WEBVTT 1 "Crystal Rodriguez" (2778376960) 00:00:00.000 --> 00:00:18.629 Okay, Welcome to today's session. Connexion client three record editing and processing. My name is Crystal Rodriguez and I am a product trainer with our member education team here at OCLC. And. 2 "Crystal Rodriguez" (2778376960) 00:00:18.629 --> 00:00:38.629 Whether you perform copy or original cataloging, this class covers the basics of record editing and processing within connection client. After this class, you should be able to edit. 3 "Crystal Rodriguez" (2778376960) 00:00:38.629 --> 00:00:40.980 Add and delete fields. 4 "Crystal Rodriguez" (2778376960) 00:00:40.980 --> 00:01:00.980 Use MARC Field help while editing a record. Update and delete WorldCat holdings. Export records, replace Worldcat records, and create new WorldCat records. And I'm going to add the link to the learner guide for this class. 5 "Crystal Rodriguez" (2778376960) 00:01:00.980 --> 00:01:17.940 Into the chat for you. And this is a living document webpage that you can refer back to after this class as well, and any updates to questions asked or anything like that will be added to that document as necessary. 6 "Crystal Rodriguez" (2778376960) 00:01:26.580 --> 00:01:46.580 In our previous class, we searched WorldCat and found a matching record for our item reader come home. So using Connexion client, we can edit the record according to our libraries policies, and procedures before exporting the record to use it in our catalog. So I'm going to go ahead and. 7 "Crystal Rodriguez" (2778376960) 00:01:46.580 --> 00:01:53.640 Go over to my Connexion 8 "Crystal Rodriguez" (2778376960) 00:01:53.640 --> 00:02:13.560 I'm gonna log on, going to the file menu, choosing log on. I've already saved my authorizations, which we show in our 1st class, so I'm just gonna go ahead and click ok and I'm logged on, and I'm just going to use the quick search box to open up a record using an OCLC number. 9 "Crystal Rodriguez" (2778376960) 00:02:23.340 --> 00:02:41.940 All right, so just a little bit of navigating through this record here. So within a record, cells are enclosed. Cells enclosed each tag indicator and filled field data. So you can see that here when I click on a field. 10 "Crystal Rodriguez" (2778376960) 00:02:41.940 --> 00:02:57.510 Tag I can see those cells that are enclosed there. As you type or edit, the cursor moves automatically from the tag to the 1st indicator, 2nd indicator etc. Otherwise you would want to edit as continuous text. 11 "Crystal Rodriguez" (2778376960) 00:02:57.510 --> 00:03:12.870 And within that learner guide, there are some default keystroke shortcuts that are useful when navigating through the record and I will kind of look at a few of those now, but you can find that in depth list on that learner guide. 12 "Crystal Rodriguez" (2778376960) 00:03:12.870 --> 00:03:32.870 So if I click within the 245 field, you note that the whole field is outlined in blue, but the tag is kind of highlighted here. So that's indicating that that's the current field that I'm working with. I can use the up and down buttons on my computer to move up and down field. 13 "Crystal Rodriguez" (2778376960) 00:03:32.870 --> 00:03:35.190 Notes. 14 "Crystal Rodriguez" (2778376960) 00:03:35.190 --> 00:03:53.640 I can press the F6 key, and that will move me between the variable fields where I am now up to the different parts of the record. So here you see that I'm now in the OCLC number area, and if I click that F6 again, I'm in the fixed fields. 15 "Crystal Rodriguez" (2778376960) 00:03:53.640 --> 00:04:13.640 And once again, now I'm back to the variable fields. And then if I want to move from one variable field to another, I can just use the tab key to move through each section of the variable field here. And if I use control S, then I can be taken directly. 16 "Crystal Rodriguez" (2778376960) 00:04:13.640 --> 00:04:31.049 Me to the next sub field in that field. So here I'm on the 264. If I use control S it takes me to the subfield B If you use shift control S, you can be taken to the last subfield that. 17 "Crystal Rodriguez" (2778376960) 00:04:31.049 --> 00:04:46.049 That you were at there, and that's just a few of those options. And as I said, there's that list within the learner guide. So that's really helpful if you prefer to use keystrokes. 18 "Crystal Rodriguez" (2778376960) 00:04:46.049 --> 00:05:04.679 When you're editing. Just a couple of areas to review within the OCLC record that are OCLC system supplied fields, and these are fields that are unique to OCLC. So these maybe different from your ils or other binliographic systems that you've used. 19 "Crystal Rodriguez" (2778376960) 00:05:04.679 --> 00:05:20.069 So if you look at the top here, we do see the OCLC number. This is a unique number system assigned for each record, and this displays above the fixed field area within connection client. Then right below that we see the fixed fields. 20 "Crystal Rodriguez" (2778376960) 00:05:20.069 --> 00:05:39.959 Connexion client displays some data that is technically part of the MARC record leader along with the fixed field 008 information in a labeled display to make editing and reading the record easier. That being said, you do have the option to view these as variable fields. 21 "Crystal Rodriguez" (2778376960) 00:05:39.959 --> 00:05:57.299 If you go to trying to remember, yeah if you go to view and then OCLC fixed field, you can change whether those show at the top, at the bottom or you can choose to display those as variable fields. I personally prefer to have them at the top. 22 "Crystal Rodriguez" (2778376960) 00:05:57.299 --> 00:06:17.299 In this format. And then we do see the variable fields, and if we look within a variable field looking again at that 245 title field, we see there that the subfield A does not display if it is the 1st subfield in a field. This is only for display purposes. 23 "Crystal Rodriguez" (2778376960) 00:06:17.299 --> 00:06:21.449 The subfield A is present in an exported record though. 24 "Crystal Rodriguez" (2778376960) 00:06:21.449 --> 00:06:40.559 And then Connexion displays a space before and after the delimiter and subfield code here. Spaces are not present in the export records. This is only for your display and makes record easier to read. 25 "Crystal Rodriguez" (2778376960) 00:06:40.559 --> 00:06:59.879 Another field that is unique to Connexion client OCLC records is the040 field. This field, Connexion knows from your log on which library you are, so it automatically supplies your OCLC symbol in the 040 subfield A. 26 "Crystal Rodriguez" (2778376960) 00:06:59.879 --> 00:07:19.879 And subfield C for new records and in the subfield D when you replace an existing record. So this is also helpful for you to see who created this record originally. And then there's also going to be a blank call number field. Again, Connexion knows from your log on whether you are profiled for log. 27 "Crystal Rodriguez" (2778376960) 00:07:19.879 --> 00:07:38.189 Library of Congress, do we or another classification system. So it displays the appropriate blank call number field here such as 090 for LC library of Congress, 092 for Dewey or an O96 if you're an NLM library. 28 "Crystal Rodriguez" (2778376960) 00:07:38.189 --> 00:07:55.499 And then in Connexion client using the same record, we can look at that blank, I said we see that blank call number there, so you could easily copy out, e.g., since this is the 090, we could copy the 050. 29 "Crystal Rodriguez" (2778376960) 00:07:55.499 --> 00:08:12.779 LC call number and put that into that local LC field if we needed to. And you're not required to use this blank call number field, it's just provided to make that a little easier if especially if your ILS is going to use that local. 30 "Crystal Rodriguez" (2778376960) 00:08:12.779 --> 00:08:31.739 090 field there. And then the last field to look at is the 049. So this is gonna display in every record and it's always the last of the 0XX fields. Your default holding library code displays in the 049. 31 "Crystal Rodriguez" (2778376960) 00:08:31.739 --> 00:08:47.849 For libraries with three character OCLC symbols, the default holding library code is typically the three character symbol followed by the letter A, but for five character symbols and many other libraries, the default holding library code is main. 32 "Crystal Rodriguez" (2778376960) 00:08:51.839 --> 00:09:11.839 And so here we can see that 049 for my account is main. Alright, now when you're editing, you can use standard window functions for cutting copying pasting, so you know you can use control C to copy, control V to paste etc. You can. 33 "Crystal Rodriguez" (2778376960) 00:09:11.839 --> 00:09:17.069 Also use the edit menu at the top of our screen. 34 "Crystal Rodriguez" (2778376960) 00:09:17.069 --> 00:09:34.109 And then you'll, if you click on edit, you'll see cut copy paste, and there you see your options for cut and copy. You also can use those default keystrokes and in addition to being in the learner guide, you can note here if you hover over a specific. 35 "Crystal Rodriguez" (2778376960) 00:09:34.109 --> 00:09:51.239 Action, you see what the default keystroke is. So e.g. cut would be control plus X alright so let's make a couple of changes here. So I'm going to look at the 245. 36 "Crystal Rodriguez" (2778376960) 00:09:51.239 --> 00:10:08.159 And I want to remove the illustrated note. So I'm just going to, I've clicked within the 245 to make sure that that's the field I'm using, and I can just click over to that area of at the end of the record and just highlight and remove. 37 "Crystal Rodriguez" (2778376960) 00:10:08.159 --> 00:10:27.269 That note, and edit as I need to. And in my 264 I want to remove part of the subfield B I'm going to take out the imprint note here. 38 "Crystal Rodriguez" (2778376960) 00:10:31.529 --> 00:10:51.529 And then for 2nd 264 I want to go ahead and add new York to New York. I can copy out from the previous field and then just paste into that 2604. You may note as I'm editing that there's this little carrot over to the side. 39 "Crystal Rodriguez" (2778376960) 00:10:51.529 --> 00:10:55.589 That is indicating that those fields have been edited. 40 "Crystal Rodriguez" (2778376960) 00:10:55.589 --> 00:11:14.399 Now let's assume that you NO longer want to make changes to this record. If you place the cursor within that one of those edited fields, so here I'm gonna place my cursor in the 245 I can right click and select undo. 41 "Crystal Rodriguez" (2778376960) 00:11:14.399 --> 00:11:33.119 And Connexion is thinking for me. Sorry guys, it's still taking a little bit of time today. Let's try that on a different field. I'm going to go ahead and. 42 "Crystal Rodriguez" (2778376960) 00:11:33.119 --> 00:11:53.119 Go to the edit menu, see here. Yeah, I'm not sure why that's not working. That should have worked for me. Let me try control Z let me try putting the into the field itself. 