WEBVTT 1 "" (0) 00:00:00.000 --> 00:00:05.546 Okay, welcome, everyone. 2 "Mary Alice Robinson" (179518976) 00:00:05.546 --> 00:00:23.239 This is WorldShare Record Manager, Edit Worldcat biblographic records. I'm Mary Alice Robinson. I'm a senior product trainer here at OCLC. I'm going to be going back and forth between some slides with some information and. 3 "Mary Alice Robinson" (179518976) 00:00:23.239 --> 00:00:43.239 then we're going to go to Record Manager. We'll be spending most of the time actually in Record Manager going over a number of things related to editing bib records. Next slide is going to tell you exactly what we are going to cover. These are the learning objectives. So 1st of all, I'm going to look at some user preferences. We'll look at the ones 4 "Mary Alice Robinson" (179518976) 00:00:43.239 --> 00:00:52.500 That pertain to the topics we're covering today. Secondly, we'll spend, as I said, most of the time editing biblographic records, Worldcat records. 5 "Mary Alice Robinson" (179518976) 00:00:52.500 --> 00:01:12.500 Using the save in progress file, also setting and deleting holdings, and then finally exporting bibliographic records. So essentially this class is really, kind of the introductory class. The focus is on copy cataloging and some of the. 6 "Mary Alice Robinson" (179518976) 00:01:12.500 --> 00:01:32.500 editing you may need to do for a record in worldcat. Maybe you have some edits you want to make, and then you want to finish up by adding your holdings and then exporting the record. We always have an audience of WMS and non WMS libraries. If you are a WMS library, a WorldShare Management Services library, you're 7 "Mary Alice Robinson" (179518976) 00:01:32.500 --> 00:01:52.500 using acquisitions and circulation, for the most part, you don't need to specifically set your holdings. When you add your local holdings records for your monographs and serials, your symbol does get automatically added to the record and then same thing for exporting bibliographic records. For the most part, Worldshare Management libraries don't have to export records. 8 "Mary Alice Robinson" (179518976) 00:01:52.500 --> 00:02:07.170 The WorldCat record is your record, which you access via Discovery. But we'll go over all of these topics. Do feel free to ask questions as we go. As I said, I'm monitoring the chat as we go here. 9 "Mary Alice Robinson" (179518976) 00:02:07.170 --> 00:02:27.170 Alright, so 1st of all, just to tell you in case anybody does not have access to Record Manager. If you are an OCLC cataloging metadata subscriber already, all you have to do is request it, ok? This link is in the learner guide, but it will go right to a page that looks just like this. 10 "Mary Alice Robinson" (179518976) 00:02:27.170 --> 00:02:47.170 Basically, you fill out your information, request to get your access to Record Manager, and you should be able to get that set up very easily and quickly. If you're not a catalogging subscriber, also contact OCLC support and you can review some options that you have there and and then when you become a subscriber, of course, you'd get access directly 11 "Mary Alice Robinson" (179518976) 00:02:47.170 --> 00:02:48.120 to Record Manager. 12 "Mary Alice Robinson" (179518976) 00:02:48.120 --> 00:03:08.120 So that's one thing, again, that's in the learner guide, all that information and the link. So 1st thing as I said, we're going to look at is some of the user preferences in Record Manager. And when we're looking at Record Manager, when you're logged into Record Manager, user preferences is on the left navigation. 13 "Mary Alice Robinson" (179518976) 00:03:08.120 --> 00:03:28.120 And once you click on user preferences on the left, then you'll see what you see on the middle of my screen there, we call these accordions and you can open them one at a time and see the various preferences you probably want to take a look at. We're going to look at working with records, searching basic and searching 14 "Mary Alice Robinson" (179518976) 00:03:28.120 --> 00:03:47.430 Advanced. Hopefully we're goin to have time right before the very end when we go over exporting records where I'll also look briefly at exporting bitlographic records. If I don't have time, keep in mind that you do want to look at that briefly before you start exporting though. But I think we should have time to cover that as well towards the end of the session. 