ILL borrowing analysis queries

Discover how to use the ILL borrowing filter to analyze the borrowing habits of your institution in Choreo Insights.

Overview

The ILL borrowing filter displays with the settings of Status - Filled, Date range - No restrictions, Count - No restrictions

The Interlibrary Loan borrowing filter allows you to analyze and query titles borrowed via interlibrary loan. An ILL borrowing list is available for each institution symbol included in your subscription and can be selected under Lists (A) or Lists (B) in Insights Builder. These lists of titles allow you to treat borrowed material as its own dataset when you run Overlap and other analyses that combine ILL borrowing activity with Choreo comparator groups or title lists. 

The Interlibrary Loan filter only filters the ILL borrowing list records in your query. It does not filter your holdings (My Library) or comparator libraries’ holdings.

This can help you determine:

  • What gaps in your collection are being filled through ILL borrowing
  • What your institution borrows that comparator libraries do or don't hold
  • What your institution borrows that appears on specific title lists

 Note: Filters only affect the ILL list. Example: If you set Date range = last 12 months, that does not limit the peer library’s holdings, only which ILL-borrowed titles are included.

View all titles borrowed with ILL

This query returns a list of titles your institution has borrowed through interlibrary loan (optionally filtered by filled/unfilled status, date range, and number of borrows).

  1. Navigate to Insights > Insights Builder.
  2. From the Compare the A Group with drop-down, select Libraries or Lists.
  3. From the select Analysis Type drop-down, select All. This will return the ILL list as-is.
  4. Clear any selection present in My Libraries.
  5. For Lists (A), select your institution's ILL borrowing list.
  6. Expand the Interlibrary Loan filter.
  7. Adjust the borrowing settings to filter for requests that were filled one or more times:
    1. From the Status drop-down, select Filled.
    2. Leave Date range set to No restrictions to view all-time borrowing data.
    3. From the Count drop-down, select More than.
    4. Set the count to 1.
  8. Click RUN REPORT.

To enhance this report:

  • Increase the Count to view a list of frequently borrowed items
  • Add a Date range to explore popular ILL titles during a certain time period (e.g., last 12 months)

Compare your collection to ILL borrowing list

This query shows titles that appear in both your holdings and your ILL borrowing list. Use this to investigate cases where you own a title, but it is still requested via ILL to determine titles with high demand, access barriers, or edition mismatches.

  1. Navigate to Insights > Insights Builder.
  2. From the Compare the A Group with drop-down, select Libraries or Lists.
  3. From the select Analysis Type drop-down, select Overlap.
  4. Select your institution from the My Libraries (A) drop-down.
  5. For Lists (B), select your institution's ILL borrowing list.
  6. Expand the Interlibrary Loan filter.
  7. Adjust the borrowing settings to filter for requests that were filled one or more times:
    1. From the Status drop-down, select Filled.
    2. Leave Date range set to No restrictions to view all-time borrowing data, or adjust the date to view a specific time period.
    3. From the Count drop-down, select More than.
    4. Set the count to 1.
  8. Click RUN REPORT.

To follow up on this report with a direct collection gap view, run a Distinct or Gap analysis to find titles in the ILL list that are not in your holdings.

Compare ILL borrowing list to another institution's holdings

This query returns a list of items on your ILL borrowing list that overlap with the collection of another institution, e.g., a partner or peer institution.

  1. Navigate to Insights > Insights Builder.
  2. From the Compare the A Group with drop-down, select Libraries or Lists.
  3. From the select Analysis Type drop-down, select Overlap.
  4. Select your institution from the My Libraries (A) drop-down.
  5. For Lists (A), select your institution's ILL borrowing list.
  6. For Lists (B), select the Comparator Group you would like to compare against.
  7. Expand the Interlibrary Loan filter.
  8. Adjust the borrowing settings to filter for requests that were filled one or more times:
    1. From the Status drop-down, select Filled.
    2. Leave Date range set to No restrictions to view all-time borrowing data, or adjust the date to view a specific time period.
    3. From the Count drop-down, select More than.
    4. Set the count to 1.
  9. Click RUN REPORT.

To follow up on this report with a direct collection gap view, run a Distinct or Gap analysis to find titles in the other institution's holdings that are not on your ILL list.

ILL borrowing export fields

Several fields can be enabled for ILL borrowing data when exporting a query.

  • Last borrow date
  • Borrowing loan count
  • Borrowing copy count
  • Borrowing total count
  • Libraries borrowed from