43 "Crystal Rodriguez" (2778376960) 00:11:53.119 --> 00:12:10.199 Yeah, there we go. I apologize, I was so that's important to note. I had was within the 1st cell when I was trying to do un the undo action and that didn't work for me. So I need to be within the field itself. So if I now click on. 44 "Crystal Rodriguez" (2778376960) 00:12:10.199 --> 00:12:26.009 Right click choose undo. Now my edit is returned for just that field. So this leads to the question that was asked at the beginning of the session when making a mistake, by deleting a field or something like that, is there an undo? So. 45 "Crystal Rodriguez" (2778376960) 00:12:26.009 --> 00:12:46.009 You can using that undo action, you can only undo specific actions within and field if you have not yet, used the reforma reformat, which we'll talk about in a moment. But if you want to cancel all of your actions, so for that you would want to go to the edit. 46 "Crystal Rodriguez" (2778376960) 00:12:46.009 --> 00:13:04.769 Hit menu, under cut copy paste, you see cancel changes. You can also use the control shift Z keystroke, but when I click on that, that should cancel all of my changes. And you'll note that connection kind of blinked there and if I look. 47 "Crystal Rodriguez" (2778376960) 00:13:04.769 --> 00:13:23.909 My edits to the 246 and the 246 fours are removed and you can note that those little carrots NO longer show. So that's the difference between undoing a specific action or undoing everything. It is key, though, that you have to make sure you undo those changes. 48 "Crystal Rodriguez" (2778376960) 00:13:23.909 --> 00:13:41.009 Prior to taking a reformat or validation option or adding holdings any of those actions. I hope that answered that question. Let me know if it, if you still have questions on that. 49 "Crystal Rodriguez" (2778376960) 00:13:41.009 --> 00:14:00.539 Okay. Now, if I want to delete, copy, insert move fields, I have some options there. So again, I can use that edit menu and go to the cut copy paste, and I see those options for delete and copy fields, I need to be within a specific field to do that. 50 "Crystal Rodriguez" (2778376960) 00:14:00.539 --> 00:14:16.259 So you want to place your cursor in the desired field, and then the other option again is to use the right click once I've clicked in that field, and then I can use copy to copy that field. I also can use. 51 "Crystal Rodriguez" (2778376960) 00:14:16.259 --> 00:14:33.149 Alt and delete to delete a field if I'm within that field. So I'm here in the two for 50, and if I use alt delete, it just removes that field. I want to undo that and bring that back. 52 "Crystal Rodriguez" (2778376960) 00:14:38.699 --> 00:14:58.529 And then if I'm entering a field, I want to go to wherever it is that I want to enter that field. So here, let's say that I want to enter in another 500 note, I want to click in the 505 field and I can just hit enter to insert a field. 53 "Crystal Rodriguez" (2778376960) 00:14:58.529 --> 00:15:18.529 Underneath. Now, if I go here and I click shift enter, that's gonna insert a field above. I'm gonna go ahead and undo that. And then as I showed before, you can use the up and down arrows to move. 54 "Crystal Rodriguez" (2778376960) 00:15:18.529 --> 00:15:35.669 Those fields ok So let's say that you want to delete unwanted fields, so you want to delete. 55 "Crystal Rodriguez" (2778376960) 00:15:35.669 --> 00:15:52.889 These fields prior, so they don't show up on your exporter record. So e.g., maybe I want to remove these sub field subject fields that are, have 2nd indicator of six or seven. So to do that, I can click within that field. 56 "Crystal Rodriguez" (2778376960) 00:15:52.889 --> 00:16:10.169 And again, I can use right click and delete field or I can use just delete, oh actually that would be shift delete I think what, sorry. Let's go back up to the edit menu. 57 "Crystal Rodriguez" (2778376960) 00:16:10.169 --> 00:16:26.579 Cut copy paste and see what that is. It's alt delete. So I could just go ahead and use that menu option, edit, cut, copy paste, and then click on delete field, that's one way. Or again, and I find this to be the fastest way is to just click within. 58 "Crystal Rodriguez" (2778376960) 00:16:26.579 --> 00:16:46.349 And just keep doing all delete to remove all of those sevens and sixes there. Now, there is a way to remove multiple fields at once. However, when you do that, and I'm gonna just show you this, it will delete things, but then the alignment gets a little off so I don't recommend doing this note. 59 "Crystal Rodriguez" (2778376960) 00:16:46.349 --> 00:17:06.349 What happened there? It moved the fields around. So I do recommend that you delete those one by one and I'm just gonna go ahead and undo those changes so that you can see what that looks like when it goes back. 60 "Crystal Rodriguez" (2778376960) 00:17:06.349 --> 00:17:18.269 All right. Now it is important to remember that when you're making these edits to the record, that this is these are edits that you intend for your exported local use. 61 "Crystal Rodriguez" (2778376960) 00:17:18.269 --> 00:17:38.009 Please do not delete from the MARC record from the record itself in Worldcat unless you take the replace action. So, you wanna keep that in mind and you don't want to delete any correct or relevant data if you do in fact plan to replace the record. 62 "Crystal Rodriguez" (2778376960) 00:17:38.009 --> 00:17:57.839 And we'll talk about replacing a record in a little bit here. Now let's assume that I want to add a 264 field for a distributor and the place in year are the same, so only the subfield B is going to be different. 63 "Crystal Rodriguez" (2778376960) 00:17:57.839 --> 00:18:16.289 So for that, I'm going to place my cursor into the 264 field, and then I'm going to use the right click and say copy field, and I'm gonna hit enter to add a field underneath, and then I can do the right click. 64 "Crystal Rodriguez" (2778376960) 00:18:16.289 --> 00:18:36.289 To paste that in or I should be able to do control V and paste there and that did work. So now with this new field in place, I want to go ahead and make sure that I'm using the correct second indicator for the 264. 65 "Crystal Rodriguez" (2778376960) 00:18:36.839 --> 00:18:56.839 To ensure that it is indicating that this is for a distributor. So I want to invoke MARC field help here. So to do that, I'm going to use the right click and I can say MARC field help, and that's going to open up bibliographic formats and standards straight to that field data. 66 "Crystal Rodriguez" (2778376960) 00:18:56.839 --> 00:19:00.869 That's why it's really helpful to use this MARC field option. 67 "Crystal Rodriguez" (2778376960) 00:19:00.869 --> 00:19:16.919 In the field cause it's gonna take you right to that data. And I can then go through and see that 2nd indicator for distribution should be two. So let's go ahead and close that window and jump back over. 68 "Crystal Rodriguez" (2778376960) 00:19:16.919 --> 00:19:36.919 To my Connexion, and I'm going to change that second indicator to two. So I just clicked in there, but I also could just tab over and then I'm just gonna type over the two and then I want to change the subfield B to just say. 69 "Crystal Rodriguez" (2778376960) 00:19:36.919 --> 00:19:46.019 HaperCollins. 70 "Crystal Rodriguez" (2778376960) 00:19:46.019 --> 00:20:06.019 There we go. All right. Now I also need to ensure that I have the correct value for one of the fixed fields, so I'm gonna go back up to that and I want to make sure that T is correct for this DTST field. So the nice thing about the fixed fields especial. 71 "Crystal Rodriguez" (2778376960) 00:20:06.019 --> 00:20:18.029 Especially when they're in this view, is you can just click on the hyperlink for that specific field. And when you do that, it opens up again bibliographic formats and standards directly to that. 72 "Crystal Rodriguez" (2778376960) 00:20:18.029 --> 00:20:37.829 Field, and here I can read through and I can see that T would be for publication date and copyright date. Now what if you need to add diacritics to your record? 73 "Crystal Rodriguez" (2778376960) 00:20:37.829 --> 00:20:56.969 So for my case, I want to add a Swedish title that is found on the cover of this book. So I'm going to position my cursor in the 245. Oh, thank you for that information. So, you can also put your cursor in the fixed field and right click. 74 "Crystal Rodriguez" (2778376960) 00:20:56.969 --> 00:21:16.969 Let's try that. Yep, you're right, and it'll take you right to MARC Field help. Thank you. I typically just click right on that link, so never really paid attention to that one. It's one of the nice things about Connexion in my opinion though is that Connexion gives us multiple ways to take action because some of us prefer clicks, some of us. 75 "Crystal Rodriguez" (2778376960) 00:21:16.969 --> 00:21:20.759 Prefer short, prefer shortcuts et cetera. 76 "Crystal Rodriguez" (2778376960) 00:21:20.759 --> 00:21:38.579 Okay, so getting back to I'm gonna add this Swedish title, so I'm within the 245, I'm going to hit enter, and I'm going to type in a 246 field with the 1st indicator of one and second indicator, indicator blank, so I'm just gonna tab. 77 "Crystal Rodriguez" (2778376960) 00:21:38.579 --> 00:21:58.079 And I want to put in a subfield I So control D is gonna give me the subfield indicator, and then I'm entering in that this is a Swedish title, and then I want a subfield A So again, control D. 78 "Crystal Rodriguez" (2778376960) 00:21:58.079 --> 00:22:14.969 I'm gonna add that title in. I'm not even going to try to pronounce that one. And then I want to move this 246 below the other 246 here, so I'm just going to use alt. 79 "Crystal Rodriguez" (2778376960) 00:22:14.969 --> 00:22:32.309 And the down key, and that's gonna move it right down below there for me. And when we do that, that is one field at a time that we're moving. And now I need to add a diacritic. Connexion does support inserting diacritics. 80 "Crystal Rodriguez" (2778376960) 00:22:32.309 --> 00:22:51.239 And special characters in Latin script. Now, you're gonna enter that diacritic following the letter to be modified, and then you have a couple of options to enter diacritics. You can either use the character chart window or you can use a keystroke of control E to open up that. 81 "Crystal Rodriguez" (2778376960) 00:22:51.239 --> 00:23:11.239 ALA window or you can use the key maps. So I want to add an umout after the 1st A So I want to put my cursor right next to that A there, and then at the top of my menu bar, I see the ALA toolbar bar. 82 "Crystal Rodriguez" (2778376960) 00:23:11.239 --> 00:23:29.429 Button. If you don't have that showing, you can add that and in a future class I'm going to show how we can edit our toolbar. If you need it before then you can look through our documentation or you can use that control E to open that up. 83 "Crystal Rodriguez" (2778376960) 00:23:29.429 --> 00:23:44.429 I'm gonna go ahead and click on the ALA and note that it brings up the box for me to be able to add diagritics and I've already chosen Swedish, but I just want to show if I change that to a different language, e.g., Tagalog. 