15 "Mary Alice Robinson" (179518976) 00:03:50.790 --> 00:04:10.790 Okay, so with that, I'm going to start sharing my screen. I'm logged in already. You should be seeing that now. I'm logged into Record Manager. I've already selected metadata and then after you do that, you'll see a screen that looks like this, so I've selected 16 "Mary Alice Robinson" (179518976) 00:04:10.790 --> 00:04:19.140 Record Manager, and here's the link that says user preferences. So I'll go ahead and click on that. 17 "Mary Alice Robinson" (179518976) 00:04:19.140 --> 00:04:39.140 Alright, and then here again is those accordions I just mentioned. So 1st we're going to look at Working with Records. Alright, notice that there's two tabs. The default is opening up to bibliographic records, which we're going to look at, but there's also a tab for lhrs, local holdings records. 18 "Mary Alice Robinson" (179518976) 00:04:39.140 --> 00:04:59.140 So we're just going to stick with bib records for today though. 1st of all, you've got your default editor. i'm leaving mine set and I believe the default is MARC 21, so it's the tag view of all the MARC fields. There is an option for text view. It's a labeled display of the MARC tags. I do believe that 19 "Mary Alice Robinson" (179518976) 00:04:59.140 --> 00:05:14.369 Not all of the marked tags maybe visible. And I will tell you the advantage of the Mark 21 view is you have links for help to give formats and standards, so I'm gonna show you that today. So that's one thing. Check out text view if you prefer that though, that's available. 20 "Mary Alice Robinson" (179518976) 00:05:14.369 --> 00:05:34.369 Default record format, AACR2 or RDA. I've got mine set to RDA. What you'll see there is some additional prompts for fields and so on. This is my default, also for creating a new record. When I'm creating a new Worldcat record, the work form will also have those options and 21 "Mary Alice Robinson" (179518976) 00:05:34.369 --> 00:05:38.039 Various things that, you know, would be there for RDA. 22 "Mary Alice Robinson" (179518976) 00:05:38.039 --> 00:05:58.039 Default holding library code O49, not something you really probably ever have to worry about. The default for me, my training library has branches, my default is MAIN This used to be the O49 was something that was important when libraries printed cards a long 23 "Mary Alice Robinson" (179518976) 00:05:58.039 --> 00:06:18.039 time ago and that they may have wanted that printed on a card for a particular collection. There may be some reasons why you might need to change that, but I want to say for the most part you don't need to. Even if you're creating local holdings records, your locations are going to be in the LHR, not in the 049 24 "Mary Alice Robinson" (179518976) 00:06:18.039 --> 00:06:38.039 of the bib record. So again, as I said, it will be there 049. You can't delete it, can't move it. You can pretty much, you know, just leave it there. Default classification scheme, this is important. I have mine set to Library of Congress and here's all your other options. This is important because 25 "Mary Alice Robinson" (179518976) 00:06:38.039 --> 00:06:58.039 when creating labels, the system is going to look for a call number in a library congress field, so in 050 or in a local LC call number field in 090 . The system will give you a blank 090 field if you're profiled 26 "Mary Alice Robinson" (179518976) 00:06:58.039 --> 00:07:18.039 for library congress, where you can optionally enter a LC local call number, maybe slightly different from the LC assigned call number. If you are profiled for Dewey and you've entered that here, then you're going to see the Dewey number 092, but you I'm sorry, 082, but you also see a blank 27 "Mary Alice Robinson" (179518976) 00:07:18.039 --> 00:07:38.039 092 so you can, if you'd like to, enter a local Dewey number in that field. And again, it's important for printing labels, so the system knows where to look for that call number and so on. It's also important if your're a WMS library, the system will look for and populate 28 "Mary Alice Robinson" (179518976) 00:07:38.039 --> 00:07:44.429 a call number in your local holdings record based on your classification scheme you've chosen. 29 "Mary Alice Robinson" (179518976) 00:07:44.429 --> 00:08:04.429 Default cutter type, if your dewey library, you then have the option to choose for figure or sandborn. Default holding audience level. I will tell you about this, but 1st of all, to be clear, this is something that is available only for WMS libraries. This allows WMS libraries to. 30 "Mary Alice Robinson" (179518976) 00:08:04.429 --> 00:08:24.429 to choose the level of visibility of their holdings. I have the institution setting which is done somewhere else set to all users. In other words, there are NO restrictions. But right here on preferences, if you're a WMS library, what you can do optionally is select override. 