How to use this guide

This interactive learning path allows you to:

  • Navigate linearly: Work through each section in order using the sidebar navigation

Shared Print is a registration service that helps libraries and shared print programs record and manage print retention commitments - i.e., the formal statement that a library (or group of libraries) will retain specific print titles/holdings - and make those commitments visible in WorldCat for other libraries and archiving programs to see.

OCLC’s Shared Print Registration service is designed to streamline registering shared print group retention commitments by letting institutions (or an authorized agent/group coordinator) submit data that OCLC then applies as retention statements in Local Holdings Records (LHRs) - creating or replacing LHRs as needed. Once registered, shared print commitments can be discovered in multiple OCLC interfaces and services, including Choreo Insights. OCLC also provides workflows to add, view, and remove shared print retention commitments.

The WorldCat Shared Print Retentions filter is available when building a query in the Insights Builder. You can use it to filter by Shared Print programs and retentions in WorldCat. With this functionality, you can explore shared print retentions set against all of WorldCat, as well as against specific shared print programs.

The default option for the Shared Print Count is No Restrictions, which means the filter is not in use.

  1. The WorldCat Shared Print Retentions filter is available under Query Filters in the left-hand menu in the Insights Builder.
  2. To enable the filter, you must use the drop-down to select one of the following Shared Print Count operators:
    • Fewer than
    • Equal to
    • More than
    • Between

       Note: The More than and Fewer than operators work as true greater than or less than operators, not greater than or equal to or less than or equal to operators. Example: To filter by any OCLC number that has at least 1 Shared Print retention,  set the Shared Print Count to More Than 0.

  3. The Edition Type radio buttons allow you to choose how you would like to limit the query:
    • Same Edition (OCNs) (default) - WorldCat holdings count measures the number of libraries in WorldCat holding the same edition, as defined by a specific OCLC number.
    • Any Edition (WorkIDs) - WorldCat holdings count consists of the number of libraries in WorldCat holding the same work as defined by the OCLC Work ID.
  4. The Shared Print Type radio buttons allow you to choose what kind of retentions you would like to view:
    • All (default)
    • Unregistered - Only shows OCLC numbers that have a committed to retain statement on them
    • Registered - Shared Print retention commitments made under one of the listed registered OCLC Shared Print programs
  5. If you select Registered for Shared Print type, you can then further limit your query to a certain program(s).

The following workflow helps determine which titles in your collection are not retained in a specific Shared Print program. If your library is considering participation in a Shared Print program, knowing which unique titles you can contribute may help inform your decision. 

Step 1. View your library's titles

  1. Navigate to Insights > Insights Builder.
  2. From Select Analysis Type, select All (default).
  3. Input your institution(s) into My Libraries (A) by typing or choosing from the drop-down menu.
  4. Click RUN REPORT. 
  5. The report will yield all titles in your collection. Make note of the number of Results.

Step 2: View titles already retained by a specific Shared Print program

  1. Expand the WorldCat Shared Print Retentions filter.
  2. From the drop-down list, select More Than.
  3. Enter 0 in the text box.
  4. Select the Specific Shared Print Programs radio button.
  5. Select the radio button for the Shared Print program that you are considering participating in.
  6. Click RUN REPORT. 
  7. The report will yield titles retained in the Shared Print program. Make note of the number of Results.

Step 3: Determine your unique titles

To determine if your collection holds any unique titles that are not retained by the Shared Print program:

  1. Subtract the number of results from Step 2 from the number of results from Step 1.

Step 4: View your library's Shared Print retention candidates

  1. From Select Analysis Type, select All (default).
  2. Input your institution(s) into My Libraries (A) by typing or choosing from the drop-down menu.
  3. Expand the WorldCat Shared Print Retentions filter.
  4. From the drop-down list, select Equal To.
  5. Enter 0 in the text box.
  6. Select the Specific Shared Print Programs radio button.
  7. Select the radio button for the Shared Print program that you want to compare.
  8. Click RUN REPORT. 
  9. The report will yield a list of titles in your collection that are not retained in the Shared Print program.

 

View titles retained locally

  1. Navigate to Insights > Insights Builder.
  2. From Select Analysis Type, select All (default).
  3. Input your institution(s) into My Libraries (A) by typing or choosing from the drop-down menu.
  4. Expand the Local Shared Print Retentions filter.
  5. Select My Library Retains.
  6. Click RUN REPORT.  The titles your library retains display.

View titles uniquely retained in WorldCat

To view titles that are only retained by your library across WorldCat:

  1. Navigate to Insights > Insights Builder.
  2. From Select Analysis Type, select All (default).
  3. Input your institution(s) into My Libraries (A) by typing or choosing from the drop-down menu.
  4. Expand the Local Shared Print Retentions filter.
  5. Select My Library Retains.
  6. Expand the WorldCat Shared Print Retentions filter.
  7. From the drop-down list, select Equal To.
  8. Enter 1 in the text box.
  9. Click RUN REPORT.

View titles uniquely retained by your Shared Print program

To view titles that are only retained by your Shared Print program across WorldCat:

  1. Navigate to Insights > Insights Builder.
  2. From Select Analysis Type, select All (default).
  3. Input your institution(s) into My Libraries (A) by typing or choosing from the drop-down menu.
  4. Expand the Local Shared Print Retentions filter.
  5. Select My Library Retains.
  6. Expand the WorldCat Shared Print Retentions filter.
  7. From the drop-down list, select Equal To.
  8. Enter 1 in the text box.
  9. Enable the Specific Shared Print Programs radio button.
  10. Enable the radio button for your shared print program.
  11. Click RUN REPORT.

View titles not retained locally

You can view all items not retained locally to determine new retention candidates for your collection.

  1. Navigate to Insights > Insights Builder.
  2. From Select Analysis Type, select All (default).
  3. Input your institution(s) into My Libraries (A) by typing or choosing from the drop-down menu.
  4. Expand the Local Shared Print Retentions filter.
  5. Select My Library Does Not Retain.
  6. Select Query Filters to narrow down your retention candidates. For a list of all available filters, see About the Insights Builder.
  7. (Optional) To see which titles are also not retained in your Shared Print program:
    1. Expand the WorldCat Shared Print Retentions filter.
    2. From the drop-down list, select Equal To.
    3. Enter 0 in the text box.
    4. Enable the Specific Shared Print Programs radio button.
    5. Enable the radio button for your shared print program.
  8. Click RUN REPORT.

 

Run an export

  1. Click Export at the top of the Insights Builder. The Export Wizard opens.
  2. (Optional) Modify the data included in your export:
    • Select or deselect the data fields you want to include in your export.
    • Modify the order that the data fields appear by dragging and dropping the columns.
  3. Click Next.
  4. Enter a File Name for your export.
  5. Select the desired export type:
    • CSV
    • CSV for Excel (with UTF-8 BOM)

       Note: Choose this option if your results include non-Latin or special characters.

  6. Click Export.

Shared Print export fields

The following fields pertain specifically to exported data about Shared Print:

  • WorldCat Shared Print Registered Libraries
  • WorldCat Shared Print Registered Programs

     Note: Deselected by default.

  • WorldCat Shared Print Unregistered Libraries

     Note: Deselected by default.