84 "Crystal Rodriguez" (2778376960) 00:23:44.429 --> 00:24:04.429 It then the options that I have that are primarily used are going to be highlighted. So I'm gonna go back to Swedish though, and I already show the umout. So again I can use the dropdowns to choose those or I can just click. So I'm gonna go ahead and click in the lout there and choose insert. 85 "Crystal Rodriguez" (2778376960) 00:24:04.429 --> 00:24:24.119 And closed and note that that did insert it next to that A I know it does look a little off centered unfortunately, that's one of the things when we're adding diacritics, but it is going to export correctly there Okay. 86 "Crystal Rodriguez" (2778376960) 00:24:24.119 --> 00:24:44.119 Now that I have all of my changes in place, I want to go ahead and use the reformat option. Reformat is going to sort the variable fields in the correct order. So it's going to, e.g., put my 006 through 3xxs are gonna be sorted by tags with the only. 87 "Crystal Rodriguez" (2778376960) 00:24:44.119 --> 00:24:53.039 Exception there being the 029, which is always going to resort to the last field if it's in the record. And then the 4XX. 88 "Crystal Rodriguez" (2778376960) 00:24:53.039 --> 00:25:11.099 Through 9XX fields, those are gonna sort by tag group, but then within the group, your input order is saved. And then your, as I mentioned before, your 049 is always the last of the 0XX fields, and that 029 is always going to be at the end of the record. 89 "Crystal Rodriguez" (2778376960) 00:25:11.099 --> 00:25:30.779 So to reformat, we have a couple of options. Again, we can use the edit menu and choose reformat. Oops, which is right there and we can see that we also could use control R or we can also see what our toolbar button would look like. I'm going to go ahead and click on reformat there. 90 "Crystal Rodriguez" (2778376960) 00:25:34.259 --> 00:25:53.969 And that makes sure that everything's in the correct order, but I want to actually add a couple of fields. So I'm gonna add them down at the bottom of my record. So I'm going to click enter at the very last field, and I'm just gonna add her in a 500 note. 91 "Crystal Rodriguez" (2778376960) 00:25:53.969 --> 00:26:13.499 Noting that this is a title from cover. And then I'm gonna add a 610 corporate subject field here for the European Society for Cognitive psychology. 92 "Crystal Rodriguez" (2778376960) 00:26:13.499 --> 00:26:30.959 And I want to go ahead and make sure that these are going to be moved into the right location. So I'm going to use that reformat again, and we see that connection kind of blinks real quick for us, and then we see that the 500 moved to the end of those 500 fields. 93 "Crystal Rodriguez" (2778376960) 00:26:30.959 --> 00:26:47.279 And the 610 moved into those 600 fields as well. All right. Now after we reformat, we want to validate the record. 94 "Crystal Rodriguez" (2778376960) 00:26:47.279 --> 00:27:02.699 Validation checks the quality of the bibliographic record and prevents records with errors from being added to Worldcat or replaced in Worldcat. Validation can be automatic when you add your WorldCat holdings or export the record. 95 "Crystal Rodriguez" (2778376960) 00:27:02.699 --> 00:27:18.419 Or it can be performed manually by command. Both the automatic and valid manual validation check, the marked structure of the record, so it's looking for validity of tags, indicators, sub codes, sub field codes. 96 "Crystal Rodriguez" (2778376960) 00:27:18.419 --> 00:27:37.829 And then it's going to also ensure that the record includes all of the required fields like e.g. the 245 is going to be a requirement, and it's also going to check to make sure that non repeatable fields are only occurring once in the record. It's important to know that validation does not check spelling. 97 "Crystal Rodriguez" (2778376960) 00:27:37.829 --> 00:27:55.529 It will not catch incorrect incorrect usage of a tag, and it does not check the authority file. Before we actually perform validation, I do want to show that we do have some options to set up for validation level options. 98 "Crystal Rodriguez" (2778376960) 00:27:55.529 --> 00:28:13.439 So if we go to the tools menu, actually I think validating, I don't believe it reformats, but we can test that in a future example. And there is a question, would the Microsoft Word shortcut control plus shift plus colon and letter. 99 "Crystal Rodriguez" (2778376960) 00:28:13.439 --> 00:28:30.659 Provide the same result as the ALA option. Lydia I'm not sure on that one, I would I wanna get back to you on that either after the class or I may suggest that you reach out to support on that. If we have time at the end of the class, we can try testing that. 100 "Crystal Rodriguez" (2778376960) 00:28:30.659 --> 00:28:45.719 But I'm not actually not sure the answer on that one. I haven't tried that. So I wanna get back to you real quick showing the validation options here. So if we go to tools. 101 "Crystal Rodriguez" (2778376960) 00:28:45.719 --> 00:29:02.129 And then we go to options, click on the general tab, and there you see validation level options. So you can set different levels of validations for set holdings and export. You see those options here. 102 "Crystal Rodriguez" (2778376960) 00:29:02.129 --> 00:29:22.129 So you can choose structure, and or none for exporting. So in this case like what I have here is structure for set holdings and none for export. That means that there's not gonna be any validation, so you what you don't need to stop to fix errors to be able to set holdings or export the record, but you. 103 "Crystal Rodriguez" (2778376960) 00:29:22.129 --> 00:29:25.589 You can always manually validate the record. 104 "Crystal Rodriguez" (2778376960) 00:29:25.589 --> 00:29:45.329 And so this is the default validation level for the set holdings and export. So if you change that to basic, that's gonna check for validity of mark elements such as length repeatability, type, et cetera. And then full is going to. 105 "Crystal Rodriguez" (2778376960) 00:29:45.329 --> 00:30:03.269 Perform those basic level checks, and then it also checks for relationships between mark elements and checks for valid structure in some non textual variable fields. I'm going to go ahead and put mine back to structure and click ok here. 106 "Crystal Rodriguez" (2778376960) 00:30:03.269 --> 00:30:23.269 And click apply and ok to close that window. So, to validate, again, we have a few options, we're gonna go ahead and show we have the edit menu, and then we can choose validate. There it is right at the top. My eyes just zoomed away from it. We also can use shift. 107 "Crystal Rodriguez" (2778376960) 00:30:23.269 --> 00:30:29.189 F5 or we do have that option to use the menu bar. So when we click validate. 108 "Crystal Rodriguez" (2778376960) 00:30:29.189 --> 00:30:47.429 As you see here, any errors will show up for me. I do have the option to print those errors if I want to do a little bit more research and come back to that. I'm gonna note that I, there's an indication telling me that the 610. 109 "Crystal Rodriguez" (2778376960) 00:30:47.429 --> 00:31:06.359 Indicator two is incorrect, so if I close this record or this report, then I would be able to go back and change that. But I want to go ahead and make a few errors on purpose just so we can see how this works. 110 "Crystal Rodriguez" (2778376960) 00:31:06.359 --> 00:31:24.929 And in that I'm gonna see about maybe testing your question Jay, on validating and reformat there. Okay, so on this record, in my 264, I'm gonna go up there, I want to go ahead and I'm gonna change. 111 "Crystal Rodriguez" (2778376960) 00:31:24.929 --> 00:31:44.929 My second indicator to five, and then I want to make a change to my sub field C in the 300. I'm gonna change that to Q And let's test and just validate and see, let me do this. Let me move, I'm gonna move this. 112 "Crystal Rodriguez" (2778376960) 00:31:44.929 --> 00:32:04.739 It's 500 down to test out if oops, did not mean to do that sorry I I accidentally clicked or I didn't mean to click. 113 "Crystal Rodriguez" (2778376960) 00:32:04.739 --> 00:32:22.049 So let me go ahead and just re add that 500 and then we'll test that question on whether reformat or whether validate will also reformat. So I'm gonna re add that note there. 114 "Crystal Rodriguez" (2778376960) 00:32:22.049 --> 00:32:37.079 And I'm gonna leave it there at the end and let's see. So if we use our validate, so now I do still get I get those three errors cause I made those two errors on purpose and again this is where I could print. 115 "Crystal Rodriguez" (2778376960) 00:32:37.079 --> 00:32:57.079 To tell me what's happening. Let's go ahead and close here and the 500 did move. So that does confirm that if you validate that will also reformat. All right. I also do want to take this moment to point out that if we look down at the. 116 "Crystal Rodriguez" (2778376960) 00:32:57.079 --> 00:33:09.869 Status bar. We can see that validate shows as F for fail because we did get those errors. 117 "Crystal Rodriguez" (2778376960) 00:33:09.869 --> 00:33:29.069 All right. So let's go ahead and fix those errors. Let's go ahead and change that 264 back to two, change our 300 back to C for the last subfield there. And for the interest of time I'm just gonna delete that 0610. 118 "Crystal Rodriguez" (2778376960) 00:33:29.069 --> 00:33:49.069 And then let's validate again. And now we don't get any errors and we see in our status bar that the validate is C So that's how we know that that did in fact work. And just to give us that quick check on going to go up to that sc. 119 "Crystal Rodriguez" (2778376960) 00:33:49.069 --> 00:33:56.729 And let's pretend I want to add a diacritic to the O there. Lydia let me see if I can answer your question. So you said control shift. 120 "Crystal Rodriguez" (2778376960) 00:33:56.729 --> 00:34:15.299 Colon, and then that doesn't bring up anything but then you said the letter I think you see might go. Yeah, that does not appear to work. That actually appears to be something else. It bring the, it break it brought up a work form actually. 121 "Crystal Rodriguez" (2778376960) 00:34:15.299 --> 00:34:33.779 Now, in a future class, I do talk about being able to set your own keystrokes that's in our next class actually. So NO, sorry, that's in our 5th class. So we maybe able to talk about being able to do that if you're attending that class Lydia. 122 "Crystal Rodriguez" (2778376960) 00:34:33.779 --> 00:34:53.779 I hope that answered both of your questions, and while I'm waiting to see if there's any other questions, just a quick rundown of that status bar, which I previously mentioned. So when you're working within connection, connection's going to let you know a few different statuses. 123 "Crystal Rodriguez" (2778376960) 00:34:53.779 --> 00:35:09.839 If you are using batch processing, which we will cover in our next class, you will see options there that it for R which indicate that that's ready for batch processing. C indicates complete. 124 "Crystal Rodriguez" (2778376960) 00:35:09.839 --> 00:35:29.839 Or, you know, so it's showing that it's completed successfully, and then F as I showed earlier shows if the action failed. And the question just to verify that diacritic goes after the letter that you want to use it for. Yes, that is correct. You're going to want to put that diacritic. 