Create open access request

Open access request workflow
Open access requests allow your library to track and process article processing charges (APCs) for authors at your institution wanting to publish open access articles. The workflow for open access requests in Acquisitions is:
- Create the open access request
- Add details to the request, including author, journal, and publisher
- Approve the request
- Add the request to an invoice and complete payment
Create an open access request
- From the left navigation, click Open Access > Open access requests.
- Click Create open access request.
- In the Create open access request dialog, complete the required fields:
- Enter a title.
- Select an article type from the drop-down list.
- Click Save.
- The new request opens, where additional details can be added.
- See the sections below for more information on the editable sections. Some details are required before the open access request can be approved.
(Optional) Add article details
- Click Edit information in the top right of the Article header.
- Update any of the fields:
- Title
- Type
- License (e.g., CC BY)
- URl
- Abstract
- DOI
- Manuscript identifier
- PMCID
- PMID
- Status (e.g., Submitted, Accepted, Published, etc.)
- Submission Date (if applicable)
- Acceptance Date (if applicable)
- Publications Date (if applicable)
- Click Save when finished.
(Required) Add author details
(Required) Add a requesting author
A requesting author must be added to the request before it can be approved and the APC payment processed. A requesting author must have a patron account in WorldShare - if one does not already exist, it must be created.
- Click Manage authors in the top right of the Authors header.
- Click in the Select author using patron account text box.
- Enter the name, ID, or email associated with the author's account. The field will autocomplete while you type.
- Enable the Requesting author checkbox.
- (Optional) Enable the corresponding author checkbox if the author is responsible for all correspondence regarding the manuscript.
- Click Add and save author.
Add authors with other options
- Click Manage authors in the top right of the Authors header.
- Select one of the options from the Other options drop-down list:
- Add using ORCID
- Add using ISNI
- Add using Manual entry
- (Optional) Enable the corresponding author checkbox if the author is responsible for all correspondence regarding the manuscript.
- Click Add.
- (Optional) Repeat steps 2-4 for additional authors.
(Required) Add journal record
- Click Select WorldCat record in the top right of the Journal header.
- From the Find and select bibliographic record dialog, select a scope and index and enter search term(s).
- Click Search.
- Search results display. Results can be displayed in Enhanced or Condensed view.
- (Optional) Sort results using the Sort by drop-down menu.
- Next to the appropriate result, click Select.
- (Optional) To edit your selection, click Change WorldCat record in the top right of the Journal header.
(Required) Add publisher
- Click Edit request information in the top right of the Request header.
- Search for a publisher by typing in the Publisher autocomplete field.
Note: The publisher must be an in-use vendor in your library's vendor database. See Create a new vendor for instructions if a vendor does not already exist.
- Click Save.
