Serials Analysis

Find information about the Analysis tab in GreenGlass for Serials.

Overview

Opening the Analysis page presents the user with a view of existing queries.

  • To build a new query, click on the NEW QUERY button in the upper right portion of the screen.
  • To edit an existing query, or to examine the results in greater detail, click the EDIT button to the right of the query you wish to work with.
  • Use the CLONE button to create a copy that can be edited while preserving the original.

The New Query screen is divided into two panels. The Query Builder is on the left and the results panel is on the right. As changes are made in the left panel, the right panel updates in real-time so the specific impact of each threshold can be seen.

Scroll down the right panel to view the query results.

Note that the left and right panels of the New Query screen scroll separately. If the left panel is hidden, click on the SHOW EDITOR tab on the left side of the screen.

At any time, you are invited to SAVE your query in the upper right portion of the screen. There is no limit on the number of queries that can be saved. 

Please contact your GreenGlass liaison if you have query requirements that are not readily satisfied by the tools in GreenGlass. Your GreenGlass liaison can build more complex models and scenarios offline.

Option Description
SUBJECTS

Choose the subject(s) to include:

  • All subjects
  • Specific LC classes
  • Specific dewey ranges

Select LC or Dewey classes and subclasses.

Projects processed after September 2018 will allow you to select one or more numeric ranges within a given LC or Dewey subclass (e.g., DA 757.9 - 826 Scottish History).

CALL NUMBERS

A Call Number search feature allows you to search for non-standard patterns and character strings in your call numbers (e.g. “oversize”, “folio”). This feature can be used to query for non-LC and non-Dewey classification marks. Options include:

  • No restriction
  • Starts with
  • Includes
  • Ends with
TITLE Search by words in the title. To match on an exact phrase, enclose the phrase in quotation marks. 
LOCATIONS Select one or more location codes to include. For more information, watch the Tutorial: Collection and Location Codes in GreenGlass (3:00).
TYPES
Option Description
Government Document Include or exclude titles based on their government document status.
Primary language Include or exclude titles based on their MARC primary language code.

 

LOCAL HOLDINGS DATES Search by publication dates and data span covered in your local holding statement.
WORLDCAT™ PUBLICATION STATUS Search by publication status (continuing, discontinued, other)
JOURNAL ARCHIVES Search for titles held by selected journal archives.
WORLDCAT™ HOLDINGS
  • Under Edition Matching
    • Choose same edition to count holdings for the exact edition (holdings set on the same OCLC record number as yours).
    • Choose any edition to count holdings for related editions as established by OCLC's implementation of work families.

       Note: 

      • US/CA and State/Province holdings include your library's holding.
      • Comparator Library tallies do not include your library's holding. Comparator Libraries were defined at the outset of your project. Contact your GreenGlass liaison or your local project manager for details.
      • All Comparator Libraries combine all of your library's comparators into a single tally. Where comparator groups overlap (the same library appears in more than one group) they will only be counted once here.
SPECIAL CATEGORY If your library defined a special category, you have the option to include or exclude those titles from your query results. To see your Special Category Rules, click on the green question mark.
HATHITRUST

Include or exclude titles based on their HathiTrust status.

COMBINE QUERIES

At the bottom of the left panel, users have the option to combine the on-screen query with one or more queries that have been built and saved previously.

Combined queries can be ORed or ANDed.

  • Click the Combine results with other queries radio button for an OR query.
  • Click the Intersect results with other queries radio button for an AND query.

Exported Item Lists

To retrieve exported lists click on the details icon near your user name in the far upper right of the screen and navigate to MY DOWNLOADS. GreenGlass item lists that contain fewer than 300,000 rows (or items) are made available in Excel .xlsx format. Lists that exceed 300,000 rows will be delivered as .csv files.

These Excel spreadsheets are lightly formatted but it is recommended that you delete columns you don't need. You may also wish to add Filters to the header row (via the DATA menu) to isolate items with specific values, etc. Sometimes pivot tables can be helpful for certain types of analyses. If you are unfamiliar with Excel or if you have any questions about your downloaded files, contact your GreenGlass liaison.

Each item in exported lists is represented by a line in the spreadsheet, sorted by Title. The first row contains a label/header for each column.

 Note: Some columns are not included in all exports, and even if the column is included, data may not be available for individual items. This could be the result of custom project specifications and/or inconsistencies in your library's data.

