Users audit trail

Learn how to view an audit trail of changes to user records in OLIB.

View the audit trail

A full audit trail of updates/changes made to User records is retained in OLIB, including date, the field updated, the old value, new value, domain name and user who made the change.

  1. Go to the Users domain.
  2. Click on the tab Update Audit Trail. This sheet lists all the changes made to that User record and the audit trail records when the user last logged in.

Details of each change transaction include:

Audit field Description
Date The date and time on which the change was made.
Field Updated The field that was changed. If the change was a new or deleted link to a Department or Course, Link to department/course added/deleted will be displayed.
Action     Includes details for any traps set on the user record.
Old Value The value that the field was set to before it was updated. If it was a login action OLIB displays the OLIB system they logged in to - OLIB Web, WorldView, WebView, Folio. The IP address of the device the user was using is also shown.
New Value The value that the field was set to after the change was saved. If it was a login action OLIB displays the OLIB system they logged in to - OLIB Web, WorldView, WebView, Folio. The IP address of the device the user was using is also shown.
Change Made By The name of the person who was logged into OLIB when the change was made.

Search for user records, by values in the updates audit trail

In the Users domain you can also filter a search by values in the update audit trail, e.g. Change Made By values.

  1. Click the Refine link at the start of the User search.
  2. Under Linked Domains select Update Audit Trail.
  3. Under General Fields, select the field you would like to filter by, e.g. Change Made By. OLIB displays the values you can choose from (in this example, staff names) - select a value and run the search.
  4. When viewing the results, if you view the record details you can see the change in the audit trail.

Filter by Last Login

This enables you to list all users who last logged in to any OLIB application within a specified date range.

  1. Click the Refine link at the start of the User search.
  2. In Refine Search choose Last Login.

Using the Allow Null/Accept Null Date option, you can also list users who have never logged in.