31 "Mary Alice Robinson" (179518976) 00:08:24.429 --> 00:08:30.119 And if you do select override, you'll be able to change the default. 32 "Mary Alice Robinson" (179518976) 00:08:30.119 --> 00:08:50.119 from who sees your holdings, from all users to my library users, my authenticated users, my library staff. So we're talking about who's able to see your holdings, your bib records and your lhrs in Discovery. Okay, and for now, as I said, this is really just for WMS libraries. 33 "Mary Alice Robinson" (179518976) 00:08:51.659 --> 00:09:11.659 Alright, constant data, I'm gonna kind of skip over this cause I'm not going to go over constant data, but this is just fields if you'd like to have copied over when you're creating your constant data record. There is a short video concentrated or focused just on constant data. field strings and text strings, so look for that if you 34 "Mary Alice Robinson" (179518976) 00:09:11.659 --> 00:09:31.659 Want more information about constant data. And then also I'm kind of going to skip over the section on controlled headings because we're not going to be talking too much about that today. I go into this whole section in a lot of detail in the instructor led course called authority control. One of the three courses that we have for Record Manager. 35 "Mary Alice Robinson" (179518976) 00:09:31.659 --> 00:09:46.199 Let's see RDA toolkit. If you have a subscription, this is where you'll need to enter your credentials, your account ID, and your password, and if you do that, you then can get RDA help when you're viewing a, a Worldcat record. 36 "Mary Alice Robinson" (179518976) 00:09:46.199 --> 00:10:06.199 I will show you that when we look at a record in a moment. And default export method. I have mine set to export list. We'll talk about exporting a little bit later, but these are basically the two options. Send your exports to a list or send them via TCP IP directly into your ILS 37 "Mary Alice Robinson" (179518976) 00:10:06.199 --> 00:10:09.269 if your system is capable of that. 38 "Mary Alice Robinson" (179518976) 00:10:09.269 --> 00:10:29.269 Okay, now if you change anything, I don't think I changed anything, but I almost did, I kind of looked at the dropdown and, you know, I don't think I changed anything, but if you do change anything, you're going to see an orange dot just to remind you that you made some change, you want to make sure you save it. You can 39 "Mary Alice Robinson" (179518976) 00:10:29.269 --> 00:10:41.249 go ahead and make changes on all of the, you know, other accordions if you wish and then save them all at the end or you can save it as you go. I'm going to close out the Working with Records section now. 40 "Mary Alice Robinson" (179518976) 00:10:41.249 --> 00:11:01.249 And I'm going to go to the one above it, the searching basic. Alright, now here you've got the data type options, 1st of all. I have them all clicked. All right, all of the options, authority records, bib records, local bib data, and local holdings records. Again, I'm not 41 "Mary Alice Robinson" (179518976) 00:11:01.249 --> 00:11:19.649 spending much time at all on these last two options or or on authority records just because they're covered in other training content, either short videos or the longer instructor led training. But anyway, I have my default as bib records, but I have them all for display, ok? 42 "Mary Alice Robinson" (179518976) 00:11:19.649 --> 00:11:39.649 And then I've got the four tabs here, as you can see, here's my bib records searching. Alright, so 1st of all, 1st option, one search result only you can optionally open the record for editing. That just means that you'd go directly to the record rather than seeing it in a results list 1st. 43 "Mary Alice Robinson" (179518976) 00:11:39.649 --> 00:11:53.819 If you do a lot of OCLC number searching in which you'll get one result only, this might be something that, you know, would just save you an extra click from clicking from the results list. 44 "Mary Alice Robinson" (179518976) 00:11:53.819 --> 00:12:13.819 Then the default search records results format. There are two options and when we go to a record, I'm going to actually show you the two options. There's the alternative option is display condensed results list. The other we're calling the enhanced. The enhanced is the kind of horizontal list 45 "Mary Alice Robinson" (179518976) 00:12:13.819 --> 00:12:33.819 of records where you see the cover art. But 2nd option here is the condensed list and it's kind of like a column display, and you can choose it as your default if that's what you always want, but you can toggle back and