125 "Crystal Rodriguez" (2778376960) 00:35:29.839 --> 00:35:34.559 After the letter. So I had to put my cursor after the A. 126 "Crystal Rodriguez" (2778376960) 00:35:34.559 --> 00:35:51.539 To add that diacritic there alright Just pausing to see if there's anything else. I think I've gotten to all the questions, but if I missed it, go ahead and indicate that and we can get to it later. 127 "Crystal Rodriguez" (2778376960) 00:35:54.869 --> 00:36:12.659 So that is editing cutting copying pasting pretty much in a nutshell. Now, it is important to maintain accurate holdings in WorldCat as this information enables other OCLC services to accurately reflect your holdings to users. 128 "Crystal Rodriguez" (2778376960) 00:36:12.659 --> 00:36:30.539 In e.g. Worldcat discovery, Firstsearch, ILL et cetera. It's also going to ensure that your ILL staff will not get requests for items that you NO longer own, and adding your holdings is also going to accurately identify gaps in your collection. 129 "Crystal Rodriguez" (2778376960) 00:36:30.539 --> 00:36:50.539 As well as your unique holdings if you're using, e.g., collection evaluation tools. So updating your holdings is going to add your library's OCLC symbol to the Worldcat record. In a Worldcat record, your library either has holdings or it doesn't. It does not matter how many. 130 "Crystal Rodriguez" (2778376960) 00:36:50.539 --> 00:36:52.079 Copies you have. 131 "Crystal Rodriguez" (2778376960) 00:36:52.079 --> 00:37:10.889 Now the only exception to that is if you are a WMS library, libraries that are using WMS or World Share Management Services need to have a local holdings record for each copy or an LHR for each copy. But for those libraries that are not WMS libraries. 132 "Crystal Rodriguez" (2778376960) 00:37:10.889 --> 00:37:30.509 That's not necessary. So, regardless of how many copies you have, you either hold this item or you don't in WorldCat. So let's go ahead and look at adding holdings. So again, we've got several options, so we can either use the action menu here. 133 "Crystal Rodriguez" (2778376960) 00:37:30.509 --> 00:37:46.589 And then we would choose holdings and choose update holdings. Just a quick note, produce and update holdings does the same thing as update holdings. That is a setting that's kind of here from back when we had card catalogs, actual physical cards. 134 "Crystal Rodriguez" (2778376960) 00:37:46.589 --> 00:38:02.699 So I would recommend just using update holdings. There's NO difference between those two and I wouldn't use alternate produce and update at all. So, you can also just use the F eight key as well. 135 "Crystal Rodriguez" (2778376960) 00:38:02.699 --> 00:38:20.880 Or you see here the whole icon. So let's go ahead and add our holdings to this record. I'm gonna go action holdings, update holdings. Before I do that though, I want to note that when we look at the OCLC number line, we see NO holdings in my library symbol. 136 "Crystal Rodriguez" (2778376960) 00:38:20.880 --> 00:38:38.070 We can see how many other libraries do you hold this item, but my library doesn't yet hold it. So let's go ahead that holdings and see what happens. So really quickly the change happens, but we now see that it says held by. 137 "Crystal Rodriguez" (2778376960) 00:38:38.070 --> 00:38:57.900 My library, and if we look at the status bar under update holdings, we see that that now shows complete. And now with the fact that this record does have my holdings, I also can delete the holdings. So you may have noted previously that when we went to action holdings. 138 "Crystal Rodriguez" (2778376960) 00:38:57.900 --> 00:39:17.900 The delete holdings was blurred out. That was because we didn't have our holdings on there. So now we do have that option and we see our other options for using the icon or using shift F8. I'm gonna go ahead and just click on that. And again, we see now that NO holdings in my library, and that complete for update holding. 139 "Crystal Rodriguez" (2778376960) 00:39:17.900 --> 00:39:22.800 Things went away and it moved over to delete holdings. 140 "Crystal Rodriguez" (2778376960) 00:39:22.800 --> 00:39:40.260 So deleting that holding is going to remove my library's OCLC symbol from the WorldCat record, and we want to delete when we NO longer own or have access to the item. It is important to note that you should not delete your record in WorldCat if you still have at least one holding. 141 "Crystal Rodriguez" (2778376960) 00:39:40.260 --> 00:39:58.080 Or one copy of that title. So if my library has three copies and I get rid of two of them, I'm keeping one, I still want to keep my holdings showing in Worldcat. How long does it take for updated holdings to reflect in WorldCat? 142 "Crystal Rodriguez" (2778376960) 00:39:58.080 --> 00:40:14.640 In in Connexion it reflects right away as you saw in if you mean by discovery when you ask Worldcat, that can take a little bit of time. Generally it's within, I think it's generally within an hour or so at the most. I have seen times though when it can take 24 h. 143 "Crystal Rodriguez" (2778376960) 00:40:14.640 --> 00:40:31.140 It I think if you're, if you're referring to discovery. Yeah, for other libraries to know yep. So I think you're meaning like in discovery or potentially in 1st search, that can take usually at the maximum about 24 h. 144 "Crystal Rodriguez" (2778376960) 00:40:31.140 --> 00:40:48.150 So I'll note that if it takes longer than 24 h, please reach out to our support team. So, I don't see any other questions at this time about adding or deleting holdings, but if they come in. 145 "Crystal Rodriguez" (2778376960) 00:40:48.150 --> 00:41:04.500 Please just go ahead and add those to the chat, and then let's talk about exporting Worldcat bibliographic records. So why would you wanna do that? So you can export a record when you want to load it into your local catalog or your ils. 146 "Crystal Rodriguez" (2778376960) 00:41:04.500 --> 00:41:23.760 Exporting the record is going to move it from Connexion to a local destination. The local destination could be a file on your workstation or network drive or the destination could be directly to your local system depending on how you set up the export and what your local system allows. 147 "Crystal Rodriguez" (2778376960) 00:41:23.760 --> 00:41:41.040 So before exporting a record, we want to set up export record record options. We did show this briefly in our 1st class, but I'm going to go a little bit more in depth today. So that is going to be found under tools options, to where we find most of our configurations here. 148 "Crystal Rodriguez" (2778376960) 00:41:41.040 --> 00:41:59.670 And for export, you can click on the export tab, and right now I do not have a destination set. I do see the option here for file prompt for file name. If I just left that, every time I wanted to export a record, I would be prompted to add in a file name. 149 "Crystal Rodriguez" (2778376960) 00:41:59.670 --> 00:42:19.670 I don't really want that. It's much easier if I just create a file destination. So to do that, I'm going to click on create, and then I choose what type of destination File is just gonna add that file to my workstation. And then the other one that I mentioned is the OCLC gateway export. That's what you're going. 150 "Crystal Rodriguez" (2778376960) 00:42:19.670 --> 00:42:20.790 And to choose. 151 "Crystal Rodriguez" (2778376960) 00:42:20.790 --> 00:42:40.470 If your ILS allows a direct connection through TCP IP, and I'll just click on that just to show you real quick. So if I click on that and click ok, then I have to put in some information. This information is going to need to be provided to you by your local system. 152 "Crystal Rodriguez" (2778376960) 00:42:40.470 --> 00:42:59.610 And a lot of times, if there's some issues with this, it unfortunately you're gonna have to usually reach out to your local system. You can reach out to our support team if that's not useful or if, but most of the time you're gonna have to get confirmation from your local system. I'm gonna go ahead and click cancel there, click on create again. 153 "Crystal Rodriguez" (2778376960) 00:42:59.610 --> 00:43:14.640 I want to create a file destination, so I'm gonna click ok. This is another quick note. When I click ok here, for some reason, my explorer opens up directly to Connexion program files. 154 "Crystal Rodriguez" (2778376960) 00:43:14.640 --> 00:43:34.640 You cannot leave a file there, it won't work as these are the files for your connection software itself. So you need to create this export file in another location. I'm gonna use my desktop, you can use your documents, whatever location is convenient for you, it just cannot be that programmed. 155 "Crystal Rodriguez" (2778376960) 00:43:34.640 --> 00:43:35.880 File. 156 "Crystal Rodriguez" (2778376960) 00:43:35.880 --> 00:43:55.880 So I'm gonna go ahead and go to desktop here, and then I'm gonna add in a file name. I'm just gonna call it export test and click open. And then I'm given just a confirmation of, is this in fact where you want to add this file? I'm gonna say ok. 157 "Crystal Rodriguez" (2778376960) 00:43:55.880 --> 00:43:58.470 And now I see that that file is highlighted. 158 "Crystal Rodriguez" (2778376960) 00:43:58.470 --> 00:44:18.470 You can add multiple file locations. This can be helpful if you, you know, maybe you want to export your your collection separately or maybe you're working in different branches and you want to have different files. There's multiple reasons you might want that. It's not necessary, but it is an option. So just. 159 "Crystal Rodriguez" (2778376960) 00:44:18.470 --> 00:44:35.880 Do that you again you would just click create and you could add a second location. You also can, with the location highlighted, you can click edit, and that's gonna allow me to change that location or change the name of it. And then same I can delete it if I need to. 160 "Crystal Rodriguez" (2778376960) 00:44:35.880 --> 00:44:55.880 And if you do have multiple locations to choose that location, you just wanna double click or actually just click once and then click apply. I'm gonna go ahead and click back into that file location here, click apply alright. 161 "Crystal Rodriguez" (2778376960) 00:44:55.880 --> 00:45:14.070 And I already mentioned about how you can have that prompt if you want, and we showed the gateway export options. Now the other area that I want to show when it comes to exporting, so you can. 162 "Crystal Rodriguez" (2778376960) 00:45:14.070 --> 00:45:32.460 Choose some export options here. You do automatically see that there's some areas where you can choose, e.g., to be warned before exporting a record if it includes unlinked non Latin script fields. You might want to display a report with your immediate export results. 163 "Crystal Rodriguez" (2778376960) 00:45:32.460 --> 00:45:48.420 And you may want to export work forms, like maybe if you're in the middle of creating a record and you need to review that, you want to have a printout of what you did, that's an option there. But I want to click on field export options. 