If the item was not found, a red banner will display the message "Item not found. Return item to desk." Tap the x on a banner to clear the message. 
    5. The item will now appear in the scanned items list, and the scanned item count will be updated to reflect the new item. The following information about the item will also display:
      • Title
      • Call Number
      • Barcode
      • Holding Location
      • Permanent Shelving Location
      • Temporary Shelving Location (which will now be blank)
    6. Continue scanning items until all items that will have a temporary location added or changed have been scanned. 
    7. To export a list of items that have had a temporary location added or modified, tap Share under the camera window. An Excel will be generated, and users can select the mobile app they wish to send the file with (ex. an email app).
    8. Once you have completed scanning items, tap Remove All Items to clear the list. Items cannot be retrieved once they have been removed from the list.

  1. To Clear a Temporary Location:
    1. Tap Clear Temporary Location.
    2. Scan or manually enter the barcode of the item(s) to be cleared from their current temporary location.
    3. If the item is successfully scanned, a green banner will display near the top of the screen indicating that the item was successfully moved. If the item was not found, a red banner will display the message "Item not found. Return item to desk." Tap the x on a banner to clear the message. 
    4. The item will now appear in the scanned items list, and the scanned item count will be updated to reflect the new item. The following information about the item will also display:
      • Title
      • Call Number
      • Barcode
      • Holding Location
      • Permanent Shelving Location
      • Temporary Shelving Location (which will now be blank)
    5. Continue scanning items until all items that will be cleared of their temporary location have been scanned.
