QAS Batch Process

Learn how to batch check Borrower addresses for borrowers using the QAS Pro address verification software to instantly verify and search addresses against the latest Australia Post’s Postal Address File (PAF).

QAS Pro address verification software is designed to instantly verify & search addresses against the latest Australia Post’s Postal Address File (PAF).

Create a File of Borrowers for checking

Find the Borrowers for whom you wish to export addresses. For example you could use the date of joining as a way of selecting borrowers or select by Surname Letter etc.

  1. Go to Main > Borrowers > Borrower Where
  2. Enter an appropriate Where Statement to find your borrowers


    For example you could use the date of joining as a way of selecting borrowers or select by Surname Letter etc.
     
  3. From Column 1, select Joined. From Box 2 select Operator e.g. =. In Box 3 type the Date e.g. 31/01/2007 or select Current Date – 1 month (or whatever is appropriate for the task)
  4. Select F7 QtoFile
  5. Select a File and press F9 select or create a New File

Step 2 : Access the Export Address Menu option

  1. Go to Main > Borrowers > Borrowers
  2. Select Address Export from the File Menu. There are 3 choices:

Borrower Address 1 : Export Borrower Address 1 for QAS checking
Borrower Address 2 : Export Borrower Address 2 for QAS checking
Borrower Address 3 : Export Borrower Address 3 for QAS checking

Step 3: Select the relevant File for Address export

When the option is selected e.g. Borrower Address 1, a message will display, prompting a File to be selected.

If Yes is selected, a list of files will display. Select the file as required by choosing [F9] Select.

Step 4: Create the Destination File for the Export to QAS

A Windows dialogue box will display where a file can be created for use with QAS.

The Number of Address records will display

Step 5 : Use QAS Batch to fix these addresses

Refer to this product for more details. A brief description is given below. When you open the file in QAS batch, a configuration wizard should display where the Input fields are shown.

The first field (the address number) must be left as set unused.

On the set output layout screen ensure Field 7 exists and is fixed as the AUSBAR data holder and other fields as required. Note use a right click to fix a field.

Click the clean button to check the data through QAS. At the end of the process choose the view option to display the records. The examples below are shown after the QAS processing “Clean”.

If the results are successful, they can be exported to a Windows file and updated to Amlib. Do not use the QAS commit option. This Windows file will have the data separated by $ signs to separate the data.

Export the new addresses from the Tools menu, Export option:

Filter name: Use the Records to Commit option so you will only get good records in your output file.

Fields to Export: Output Fields

Field Delimiter: Ensure this is set to Other ($)

Filename: Enter the Filename you want to save the data in.

DO NOT FORGET TO SET THE DELIMITER A $ !!!!!!!!!!!!!!!

Step 6: Import Addresses back into Amlib

In Borrower Details, select File, Import addresses to update Borrowers that have been changed in QAS will be added to a chosen Borrower File within Amlib.

Select a File to contain updated Borrowers.

A list of Files will display. Add a New File or select an alternative File and choose Select [F9].

Select the QAS Windows file as saved previously within QAS. A confirmation message will display. Select either Yes to continue or No to abandon the import of Addresses.

When addresses are imported the following rules apply:

  1.  Field lengths are reduced by Amlib
    1. Address lines 1 to 4 are 32 characters each
    2. The Postcode field is 8 characters
    3. The Barcode field is 254 chars
  2. Borrowers who have their addresses updated will be added to the selected file
  3. The Borrower Modified Field will be updated with the relevant Date/time and the Login Operator
  4. The Suburb and Ward codes will be calculated if applicable from the new address and depending upon the presence of Streets tables (wards). If a match cannot be found the existing field on the database will NOT be replaced

Note: Matching is case-sensitive for Suburbs. Therefore your suburbs table should be in UPPER case if you expect Amlib to match it using the QAS locality field.

Step 7 : Print Reports if required

Amlib reports will print the Postal Barcode if:

The export address data is exported in the following format. The facility is only available in Borrower version 5.1.1.1 and beyond.

Select the address number using the respective option address number ( 1, 2 or 3 ) and the saved file to actually export the data to a ‘$’ delimited file.

The 7 fields above are exported and will be returned in the import file from QAS. Field 1 (Address number) must never be changed. All the other fields will be used to replace the matching fields on the Amlib Address.

Depending on your use of addresses within Amlib, it may be found that Lines 1 through 4 may have different contents for different Address numbers. For example, Address 3 may contain the Guardian Name in Line 1 so within QAS you should use a different QAS session for each of the three address types so that Amlib data is not overridden. .

If the records can be viewed in Notepad. The longer number at the end is the Postal barcode. The imported File also uses the $ symbol as the delimiter.