164 "Crystal Rodriguez" (2778376960) 00:45:48.420 --> 00:46:04.080 And this is where I can delete specific fields prior to the export. It is important to note, though, that this is going to delete all of those fields. You cannot say. 165 "Crystal Rodriguez" (2778376960) 00:46:04.080 --> 00:46:24.080 Delete 650 with a second indicator of seven. So if you say 650 here, it's going to delete all 650 prior to exporting. So that's very important to note. Now, one area that often this is can be helpful for is let's say that you don't need. 166 "Crystal Rodriguez" (2778376960) 00:46:24.080 --> 00:46:40.410 Vendor fields which tend to be in the 0938 field. So I want to remove those. So to do that within the bibliographic fields area, I can add 938 and then you separate these by comma. 167 "Crystal Rodriguez" (2778376960) 00:46:40.410 --> 00:46:55.890 I want to also remove any fields that are between 080 and 088 so I can add 080, and then I use-to show that range. 168 "Crystal Rodriguez" (2778376960) 00:46:55.890 --> 00:47:11.880 And say 088. You note that there's different options for biobliographic records and authority records. We'll talk about authority records in a future class that's in our last class. A question is, does it delete in the OCLC record as well? 169 "Crystal Rodriguez" (2778376960) 00:47:11.880 --> 00:47:28.020 No, that's an important question. Here, this is just stating that you want to have these fields deleted upon export. This is most helpful if your ILS doesn't allow certain fields. 170 "Crystal Rodriguez" (2778376960) 00:47:28.020 --> 00:47:45.540 Or, you know, sometimes certain fields can cause issues etc. So I went ahead and added those fields. I'm gonna click ok and then I'm gonna click apply. And then just one other area to note in regards to the export settings. 171 "Crystal Rodriguez" (2778376960) 00:47:45.540 --> 00:48:04.500 Is I'm gonna go back to that field export option. Nope, not there. Under record characteristics. So if I click on record characteristics, if you are working with records that have diacritics and you're going to export these, this is where I can choose the character set. 172 "Crystal Rodriguez" (2778376960) 00:48:04.500 --> 00:48:22.590 For the biblographic records you do for authority records also, but for if you're gonna be using records that have diacritics, you're going to want to choose the character set of UTF-8 unicode. If you're not dealing with a lot of diacritics, you can leave it as mark eight. 173 "Crystal Rodriguez" (2778376960) 00:48:22.590 --> 00:48:38.730 So that's also a little bit of a troubleshooting thing. If you see that you're exporting records that have diacretics and it's not exporting properly, you might want to try to change this to UTF-8. And then once you set that, you would just click ok. And then click apply. 174 "Crystal Rodriguez" (2778376960) 00:48:38.730 --> 00:48:55.140 I'm gonna go ahead and close this. So to export a record, we have a few options. We can either use the F five, we can use our export button or we can use the action menu, so I'm gonna do action export. 175 "Crystal Rodriguez" (2778376960) 00:48:55.140 --> 00:49:10.800 And again, I see the other options there. So I'm gonna go ahead and click export. Now this is important to note connection does not give me a notice primarily because I didn't check that's the option there to get a report. 176 "Crystal Rodriguez" (2778376960) 00:49:10.800 --> 00:49:28.380 But what I do see is the C under export. And then if I go to that file location, which I'm gonna have to kind of pull over for you guys, bear with me as I pull that here. So my export test file was saved. 177 "Crystal Rodriguez" (2778376960) 00:49:28.380 --> 00:49:48.380 Sorry, you're seeing a whole bunch of stuff on my screen right now, but you can see that that did save the record to that file. And then just one more thing to point out with the exporting, once you have exported a record to a file, and then you go to export. 178 "Crystal Rodriguez" (2778376960) 00:49:48.380 --> 00:49:54.150 Another record, like let's go ahead and try just to export the same record. 179 "Crystal Rodriguez" (2778376960) 00:49:54.150 --> 00:50:12.510 What's gonna happen is you're gonna get a notice asking you, I didn't get this because it's not the 1st time I've done this, but the 1st time that you go to add an exporter record to a new file, you're gonna be asked if you want to append that record to that same rec file. 180 "Crystal Rodriguez" (2778376960) 00:50:12.510 --> 00:50:31.830 And that again is just your preference of do you want to add newly exported records for the same file? Do you want to clear that file out and start all over etc? Alright, so now I have some questions for you guys. Let me go grab those for you. 181 "Crystal Rodriguez" (2778376960) 00:50:36.300 --> 00:50:55.380 I'm gonna open up Slido. So on your screen now you should be seeing my question and I'm gonna launch the poll for you. So, which is not a function of validating? 182 "Crystal Rodriguez" (2778376960) 00:50:55.380 --> 00:51:15.380 Is it A checks validity of tags, indicators and sub field codes. B checks the validity of subject headings. C verifies all required fields are present. D verifies that non repeatable fields occur only once or E checks relationships beca. 183 "Crystal Rodriguez" (2778376960) 00:51:15.380 --> 00:51:23.250 Between some elements. So you should be seeing that poll so you could be checking there or if you prefer, you can just add your answer into the chat. 184 "Crystal Rodriguez" (2778376960) 00:51:23.250 --> 00:51:39.990 I'll give you all a moment or two to answer that question and note that the question is which is not a function of validate? 185 "Crystal Rodriguez" (2778376960) 00:51:39.990 --> 00:51:59.990 Yeah, a little tricky there. 186 "Crystal Rodriguez" (2778376960) 00:51:59.990 --> 00:52:09.060 Okay, looks like most of you did get that correct? It is B. 187 "Crystal Rodriguez" (2778376960) 00:52:09.060 --> 00:52:28.200 So it does not check the validity of subject headings. It does, however, perform all of the others that are listed here. And I do know that that now that I'm reading it I think that E can be somewhat confusing, but it is going to check that relationship between certain elements to make sure that that is correct. 188 "Crystal Rodriguez" (2778376960) 00:52:28.200 --> 00:52:44.040 And what that means is like, it's gonna say, is 2nd indicator correct for a distributor? Except example. Alright, one more question, and let me get that poll going for you. So. 189 "Crystal Rodriguez" (2778376960) 00:52:44.040 --> 00:52:59.280 You own two copies of a book, if one copy of the title is lost and you've withdrawn that copy from your library, how should you handle the Worldcat record? Do you delete the Worldcat record? Delete your holdings from the Worldcat Record. 190 "Crystal Rodriguez" (2778376960) 00:52:59.280 --> 00:53:17.070 Or do you do nothing? Keeping in mind that you still have one copy of that record, of that item, Wait a moment for you all to get a chance to answer that one. 191 "Crystal Rodriguez" (2778376960) 00:53:30.510 --> 00:53:49.920 Right, and it looks like just about everybody got that one. The answer is to do nothing. And the reason is because you still have one copy. Now, if that were your last copy of that item, then you would want to delete your holdings from Worldcat. 192 "Crystal Rodriguez" (2778376960) 00:53:49.920 --> 00:54:06.120 You would not want to delete the Worldcat record because that's gonna delete the record for everybody. And in fact I don't even think you all have that ability to delete records from worldcat, I mean. 193 "Crystal Rodriguez" (2778376960) 00:54:06.120 --> 00:54:24.060 Alright, I just see a question. Sorry if this is beyond the scope of this class, is it on purpose that so many records with zero holdings are kept in connection? Jay, I'm gonna say that probably is a little beyond the scope. 194 "Crystal Rodriguez" (2778376960) 00:54:24.060 --> 00:54:44.060 But I'm going to guess yes, I may I might actually guess that it's not on purpose, it's probably just that we haven't been asked to delete that record. And I do know that our quality control team does review records on a regular basis and they just may not have gotten around to that. So what I'm gonna. 195 "Crystal Rodriguez" (2778376960) 00:54:44.060 --> 00:54:45.780 Say is if you see that. 196 "Crystal Rodriguez" (2778376960) 00:54:45.780 --> 00:55:05.780 Let our support team know and they can investigate with quality control to determine if that record needs to be removed. Alright, so let's talk about replacing a record. I've kind of mentioned it a little bit here and there, so. 197 "Crystal Rodriguez" (2778376960) 00:55:05.780 --> 00:55:15.810 When you replace a record, Connexion client is going to save your changes to the Worldcat record. So it's very important that you only replace a record. 198 "Crystal Rodriguez" (2778376960) 00:55:15.810 --> 00:55:35.810 When necessary, when in when the WorldCat record itself is incorrect or you're enriching it, you're adding data, we'll talk about when you would do that in a moment. But that's gonna save those changes to WorldCat It's also going to add your OCLC symbol to a subfield D in the 040 field. 199 "Crystal Rodriguez" (2778376960) 00:55:35.810 --> 00:55:52.350 And you do need to have full level cataloging authorizations to replace records in WorldCat. So if you see that you don't have that ability, it's probably because you don't have full level authorization numbers. If your library. 200 "Crystal Rodriguez" (2778376960) 00:55:52.350 --> 00:56:08.040 Has a full catalogging subscription and you believe you should have access to that, reach out to support and they can get you connected to the right team to adjust your authorization number. Now, when should you replace a record? 201 "Crystal Rodriguez" (2778376960) 00:56:08.040 --> 00:56:28.040 You want to replace that record when you edit in the WorldCat record itself. This typically happens for corrections such as if you need to fix a typo, you see incorrect coding, et cetera. Also, you can use the replace when you're enriching a record such as adding subject headings, maybe you're adding a form. 202 "Crystal Rodriguez" (2778376960) 00:56:28.040 --> 00:56:47.400 Added content note, other enrichment options like that. Or if you're going to upgrade the encoding level of the record, maybe it's a minimal record and you want to make it a full level record, that would be a reason to edit the Worldcat record and replace it. And then lastly, if you're controlling headings in a record, if there's a. 203 "Crystal Rodriguez" (2778376960) 00:56:47.400 --> 00:57:04.410 Record that you notice does not have authority control in some of the headings. You can edit the Worldcat record, control those headings and and replace that. And it is appropriate very important as the note states here on our screen. 