forth between the enhanced and the condensed, which is what I'm going to do to show you both. If you do choose to have 46 "Mary Alice Robinson" (179518976) 00:12:33.819 --> 00:12:41.459 the condensed as your default then you can customize the columns of the records in your results list that you're going to see. 47 "Mary Alice Robinson" (179518976) 00:12:41.459 --> 00:13:01.459 you can move them. This would be the left most would be my OCLC number, then title, author. So you can see I've got all these checked, and this is the order I have them in. If I want to change it, I can use the little arrows here. But again, I'm going to show you that there's two options for those two types of results lists in a moment. 48 "Mary Alice Robinson" (179518976) 00:13:01.459 --> 00:13:21.459 And then further down here, these are the scopes, and again, this is for the basic search. Basic search is over here. This is what we're talking about. This search over here on the left. So here's my scopes. I've got them here. Depending on which scope you choose, then you get different indexes. 49 "Mary Alice Robinson" (179518976) 00:13:21.459 --> 00:13:24.479 So for searching all WorldCat there's w2qqkjikjiimy indexes. 50 "Mary Alice Robinson" (179518976) 00:13:24.479 --> 00:13:44.479 Alright, so here's my scopes, I have them all checked. All Worldcat is my default, then I've got the browse, my library's holdings, and a saved in progress, but I'll talk about that save file in a moment. The ones above that, these are the audience level search scopes which WMS libraries can use. I don't have them selected, but if you're 51 "Mary Alice Robinson" (179518976) 00:13:44.479 --> 00:13:56.369 WMS library and you choose to use them, you can, and we just kind of scope your records to holdings that you've enabled tas all users or my library's users and so on. 52 "Mary Alice Robinson" (179518976) 00:13:56.369 --> 00:14:16.369 Okay, so if I chose one of these search scopes like all WorldCat which is my default, what I then get to is the options for my default sorting method, mine is set to relevance, I think that's the default. I could change it here if I want. Remember you can always change this search by 53 "Mary Alice Robinson" (179518976) 00:14:16.369 --> 00:14:24.899 search though. All right, this is just what you want as your default. And then I've got my indexes. Here's my indexes for. 54 "Mary Alice Robinson" (179518976) 00:14:24.899 --> 00:14:44.899 My basic search, so I've got the isbn, the OCLC number, and so on. So for my all WorldCat search, you can see this is what we're talking about, and this is the order, ISBN OCLC number and so on. If you want to change them, like if I want to move OCLC to the top, we can do that. 55 "Mary Alice Robinson" (179518976) 00:14:44.899 --> 00:14:48.479 After I saves my changes you'll see that reflected over here. 56 "Mary Alice Robinson" (179518976) 00:14:48.479 --> 00:15:08.479 Okay, so to go back, I'll click on go back. Alright, and last thing I want to show you briefly is the advanced. One difference here, you can say show the record if you receive only one result, just like you can for the basic, but what's, what's. 57 "Mary Alice Robinson" (179518976) 00:15:08.479 --> 00:15:28.479 Good here is you can specify as your default language of cataloging. I've got English and French. Let's say I want to take off French and just have English as my default rather than having to, you can always, you know, filter it later, by a facet, but this will allow you to have 58 "Mary Alice Robinson" (179518976) 00:15:28.479 --> 00:15:48.479 that filter on before you get your results list, which I think is probably good idea if you want to see only English language cataloging records. Source of cataloging, any or DLC I don't necessarily think you would always want to have a default of DLC, there maybe something you're looking for and there's just not a DLC record. 59 "Mary Alice Robinson" (179518976) 00:15:48.479 --> 00:15:59.669 But if you know that you are only ever going to want to retrieve DLC records, you could also set that here. Again remember these things you can set search by search as well. 60 "Mary Alice Robinson" (179518976) 00:15:59.669 --> 00:16:19.669 Alright, and then scopes for advanced. Notice there's only two other than the audience level scopes for WMS. All Worldcat and Mylibrary holdings. There's no all worldcat Browse, and there's no Save file search in the Advanced search. Just all Worldcat and My Library 61 "Mary Alice Robinson" (179518976) 00:16:19.669 --> 00:16:39.029 Holdings. And then if I click the scope, you get to the indexes. Many many more indexes in the advanced search, you