Why Search Result Counts Differ Between Record Manager and Discovery?

Why results may differ

It’s normal to see different result counts between Record Manager (RM) and Discovery when using what seems to be the same index search, such as ge=.

As the two systems search and process data differently. This is expected behaviour for Record Manager and Discovery as they :

  • Search different data
  • Use different indexes
  • Apply different search logic
The Key factors that impact results:
  • Different data sources
    • Discovery shows content configured for end users (WorldCat + selected collections)
    • Record Manager searches the full cataloguing environment, including more records
       
  • Local data (LBD) may not be included
    • RM can search local metadata (LBD fields) directly
    • Discovery often does not index / search these fields, or only partially
       
  • Indexes are not the same
    • Searches like ge= or su= may look similar
    • But they can map to different fields and definitions in each system
       
  • Search behaviour differs
    • RM supports exact/anchored searches
    • Discovery uses broader matching and applies relevance logic
       
  • Discovery settings affect counts
    • Results may be:
      • Grouped (reducing visible count)
      • Filtered or expanded
    • Counts may appear as estimates (e.g. “About 1,300”) rather than an exact result number
How to improve consistency
  • Avoid relying on local-only fields (e.g. 655 _4)
    • These work well in RM but are not reliably searchable in Discovery
  • Use controlled vocabularies
    • Prefer 655 _7 with sources like lcgft or fast or if needed  $a term $2 local
  • Use Discovery-indexed fields for key terms
    • Common options include:
      • 690, 590, or approved 9XX fields
      • (Confirm with OCLC which fields your Discovery indexes)
  • Check your Discovery configuration
    • ​​​​​​​Review default grouping, filters, and indexing settings.

For best results, ensure important terms are stored in fields that Discovery indexes and use controlled vocabularies where possible