204 "Crystal Rodriguez" (2778376960) 00:57:04.410 --> 00:57:20.160 The changes are that you're making when you replace a record are not just for local use. So they have to make make sure it's appropriate for that royalcut record to be changed cause that's changing the cooperative record that everyone is seeing when they're coming to Connexion. 205 "Crystal Rodriguez" (2778376960) 00:57:20.160 --> 00:57:37.560 Or Discovery or Firstsearch any other service like that. And for the complete guidelines and policies for replacing Worldcat records, you wanna consult the bibliographic formats and standards chapter five? 206 "Crystal Rodriguez" (2778376960) 00:57:37.560 --> 00:57:54.510 And that link for buildographic formats and standards is in the learner guide, and, also you can reach out to our ask QC team. I'm putting their email into the chat. 207 "Crystal Rodriguez" (2778376960) 00:57:54.510 --> 00:58:14.510 In case you have, if you have any questions about should this be replaced? If if you're reading these guidelines and you still have questions, they're a great resource to ask questions about cataloging guidelines et cetera. Okay. 208 "Crystal Rodriguez" (2778376960) 00:58:14.510 --> 00:58:17.790 So when you're replacing records. 209 "Crystal Rodriguez" (2778376960) 00:58:17.790 --> 00:58:35.280 Typically the procedures are as seen here on the screen. You want to You have the option of saving or locking the record. If you save the record, you can save that into your online file, which is going to be seen by anyone at your library. 210 "Crystal Rodriguez" (2778376960) 00:58:35.280 --> 00:58:51.240 Or you can save it to a local file, which is just at your computer. We do talk more about those in our next class on batch processing. If you lock the record, that is going to prevent any other libraries from changing the record. 211 "Crystal Rodriguez" (2778376960) 00:58:51.240 --> 00:59:06.750 Until you replace it or after 14 days that locked record becomes unlocked. So that's also important to note. And if you have saved the record to a save file. 212 "Crystal Rodriguez" (2778376960) 00:59:06.750 --> 00:59:23.040 And you do replace, it will remove from that same file. Yes, the learner guide is available as a PDF, the link I did add it. Let me see if I can go grab it again for you, and add that into the chat again because some of you may have gotten here. 213 "Crystal Rodriguez" (2778376960) 00:59:23.040 --> 00:59:42.930 After I added it. So let me go grab that real quick. And when you go to this link, there is an icon to download it as a PDF. And that's actually true of most of our documentation. 214 "Crystal Rodriguez" (2778376960) 00:59:42.930 --> 01:00:01.050 Okay, so that's the locking. If you're gonna save, so both locking and saving records, that action can be found under the action menu or there are shortcuts as we keep saying. 215 "Crystal Rodriguez" (2778376960) 01:00:01.050 --> 01:00:20.760 So you have that option of saving or locking the record, then you're gonna want to edit the record using all the functions that we've covered already in the class and some of those shortcut keys that are in that learner guide. And then once you've edited the record, to correct or or add that enrichment for the Worldcat record itself. 216 "Crystal Rodriguez" (2778376960) 01:00:20.760 --> 01:00:40.470 Then you want to go to the action menu and choose replace or you can use the shortcuts or the toolbar as well. So let's take a look at some of these actions in Connexion. I'm gonna go ahead and open up a different record. I'm gonna just close this record. 217 "Crystal Rodriguez" (2778376960) 01:00:40.470 --> 01:00:57.660 And I'm going to use the cataloging search world cat box this time and we should go in depth on searching in our previous class in 2nd class. If you missed that, the recording is available on our help site. Okay. 218 "Crystal Rodriguez" (2778376960) 01:00:57.660 --> 01:01:17.660 So let me open up an OCLC record, and we're looking through this record and we see that in the 264 right now indicates that the place of publication is not identified. 219 "Crystal Rodriguez" (2778376960) 01:01:17.660 --> 01:01:19.950 I now know that this is. 220 "Crystal Rodriguez" (2778376960) 01:01:19.950 --> 01:01:37.680 Has been published in Van Nuys California, so I want to go ahead and make that change to And this would be an area that we would want to change on a WorldCat record if we have the item in hand, e.g., and we see the publication location. 221 "Crystal Rodriguez" (2778376960) 01:01:37.680 --> 01:01:57.210 So I'm going to go ahead and save the record 1st. I want to go to action, and I'm gonna save it to my online file. So I say save record to online file. I get a notice letting me know what the save file number is and Connexion's gonna save the record to the 1st available save file number. 222 "Crystal Rodriguez" (2778376960) 01:01:57.210 --> 01:02:13.770 And I'm gonna click ok and because I saved it, the record went away. So you're getting a little bit of a sneak peek to our next class. I'm gonna go ahead and click on cataloging, search, and I'm going to choose online and save file. And I want to change. 223 "Crystal Rodriguez" (2778376960) 01:02:13.770 --> 01:02:32.640 My option to save file number, and I recall that that save file number was 163. If I don't recall that, I can search the safe file by OCLC number. I also could look at all of the records in the save file, which we'll talk about in the next class. 224 "Crystal Rodriguez" (2778376960) 01:02:32.640 --> 01:02:51.300 So, now that I've got that saved, I want to go ahead and change the location. So just using some of the tools that we've already shown, I can just highlight and remove most of this text here, and I'm just gonna type in Van Nuys California. 225 "Crystal Rodriguez" (2778376960) 01:02:51.300 --> 01:03:07.770 As my location to edit that. And then this is where once I've completed all of my edits, I would want to use any of the options for replacing, so I'm just gonna show you that I can go to action and now I see the replace. 226 "Crystal Rodriguez" (2778376960) 01:03:07.770 --> 01:03:24.900 Record option. You do have a replace and update holdings option. This is helpful if you haven't added your holdings yet, so that you can do that all in one step. I am not going to replace the record right now because this is just for demonstration purposes and I cannot save this to Worldcat. 227 "Crystal Rodriguez" (2778376960) 01:03:24.900 --> 01:03:42.360 This is just a, a demo scenario, right? Now also if you had locked the record and then you decide that you don't want to make the change and you don't want to wait that 14 days, in fact. 228 "Crystal Rodriguez" (2778376960) 01:03:42.360 --> 01:04:02.360 You shouldn't wait the 14 days unless you have to because let's, if it's still locked, other libraries can't make that change. So, let's assume that I've locked this record instead of adding it to the save file, I can use action and then I can choose release record log lock. I'm not seeing that because I haven't actually locked it. 229 "Crystal Rodriguez" (2778376960) 01:04:02.360 --> 01:04:19.620 But we can do that lock record and it tells me in this case if I do that it'll change my changes because I didn't do it 1st. So I'm gonna say NO, but once you've locked the record, the release record lock will show. Now. 230 "Crystal Rodriguez" (2778376960) 01:04:19.620 --> 01:04:39.620 Let's assume that I've already made my changes and this I resaved this file into the save file, but now I want to remove it. I can just go to action and then say delete record. I know that's a little confusing sometimes because you're thinking, oh, I'm gonna delete this record from WorldCat. But NO, if it's in the save file and you say delete. 231 "Crystal Rodriguez" (2778376960) 01:04:39.620 --> 01:04:42.570 The record you're just deleting it from the same file. 232 "Crystal Rodriguez" (2778376960) 01:04:42.570 --> 01:05:02.570 So I get a notice asking me if I want to do that. I'm gonna say yes, and now if I went to try to find that record again, it's not there. Alright, ok, sorry question. Sorry, I didn't understand if you've already. 233 "Crystal Rodriguez" (2778376960) 01:05:02.570 --> 01:05:22.500 Already imported the record to your LMS, but you like the edited updated record would update it update record, update the record already imported to. So if you've already added your holdings, you don't need to update the record again. What you could do in that scenario is go find the record and. 234 "Crystal Rodriguez" (2778376960) 01:05:22.500 --> 01:05:39.780 Export it again and then import it into your local system cause once you've added your holdings, you don't need to add your holdings again. I, is that, I hope that answers your question, if not let me know. All right. 235 "Crystal Rodriguez" (2778376960) 01:05:42.930 --> 01:06:00.690 Yeah. Yep, so you can, and you can do that as well. There's, if there's really NO reason for you to necessarily go get the record again out of WorldCat unless the edited version has something that's beneficial to you in your LMS. 236 "Crystal Rodriguez" (2778376960) 01:06:00.690 --> 01:06:19.020 So, like if somebody enhanced the record and they made several edits, then you might want to re export it and import it into your system again. All right. Now I touched briefly on this. 237 "Crystal Rodriguez" (2778376960) 01:06:19.020 --> 01:06:37.560 But let's say that you've discovered that there's an error in a record that you can't fix. You can report that error to our WorldCat metadata quality team. So there's three ways to do that. You can report the error error within Connexion, which I'll show you in a moment. 238 "Crystal Rodriguez" (2778376960) 01:06:37.560 --> 01:06:57.560 You can also within Connexion use the help menu to use the useful web links. Again, I'll show you that in a moment. You can also email and I apologize, Bibchange@OCLC.org, I mentioned ask QC before there, that team more for quality control questions. 239 "Crystal Rodriguez" (2778376960) 01:06:57.560 --> 01:07:16.620 Change. I'm gonna add that as well here. They're going to be the ones that you want to say, hey, I think there's an error in here. I can't change this. Does this need changed? Real quick question, will the edits any master eventually find its way to your exported record during updates? Elba, I'm gonna say. 240 "Crystal Rodriguez" (2778376960) 01:07:16.620 --> 01:07:33.240 Most likely not unless perhaps if you're using Z39.50, it might happen in that way or if you're using some sort of a data sync process at that point yes. The only other time I would say that that's most likely going to happen is if you're. 241 "Crystal Rodriguez" (2778376960) 01:07:33.240 --> 01:07:48.960 Using WorldCat Cataloging Partner Collections, yeah, or reclamation, something like that, so unless you're getting some sort of automated process from OCLC to give you Worldcat updates. 242 "Crystal Rodriguez" (2778376960) 01:07:48.960 --> 01:08:08.640 No, you would want to go get those yourself. And Stephanie, yeah, we had a whole OCLC reclamation project to update our holdings a while back. That is an option that OCLC offers. Reclamations do have a fee along with them. Some libraries have the option of just doing data sync collections either a one time or ongoing. 