can search in up to five indexes at a time, customize the list the same way. Put at the very top, I would say the ten or 15, the ones you. 62 "Mary Alice Robinson" (179518976) 00:16:39.029 --> 00:16:59.029 You know, or you think you're going to use the most often. Because what you'll see as you scroll down is the list starts all over again here with A to Z. So these are the ones you're going to want to use the most often in your advanced search. Alright, so let's close out. I'm gonna go ahead and click on save to save any changes that I made to my 63 "Mary Alice Robinson" (179518976) 00:16:59.029 --> 00:17:00.539 Preferences now. 64 "Mary Alice Robinson" (179518976) 00:17:00.539 --> 00:17:20.539 Alright, any questions so far just about the preferences we looked at? If not, I'm going to keep going. Okay, so we're going to move on to talk about editing records. 65 "Mary Alice Robinson" (179518976) 00:17:20.539 --> 00:17:40.539 Why edit a record, 1st of all, why edit a WorldCat bibliographic record? 1st of all, to add local fields and then to export it to your local system. And again, this is, we're talking about for non WMS libraries. I'm not going over it today, but if your WMS library, one thing you can 66 "Mary Alice Robinson" (179518976) 00:17:40.539 --> 00:17:44.729 do is you can 67 "Mary Alice Robinson" (179518976) 00:17:44.729 --> 00:18:04.729 You can use local bib data, which would show up just for your discovery users, but since you can't really add local fields and export it, but for anybody who's not a WMS library, you probably want to, you know, would bring up the record in Worldcat, add maybe some local fields, maybe. 68 "Mary Alice Robinson" (179518976) 00:18:04.729 --> 00:18:10.289 Call number and so on, whatever it might be and export it. Alright? 69 "Mary Alice Robinson" (179518976) 00:18:10.289 --> 00:18:30.289 And I just mentioned LBD, so another reason to edit, add LBD, ok, and again primarily for WMS libraries who are using WorldCat discovery or any libraries using discovery. Another reason to edit though might be to make corrections or enhancements to the WorldCat record, which you'll replace. 70 "Mary Alice Robinson" (179518976) 00:18:30.289 --> 00:18:41.489 There is a separate training video on replacing Worldcat records, and I encourage you to view that for a lot of details about replace. 71 "Mary Alice Robinson" (179518976) 00:18:41.489 --> 00:18:57.059 Alright, I'll mention replace again briefly as we go. We'll talk about it a little bit, but again, this is replacing the record so that your changes are visible in the Worldcat record for everyone, to have advantage of. 72 "Mary Alice Robinson" (179518976) 00:18:57.059 --> 00:19:17.059 Alright, and I think there's one more bullet point here to create a new Worldcat record when one doesn't exist, ok? Again, that is something we cover in a another instructor led training and I believe the title of that training is Create a new Worldcat bitpa graphic record. 73 "Mary Alice Robinson" (179518976) 00:19:17.059 --> 00:19:27.029 Alright, but you pretty much are gonna use the same editing techniques for any of those reasons why you would need to edit a record. 74 "Mary Alice Robinson" (179518976) 00:19:27.029 --> 00:19:42.479 All right. And so the next slide then, these are the, these are the, really the, the points that I am gonna cover in just a moment. We're gonna talk about editing records and I'm gonna go over these more specific. 75 "Mary Alice Robinson" (179518976) 00:19:42.479 --> 00:20:01.319 Ways you can edit records. 1st of all, I want to show you comparing two biblographic records side by side, in case you're not sure which is the best record. Next, accessing mark field help also RDA field help if you have a subscription. 76 "Mary Alice Robinson" (179518976) 00:20:01.319 --> 00:20:21.319 I want to talk about the OO eight and the leader and how you can view that. Adding, editing, moving and deleting fields. There's an option to copy and paste multiple fields. Reformatting and validating a record using something called un. 77 "Mary Alice Robinson" (179518976) 00:20:21.319 --> 00:20:23.549 Do. 78 "Mary Alice Robinson" (179518976) 00:20:23.549 --> 00:20:43.549 And that's pretty much it. So the next slide is my example that I'm gonna use basically to show you some of these. I have another example too, but here's my 1st example or my title. Let's say that my library is, has a new copy of this and I want to look for a record in world. 79 "Mary Alice Robinson" (179518976) 00:20:43.549 --> 00:20:52.199 Look at for this liberation day by George Saunders. I've got an ISPN number and so on, all the publication information is there. 