Serial Export Fields
Serial Export Fields Description
Collection Code The GreenGlass Collection Code for this holding record.  This is an optional field, used when a library has two different levels of location  (e.g. library and shelving location).
Location Code The GreenGlass Location Code for this holding record.
Display Call Number The display call number derived from your catalog records.
Display Call Number Normalized The normalized display call number which allows you to sort your lists by call number.
Title The title of the publication, as it appears in the library's bib record. It's rare for this to be missing, but it does happen (a concatenation of all 245 subfields except $6 & $8).
Author The first cited author in the library's record (a concatenation of all 1XX (first occurrence) subfields except $0, $4, $6, & $8).
Publisher The first publisher cited in the library's record (a concatenation of all 260/264 subfields).
WorldCat Preceding Name Entry Preceding Name entry from the WorldCat  MARC 780.
WorldCat Succeeding Name Entry Preceding Name entry from the WorldCat  MARC 785.
WorldCat Publication Status Taken from the WorldCat 008 field (continuing, discontinuing, other).
WorldCat Publication Dates Taken from the WorldCat 008 field (Date1, Date2).
Sequential Designation (362) Value from WorldCat MARC 362 sequential designation field.
Primary Language The MARC language code, as it appears in the library's MARC field 008; 35-37.
Government Document Yes or No.  If a value if found in the MARC 086 (Gov Doc Number) or MARC 074  (GPO number) or in the MARC 008 Gov document indicator the title is flagged as government document.
LC Subclass Assigned LC Subclass if there was sufficient data available to assign one.
Dewey Class Assigned Dewey Number if there was sufficient data available to assign one.
Local Holding Details Local holding details per location as taken from holding and/or item records.
Local Holding Date Range Start and end dates identifiable from local holding details.
Local Holding Date Span Span in years taken from the Local Holding Date Range (above).
JOURNAL ARCHIVE - Holding Details Show holdings description from archive if matched.
JOURNAL ARCHIVE - Date Range Start and end dates identifiable from journal archive holding details.
JOURNAL ARCHIVE - Date Span Span in years taken from date range above.
HathiTrust Public Domain Show holdings description aggregated from HathiTrust Public Domain matches.
HathiTrust In Copyright Show holdings description aggregated from HathiTrust In Copyright matches.
HathiTrust URL Links to the HathiTrust Catalog Record and can be embedded in local catalogs for users to access full text for public domain titles.
Global Holdings - Same Edition The count of all holdings for the exact edition; as set in WorldCat™.
Country Holdings - Same Edition Exact edition WorldCat™ tallies. This tally includes your library's holding.
Country Holdings - Any Edition Related edition WorldCat™ tallies. This tally includes your library's holding.
State/Province Holdings - Same Edition Exact edition WorldCat™ tallies. This tally includes your library's holding.
State/Province Holdings- Any Edition Related edition WorldCat™ tallies. This tally includes your library's holding.
Comparator Library Holdings - Same Edition Exact edition WorldCat™ tallies. This tally includes your library's holding.
Comparator Library Holdings - AnyEdition Related edition WorldCat™ tallies. This tally includes your library's holding.
OPAC URL A URL link to the library's public catalog.
WorldCat URL A URL link to the bib record in WorldCat™.
OCLC Work ID An OCLC assigned number used to associate various editions of a given work.
WorldCat OCLC Number The OCLC number from the WorldCat™ record that the GreenGlass team matched to the library's bib record.
Bib Record Number The library's internal unique identifier for the bibliographic record.
Holding Control Number The library's internal unique identifier for a holding record.
ISSN The International Standard Serial Number as taken from MARC 022 field of the library record.

Online Item Lists

Throughout GreenGlass, lists of titles and holdings can be retrieved via any hyper-linked tally. Listings are sorted by title. Data elements immediately visible in the list include:

  • The library's call number, which is derived from the library's item or bib record.
  • The library's location code.
  • Title and publisher, as available in the library's MARC record.
  • A link to a title details page.
  • Clicking on this brief item display, reveals additional data elements, supplied by GreenGlass.

Bib Record Type Record types are limited to serials.
Primary Language The MARC language code, as it appears in the MARC field 008; 35-37.
Publication Status Options are continuing(c), discontinued(d) or other/ unknown.
Holdings in Location The holdings description associated with this holding location is displayed. 
Special Category Flag Does this item fit the parameters of your library's Title Protection Rules or Special Category Flag? Yes or No. Any given library may or may not have chosen to incorporate this feature. This flag will be labeled as specified.
Country Holdings This is a WorldCat™ tally of holdings in the country. The library's own holding is included in this tally if the library's holding is set in WorldCat™. The number before the slash represents 'exact edition' matches. The number following the slash represents 'any edition' matches, as established by OCLC.
State/Province/Region Holdings This is a WorldCat™ tally of holdings in the state. The library's own holding is included in this tally if the library's holding is set in WorldCat™. The number before the slash represents 'exact edition' matches. The number following the slash represents 'any edition' matches, as established by OCLC.
Comparator Libraries This is a WorldCat™ tally of all holdings in all the library's comparator libraries combined. The library's own holding is not included in this tally. The number before the slash represents 'exact edition' matches. The number following the slash represents 'any edition' matches, as established by OCLC.

Additional Holdings Detail

Click on the green bar to expose additional WorldCat holdings information. Keep in mind that the number of holdings preceding the slash represents the number of libraries with their holding set on the same edition of the work (same OCLC record number. The integer following the slash represents the number of libraries with their holding set on the same or related edition of the work.