243 "Crystal Rodriguez" (2778376960) 01:08:08.640 --> 01:08:26.580 To get your holdings up to date. If it's been a while since your holdings have been updated, if you, for whatever reason, haven't kept Worldcat up to date, we always recommend that you reach out to our support team to talk about some of those projects that might allow you to do that in a batch way. 244 "Crystal Rodriguez" (2778376960) 01:08:26.580 --> 01:08:45.630 Or you come to my next class where I talk about batch processing, as well, that's another option, but that one you would have to do a lot of that work on your own. So there are options and we do highly recommend that you keep your WorldCat holdings up to date. As I mentioned, it's gonna benefit you if you're using other services. 245 "Crystal Rodriguez" (2778376960) 01:08:45.630 --> 01:09:04.200 Especially if your library is using WorldShare ILL. All right. So let let me go back over to showing you those options that are available in Connexion for reporting errors. But before I do that, do note that. 246 "Crystal Rodriguez" (2778376960) 01:09:04.200 --> 01:09:19.560 I have a link here so at times you might need to prove why those changes are necessary, so you would want to refer back to that chapter five of the bibliographic formats and standards. So if you're asked to give, hey, this is why I think this change needs to happen. 247 "Crystal Rodriguez" (2778376960) 01:09:19.560 --> 01:09:39.560 Let me jump back over to my Connexion, and I'm going to go ahead and open up that previously open bibliographic record, and while I'm, I have to be online to show you these two options for report. 248 "Crystal Rodriguez" (2778376960) 01:09:39.560 --> 01:09:40.800 Putting an error. 249 "Crystal Rodriguez" (2778376960) 01:09:40.800 --> 01:10:00.800 So I'm already logged on still. So the 1st option is to go to the action menu, and then I see the option for report error. And when I click on that, it's automatically giving information and I can then use the text here, the text box to indicate why I think this record needs to be changed. 250 "Crystal Rodriguez" (2778376960) 01:10:00.800 --> 01:10:17.730 Or corrected. And the nice thing about following either of these steps is it's going to send all the record, important record data to the appropriate team here at OCLC. So let's say I wanna say, oh, I see an a typo. 251 "Crystal Rodriguez" (2778376960) 01:10:17.730 --> 01:10:36.840 One of my most common typos in WorldCat is untied states instead of United States, so let's say you can't correct that, you can indicate that here. The other option is under the help menu, and then you see the useful web links, and there's the record change request. 252 "Crystal Rodriguez" (2778376960) 01:10:36.840 --> 01:10:55.110 Link, and that's going to open up a form for you to fill out. And you would need to make sure that you're putting in either the OCLC number if you're talking about a bibliographic record or the authority record number if it's an authority record. And again, you can add information here. This is, as you see, this one's really helpful. 253 "Crystal Rodriguez" (2778376960) 01:10:55.110 --> 01:11:15.110 If you find duplicates and you want to let us know, so this is where you can say, this is what I believe to be the correct record, put in the OCLC number there and then you can say these ones I think are duplicates, and you fill that in, click submit, and again, that's gonna go to the appropriate team. And there is information here if you need to. 254 "Crystal Rodriguez" (2778376960) 01:11:15.110 --> 01:11:32.700 To, find information on who do you talk to regarding whether it's a billographic record or an authority record. So that's a nice tool for being able to report errors. And. 255 "Crystal Rodriguez" (2778376960) 01:11:32.700 --> 01:11:48.780 The learner guides should have information about that as well. All right. Let's talk now about creating records. So OCLC and member libraries. 256 "Crystal Rodriguez" (2778376960) 01:11:48.780 --> 01:12:08.780 Worldwide collectively create enhance, and share quality records found in WorldCat. For most resources, you should be able to find a record in Worldcat so that you can copy catalog instead of doing original cataloging. So 1st before creating an original, you always want to search WorldCat thoroughly to avoid adding. 257 "Crystal Rodriguez" (2778376960) 01:12:08.780 --> 01:12:26.790 Any duplicates and also searching Worldcat will allow you to potentially find a sec for a similar item that you might be able to derive a new record from rather than starting from a new rec, from a blank work form. So. 258 "Crystal Rodriguez" (2778376960) 01:12:26.790 --> 01:12:44.190 Examples when you might be able to do that will be talked about in a moment. And then if you're in doubt of whether you have found a matching record, you wanna look at chapter four of the billographic formats and standards, which is when to input a new record. 259 "Crystal Rodriguez" (2778376960) 01:12:44.190 --> 01:13:04.190 And there you will find general guidelines on when you'll need to create a new original record. And this also includes field by field guidelines to help you decide if you should use an existing record that you found in WorldCat for copy cataloging or if you can, if you need to create a new record. If you don't find a matching record. 260 "Crystal Rodriguez" (2778376960) 01:13:04.190 --> 01:13:05.850 That's record after. 261 "Crystal Rodriguez" (2778376960) 01:13:05.850 --> 01:13:25.850 Exhausting your search options, and you determine that you do need to create a new record, you can review chapter two of the bibliographic formats and standards to get additional information on creating new records. So this class does not discuss the policies or guidelines for inputting a new WorldCat record. 262 "Crystal Rodriguez" (2778376960) 01:13:26.430 --> 01:13:46.430 Nor do we discuss the how to catalog and cataloging processes. Really, we're just about how to use Connexion to create a new record. I will say that there are some trainings available, e.g. through WebJunction or cataloging specifics. Stephanie I think I just answered your question. Are there future. 263 "Crystal Rodriguez" (2778376960) 01:13:46.430 --> 01:14:03.840 For classes for that. We do not offer as a training team, we train on using the products, we don't train on cataloging, but as I mentioned just now, OCLC does offer a service called WebJunction, where there are some pretty good classes there. 264 "Crystal Rodriguez" (2778376960) 01:14:03.840 --> 01:14:20.670 Also, if you do go to our training site, we do have some external options for you, and that training site link is in the learner guide as well. So yeah, unfortunately we don't really offer classes on cataloging in and of itself. 265 "Crystal Rodriguez" (2778376960) 01:14:20.670 --> 01:14:40.670 But what we can do, like I said earlier is you have, if you have like a specific example, specific question, you can reach out to our ask QC team, and they can provide some input. All right. So if you've determined that a new record is needed. 266 "Crystal Rodriguez" (2778376960) 01:14:40.670 --> 01:14:51.480 You can either create a new record from a blank blank work form or you can derive a new record from an existing record. 267 "Crystal Rodriguez" (2778376960) 01:14:51.480 --> 01:15:07.890 And it's important to note that when you're using either of these methods, the record is not added to Worldcat until you take the update action, which is that where you go to the action menu holdings and then update holdings or use one of the other methods. At that point then. 268 "Crystal Rodriguez" (2778376960) 01:15:07.890 --> 01:15:24.120 This, the update action is going to add the record to WorldCat and it's going to assign a an OCLC number. So let's go back to Connexion and take a look at this. Alright, let me close out of that previous option. 269 "Crystal Rodriguez" (2778376960) 01:15:24.120 --> 01:15:42.990 So, if you're going to be creating a record from a blank work form, you want to go to the cataloging menu, and this time you're gonna use create and then you see the option for single record, and then you choose the type of workform. Now, in some cases. 270 "Crystal Rodriguez" (2778376960) 01:15:42.990 --> 01:16:01.590 Like e.g. visual materials, that's gonna be the overarching visual materials and then you'll have to use some of the fixed fields to indicate what type of visual material. Is it a dvd? Is it a CD et cetera? That's actually CD would be sound recording, but so we're gonna go ahead and click on books. 271 "Crystal Rodriguez" (2778376960) 01:16:01.590 --> 01:16:21.420 And when we click on books, we get a blank work form. There's a few things I want to point out here. So when you're scrolling down, you see these fill characters. These aren't kind of given to you to indicate that these are required areas of these fields if you. 272 "Crystal Rodriguez" (2778376960) 01:16:21.420 --> 01:16:41.420 Are using them. So there are also some of these up within the fixed fields as well. So essentially that's just telling me, you know, if I use a 246 I need to make sure I'm reviewing both of the indicators. So you can either just type over those or let's say you don't. 273 "Crystal Rodriguez" (2778376960) 01:16:41.420 --> 01:16:42.300 Need. 274 "Crystal Rodriguez" (2778376960) 01:16:42.300 --> 01:17:02.300 The 1st indicator, you can just click in it, hit delete, and take that away. But I can also just tap over and click one. So you would want to go ahead and fill in each of the data pieces, the fields that you have for your record. There are some basic fields which are in are just. 275 "Crystal Rodriguez" (2778376960) 01:17:02.300 --> 01:17:20.760 Just in the bibliographic formats and standards sub that's in the chapter two. So the other thing I want to point out here is if we look at the O4O field, my OCLC symbol is automatically showing in the subfield A and in the subfield C. 276 "Crystal Rodriguez" (2778376960) 01:17:20.760 --> 01:17:35.940 So once I would completely fill in all of the necessary fields, then note that right now under OCLC number, we just see the word new. But once I've completed editing this work form. 277 "Crystal Rodriguez" (2778376960) 01:17:35.940 --> 01:17:50.940 Then I can take that action. I'm gonna show you it's under action holdings, update holdings again, or I can use the shortcuts or the total toolbar. Once I update holdings, I can't do it right now, but once I do that, when I have a new record. 