80 "Mary Alice Robinson" (179518976) 00:20:52.199 --> 00:21:12.199 Alright, so I'm going back to record manager now. All right, so here I am in record manager and going over here to bib records, alright, and I'm gonna leave my scope set to all Worldcap because I don't have any other copies. If I did, I could just search. 81 "Mary Alice Robinson" (179518976) 00:21:12.199 --> 00:21:32.199 My library holdings. E.g., if I'm adding a, you know, if I'm adding another copy or something, but I don't have any other copies. I'm gonna do a search by my ISBN, Notice that the order member in preferences I moved OCLC up and now it has in fact moved up to the top. But I have an ISBN number and so that's what I'm gonna use. 82 "Mary Alice Robinson" (179518976) 00:21:32.199 --> 00:21:32.969 Use. 83 "Mary Alice Robinson" (179518976) 00:21:32.969 --> 00:21:52.969 For my search. Alright, so then I'm just gonna put the ISPN in the search box 255 Let's see if I typed that correctly. 84 "Mary Alice Robinson" (179518976) 00:21:52.969 --> 00:21:53.909 Quickly. 85 "Mary Alice Robinson" (179518976) 00:21:53.909 --> 00:22:13.909 Okay, let's do that again. I've got 978-052-5509 52I think that hopefully that's right this time. Okay, so I can tell by the cover art that that's. 86 "Mary Alice Robinson" (179518976) 00:22:13.909 --> 00:22:18.629 That's, the correct thing I'm looking for here. 87 "Mary Alice Robinson" (179518976) 00:22:18.629 --> 00:22:38.629 Alright, so 1st of all, this, as I mentioned, when we're looking at preferences, this is what we call the enhanced view and I told you that there's an option to toggle back and forth or set your default. My default is the obviously the enhanced view of my results, but there is an option which you see at the top here where you can toggle back and forth so. 88 "Mary Alice Robinson" (179518976) 00:22:38.629 --> 00:22:43.649 I can click on view condensed search results, and there's that column view. 89 "Mary Alice Robinson" (179518976) 00:22:43.649 --> 00:23:03.649 Alright, and here's my columns left to right OCLC number title, and so on. I can go to another page or I can increase the number of rows and see them all on the same page if I want to. Alright, you can also customize the columns by clicking this gear icon. 90 "Mary Alice Robinson" (179518976) 00:23:03.649 --> 00:23:22.589 On here. This is what you also saw in preferences. If you want to change it right here, if you want to change it permanently, I believe you do need to do it in preferences, but you can change it right here as you're searching as well. When I go back to the enhanced search results, you can click on view enhanced search results, and we are back. 91 "Mary Alice Robinson" (179518976) 00:23:22.589 --> 00:23:41.399 Okay, let's see. Next thing I want to show you is the facets. All right? So for the basic search, what I just, which I just did. Remember I can't limit to language of cataloging, but I can by using the facets after my search. 92 "Mary Alice Robinson" (179518976) 00:23:41.399 --> 00:23:56.939 So I'll go ahead and select English language of cataloging. Now I have just five. I can also use the format. I'll say, let's say I'm looking for print book and then I have just four records. All right? You can see some brief bib information hovering over the blue eye. 93 "Mary Alice Robinson" (179518976) 00:23:56.939 --> 00:24:16.939 You can also see some of it here. You can see this is a record that's been input by library Congress DLC. It's a PCC record, below level record and so on. Let's say though, I'm pretty sure I probably would use this record if my, it seems to match my publication information and so on. 94 "Mary Alice Robinson" (179518976) 00:24:16.939 --> 00:24:36.939 It's a you know library congressful level record, but let's say that, you know, I have another record, probably wouldn't use this record below it. It's a minimal level record even though most other things look the same. Cataloging date is a little different. It's in brackets though, so, but let's say I wanna compare the 1st two records. 95 "Mary Alice Robinson" (179518976) 00:24:36.939 --> 00:24:49.649 Alright, so easiest way to do this is to copy the OCLC number. I'm gonna copy the OCLC number of 2nd one here by highlighting it and then I'll use control C. 96 "Mary Alice Robinson" (179518976) 00:24:49.649 --> 00:25:09.649 On my keyboard. Then I'm gonna click the title of the DLC record, the 1st one to open it. Alright, here it is, here's the big record, all the fields, and so on. But I want to compare it. So I'll go to the record menu and then I'll say compare. Now from this screen, you can do. 97 "Mary Alice Robinson" (179518976) 00:25:09.649 --> 00:25:20.759 Do a search for a record from here, but I've already got the record I want to compare it to. I already copied that OCLC number, so I'm just gonna paste it in here using control V. 98 "Mary Alice Robinson" (179518976) 00:25:20.759 --> 00:25:40.759 And then I'll click on compare. And then you can see the two records side by side. Alright, the gray lines basically on the right are just, you know, kind of spacers, just so it's easier, e.g., the record on the right doesn't have an O 19, the one on the left does. These are, these are records that got me. 99 "Mary Alice Robinson" (179518976) 00:25:40.759 --> 00:26:00.759 Merge with this one. They were duplicates, most likely they got merged. But their gray lines just means that there isn't that field in this record. It's just really to help you scan the record and view it, the fields across from each other and so on. Alright, so you review the record, decide which record you want to use when you just saw. 100 "Mary Alice Robinson" (179518976) 00:26:00.759 --> 00:26:09.869 You can click the OCLC number of the record or you can select a new record to compare the original one, the DLC one two. 101 "Mary Alice Robinson" (179518976) 00:26:09.869 --> 00:26:29.869 I'm just gonna go ahead and click on the, the OCLC number of the 1st one and let's say I'm gonna use this record. Alright, couple things to point out here that we talked about already. Real briefly. 102 "Mary Alice Robinson" (179518976) 00:26:29.869 --> 00:26:33.239 We talked a little bit about. 103 "Mary Alice Robinson" (179518976) 00:26:33.239 --> 00:26:51.899 E.g., the O 49, and here is the O 49 in this record. Sorry, where is the O 49? Here it is all the way down here. Alright, so we talked about that. Also, I told you I'm profiled for library congress. So here is my blank O 90 field. 104 "Mary Alice Robinson" (179518976) 00:26:51.899 --> 00:27:11.899 Alright, here's the LC call number. You're not required to use that, but you can. I'm gonna go ahead and highlight this and use control C and copy it and it's pretty easy. I'm just gonna get rid of that sub field B and then control V And let's say. 105 "Mary Alice Robinson" (179518976) 00:27:11.899 --> 00:27:24.239 When I click out of the field, the system recognizes that dollar symbol as the delimiter, so subfield B is the sub field and it, you know, highlights it in blue now. But maybe I just wanna make this. 106 "Mary Alice Robinson" (179518976) 00:27:24.239 --> 00:27:44.239 Cut are slightly different and so now I've got my local LC call number there. Couple other things to show you, the leader and the OO eight in connection, you know, they're at the top or maybe it's sometimes at the bottom if you've chosen that, called the fixed field, but here they are what we call guided entry fields, so. 107 "Mary Alice Robinson" (179518976) 00:27:44.239 --> 00:28:04.239 Here's the leader. Alright, most of the elements of the leader will have dropdowns so type of record, it says language of material, there's your dropdown options though, full level record and so on. If you change anything, which is probably unlikely for this record or any DLC record, you would click done, but it. 108 "Mary Alice Robinson" (179518976) 00:28:04.239 --> 00:28:22.109 If not, you just click cancel. Dunn is not gonna do anything, it'll just close the record. If you haven't made changes, if you have made changes, it will save them to the leader. So I'll just go ahead and click cancel, and the OO eight is also a guided entry field. 109 "Mary Alice Robinson" (179518976) 00:28:22.109 --> 00:28:37.859 All right, so here's my type of date, beginning date of publication, and so on. Alright, I'll go ahead and close that, click cancel. The other way to click open and close these so I can open it with the little carrot, but you can also just click that again to close it. 110 "Mary Alice Robinson" (179518976) 00:28:37.859 --> 00:28:57.859 Alright, let's see what else do I want to show you here? I think that might be it. Oh I want to scroll down a little bit to show you where local holdings would be on LBD. I don't have any holdings on this yet, and I don't have any LBD. I will show you that a little later. I do have record with local hold. 111 "Mary Alice Robinson" (179518976) 00:28:57.859 --> 00:29:10.679 Holdings records, but this is where they would appear if there were any attached to it. If there were, in fact, you would also see that there were, you know, it would say that my library has a holdings on it up here as well. 112 "Mary Alice Robinson" (179518976) 00:29:10.679 --> 00:29:26.639 Alright, any questions about this so far? Any questions on anything I've gone over so far? Question, can I show how to compare again? Yeah, sure. 113 "Mary Alice Robinson" (179518976) 00:29:26.639 --> 00:29:46.639 So what I did was, I have a result basically I did it from a results list, but if you have two OCLC numbers or you know what you want to compare, you know, you, you can do that, bring up one of the records and then you input 2nd number. But what I did was I, I copied one of the, the numbers. 