278 "Crystal Rodriguez" (2778376960) 01:17:50.940 --> 01:18:08.370 Then my OCLC number is going to show there the new OCLC number, and then it would show held by my library as we have previously seen. Alright, I'm going to go ahead and X out of that form. 279 "Crystal Rodriguez" (2778376960) 01:18:08.370 --> 01:18:28.370 Now, as I mentioned, when you derive a record, that's helpful if you have searched for a WorldCat record and let's say you can't find the record for the item that you have, but let's say maybe you have a different format or a different, oh, you have a different edition, and so you want to be able to use most of the. 280 "Crystal Rodriguez" (2778376960) 01:18:28.370 --> 01:18:29.310 Data. 281 "Crystal Rodriguez" (2778376960) 01:18:29.310 --> 01:18:49.310 Then this is where derive comes in handy and we'll talk in 1 s. To answer your question Stephanie, is being given an OCLC number for a new record pretty immediate? Yes. Once you click that action, it'll, it'll show up pretty quickly there. Okay, so before we derive, there are a couple of settings. 282 "Crystal Rodriguez" (2778376960) 01:18:49.310 --> 01:19:07.980 Things. I'm going to I'll answer the other question in a moment. So if I go to tools options, and then I want to click on derive record. So before we derive, we can indicate what fields we want to be pulled over when we derive records. So. 283 "Crystal Rodriguez" (2778376960) 01:19:07.980 --> 01:19:23.010 This is the default. If I want to reset the default, I'm just gonna click reset, but let's say that my ILS, we don't need let's say we don't really want to move over any notes or 5 I doubt this would happen, but let's just, you know. 284 "Crystal Rodriguez" (2778376960) 01:19:23.010 --> 01:19:39.120 Say we don't want 5XX fields, but we do want the O2X because we want to transfer over the ISBN. Then I would just check that here, click apply, and click close. I'm gonna actually remove the 1XX so you get a better visual here. 285 "Crystal Rodriguez" (2778376960) 01:19:39.120 --> 01:19:55.170 Apply close. Before I move on to the next step, let me look. So it doesn't force the creation of an RDA record. No. Now if you're working within WorldShare Record manager, you can, you have an option of either an RDA. 286 "Crystal Rodriguez" (2778376960) 01:19:55.170 --> 01:20:10.380 Or a MARC 21 record when you're creating honestly, I'm not sure about creating RDA in Connexion. I mean you obviously you see as we're looking at records that RDA fields aren't there. 287 "Crystal Rodriguez" (2778376960) 01:20:10.380 --> 01:20:25.650 If your I do know that if your library uses the RDA toolkit, you can do that within connection. I'm gonna say if you have other questions about RDA, please reach out to our support team and they can get you with the correct team to help address those. Alright. 288 "Crystal Rodriguez" (2778376960) 01:20:25.650 --> 01:20:44.160 So to show you deriving a record, I'm going to, I've already searched for a record and I found this OCLC record. So I'm gonna pull this up, and this is a record for an audio disk version, but let's say that I have. 289 "Crystal Rodriguez" (2778376960) 01:20:44.160 --> 01:21:00.690 Now acquired the video version for this seminar. So I'm I'm like, ok, most of this information is gonna be pretty useful to me, so I wanna go ahead and derive a record from this. So I found a good record that I can use. 290 "Crystal Rodriguez" (2778376960) 01:21:00.690 --> 01:21:16.110 Most of the data for. So to derive, I'm going to use edit and then derive, and then I choose new world cat record, and I'm asked if I want to transfer the fixed field fees as well. That's kind of your preference. 291 "Crystal Rodriguez" (2778376960) 01:21:16.110 --> 01:21:36.110 Again, if you think you're gonna use most of those, go ahead and transfer them. If you don't, then just say NO. I'm gonna go ahead and say yes. And I want to just show that because I made those changes in the options, my 028 field transferred over and the 100 field didn't. 292 "Crystal Rodriguez" (2778376960) 01:21:36.110 --> 01:21:42.360 And there's NO 5XX fields here either. 293 "Crystal Rodriguez" (2778376960) 01:21:42.360 --> 01:21:57.690 And then again we see that right now this shows as new and the fixed fields did transfer, so we would wanna make sure that we review those and edit as appropriate. So e.g., we know this isn't a sound recording that we're going to be cataloged. 294 "Crystal Rodriguez" (2778376960) 01:21:57.690 --> 01:22:17.690 So cataloging, so we want to change it to visual materials, and then we would want to make sure that we update the fixed fields. You'll note that as soon as I change it to visual materials, some of those fixed fields already changed for me. But as with anything, when you're deriving a record, it's extremely important that you review that new record to make sure. 295 "Crystal Rodriguez" (2778376960) 01:22:17.690 --> 01:22:36.780 You've create edited as much all of the appropriate areas. So, you know, e.g., you definitely want to make sure that you're updating your 300 field because now we know the record we have is not audio discs. It's gonna be a video, so we want to adjust the 300 appropriately. We want to add in in some 500 notes. 296 "Crystal Rodriguez" (2778376960) 01:22:36.780 --> 01:22:56.780 Or as appropriate et cetera. And again, for today's demo purposes, I can't really save this or export it or I mean, sorry, I can't really add my holdings, but in real life, once I made all my edits and I'm ready for this record to go live in Worldcat, again, action holdings. 297 "Crystal Rodriguez" (2778376960) 01:22:56.780 --> 01:23:17.210 Update holdings or one of the other ways of updating those holdings that's going to add my holdings, give me an OCLC number the same way that creating a new record does. Okay. And with our last few minutes, I want to show you something else. I just. 298 "Crystal Rodriguez" (2778376960) 01:23:17.210 --> 01:23:18.300 Accidentally. 299 "Crystal Rodriguez" (2778376960) 01:23:18.300 --> 01:23:38.300 Minimized too too much there. All right. So some libraries find it helpful to import records from your ILS or an external source. This is useful if you've already created records in your ILS and you want to add them to Worldcat. Again, I. 300 "Crystal Rodriguez" (2778376960) 01:23:38.300 --> 01:23:41.730 Mostly you would 1st want to make sure they don't already exist in Worldcat. 301 "Crystal Rodriguez" (2778376960) 01:23:41.730 --> 01:23:59.310 And so to do that, you will need to export the records from your ILS in Marc 21 communication format. And then in Connexion you can import the file of records. You can then save them to either a local file or an online save file. 302 "Crystal Rodriguez" (2778376960) 01:23:59.310 --> 01:24:19.310 Where they then become work forms with same characteristics as if you had manually typed them directly in connection client. So this can be really helpful in cases where you've created in your ILS, maybe you have a special collection that you of I don't know maps cause I'm using maps cause they. 303 "Crystal Rodriguez" (2778376960) 01:24:19.310 --> 01:24:23.400 Sometimes don't show up in Worldcat or rare books or something. 304 "Crystal Rodriguez" (2778376960) 01:24:23.400 --> 01:24:40.740 That most likely there's not going to be a Worldcat record for these items or like I said, you've already confirmed it doesn't exist, and instead of creating these one by one, you want to import. So to do that, you go to the file menu, click on import records. 305 "Crystal Rodriguez" (2778376960) 01:24:40.740 --> 01:24:59.700 And you locate the file of records. It's going to be a.mrc file. It has to be. So I have already done this, but let's just show you if I click browse, then I am taken to my Explorer to be able to locate that file. I know this is the file. 306 "Crystal Rodriguez" (2778376960) 01:24:59.700 --> 01:25:16.290 I click open and now it's showing up, actually that's a different file. And here I can choose to import that either to my online safe file or my local safe file. If I choose local safe file, I'm given the option to be taken to the local file manager. 307 "Crystal Rodriguez" (2778376960) 01:25:16.290 --> 01:25:35.070 Where I can create files. This is my default file. Sorry to do this to you again, but we will talk more about local files in our next class and save online safe files as well. But I want to go ahead and just add those to my default, so I'm just gonna click import local safe file. 308 "Crystal Rodriguez" (2778376960) 01:25:35.070 --> 01:25:51.210 And then if I click ok, I do have a few options which I could review. For the interest of time today, I don't really have time to show you those, but, we do have in depth documentation on those that you can find in that learner guide. So if I click on ok. 309 "Crystal Rodriguez" (2778376960) 01:25:51.210 --> 01:26:08.880 Then what happens is I get a message asking me if I want to delete my original import file. I usually say NO because I want to just review and make sure that that did import properly, but that's really up to you if you know you're never gonna use that import file again. 310 "Crystal Rodriguez" (2778376960) 01:26:08.880 --> 01:26:25.080 You can say yes. If I say NO, I can then go manually remove it. So I'm gonna say NO here, but I also do get a report letting me know that one of those records did in fact import to my local save file. I'm gonna X out of this. If I go to cataloging search. 311 "Crystal Rodriguez" (2778376960) 01:26:25.080 --> 01:26:41.910 Local save file, I choose my local safe file here at under the local file. I only have that one default to see all the records in my local save file, I just leave everything blank and I click ok and I know that. 312 "Crystal Rodriguez" (2778376960) 01:26:41.910 --> 01:27:00.570 Well, I can see today's date of 9/9 I can see that that's the record I just imported. And then I can work on these records and make updates here and then add my holdings at the appropriate moment. And then once I've done that, I can remove these from my local safe file. 313 "Crystal Rodriguez" (2778376960) 01:27:00.570 --> 01:27:16.470 Or online file if that's what i'm using. So I can, to do that, I click the title, go to action, choose delete record, say yes. I know that last thing I ran through it pretty quickly. I really just wanna make sure you know it exists. 314 "Crystal Rodriguez" (2778376960) 01:27:16.470 --> 01:27:36.470 But there is some really good documentation on that process and you can find that by going to our help site. Or if you have any questions on it, you can reach out to our support team. All right. 315 "Crystal Rodriguez" (2778376960) 01:27:36.470 --> 01:27:38.820 And with our last couple of minutes. 316 "Crystal Rodriguez" (2778376960) 01:27:38.820 --> 01:27:57.330 I'm just checking to see if there's any questions I haven't addressed. If you have any questions, go ahead and add those. If I don't get to them today, I can make sure to either follow up myself or have our support team follow up as appropriate. I think I've gotten to everything that has been asked. 317 "Crystal Rodriguez" (2778376960) 01:27:57.330 --> 01:28:17.310 If questions come up, you can go to our help site at help.OCLC.org, you can contact support either by clicking on the contact OCLC support there or you can use this short URL of oC.lc/support and locate support information in your region. 318 "Crystal Rodriguez" (2778376960) 01:28:17.310 --> 01:28:35.400 And then at the end of this class, you're going to be taken to an evaluation. We do appreciate you filling that out, taking a few moments to do that.