114 "Mary Alice Robinson" (179518976) 00:29:46.639 --> 00:29:57.389 Here, just so I have it and I opened another record. So you open one record and then you're gonna compare it to another one. So I would go to the record menu. 115 "Mary Alice Robinson" (179518976) 00:29:57.389 --> 00:30:13.679 And then that's where you'll find compare. I'll select that. I'll put in here, either you could do a search where you type or paste in the OCLC number here, and then you click compare, and then you've got them both on the screen, ok? 116 "Mary Alice Robinson" (179518976) 00:30:13.679 --> 00:30:33.679 Choose the record you want by clicking on the OCLC number or you can compare it to another record if you want to. Or if you don't want either of them, you can just go back and do another search. Alright? Okay, notice that since I've been I edited this record cause I added it. 117 "Mary Alice Robinson" (179518976) 00:30:33.679 --> 00:30:44.429 Oh 90 field. I've got an orange.over here on the left side. It says edit mark and there's the OCLC number. That's gonna stay there until I close it. 118 "Mary Alice Robinson" (179518976) 00:30:44.429 --> 00:31:04.429 I can go ahead and search for another record. It will still stay there, you know, in case I am not finished with it, you know, we'll be there. What I want to do next is bring up another record. Alright, before I do that, let me check the chat. It says, is it possible to have more than 1802 field in the record? 119 "Mary Alice Robinson" (179518976) 00:31:04.429 --> 00:31:24.239 And lock those numbers onto the record when you replace it. I believe the O 82II, you know what, I have to check on that, but what I was gonna say is one thing you can do is. 120 "Mary Alice Robinson" (179518976) 00:31:24.239 --> 00:31:44.239 You can I don't have an O 82 in this record, but I could, e.g., add one, you know, oh yes, I do have an O 82, sorry about that, I do. So your question was, can you add another one? So this known as, let's see, let's do what we can do. 121 "Mary Alice Robinson" (179518976) 00:31:44.239 --> 00:31:55.499 In fact I was gonna show you this in the next next record, but let me show you here. I can I'm gonna right click and go to field help and go to mark field help. 122 "Mary Alice Robinson" (179518976) 00:31:55.499 --> 00:32:15.499 All right. And so basically this takes you to bit formats and standards and what it tells you is it's a repeatable field. So, 1st of all, the answer to your question is yes, you can have a second oh 82. Your indicators maybe different, alright, so in my record, let's see, in my record, we've got two. 123 "Mary Alice Robinson" (179518976) 00:32:15.499 --> 00:32:27.119 Two zeros, right? Your indicators, if you're putting in another O 82, so the indicator 1st is full edition zero assigned by LC. 124 "Mary Alice Robinson" (179518976) 00:32:27.119 --> 00:32:47.119 Your indicators maybe different, alright, so maybe you're gonna say for full edition you're using for, do a decimal full edition or if you're using a bridge and so on, and then second indicator, you know, I suppose you could code it NO information provided or if you aren't it says agency or other than LC. 125 "Mary Alice Robinson" (179518976) 00:32:47.119 --> 00:32:56.549 You would use that rather than LC. So anyway, it is a repeatable field yes. Would it be saved when you replace the record? I. 126 "Mary Alice Robinson" (179518976) 00:32:56.549 --> 00:33:16.549 Believe so if this is a record that in which you can edit and replace, which, you know, right now is a little bit of a detailed answer, but I can tell you briefly, the main thing to look for if you're gonna edit and replace a record is. 127 "Mary Alice Robinson" (179518976) 00:33:16.549 --> 00:33:26.789 To see if, 1st of all, it's a DLC record, but you'd want to look to see if it's a PCC record. This one is. This is. 128 "Mary Alice Robinson" (179518976) 00:33:26.789 --> 00:33:46.789 The main category of records that are excluded from basically editing and replacing. There are some exceptions to what field you can, but, I will say, you know, without getting into any more details cause we don't have time for that right now, the PCC records are ingest. 129 "Mary Alice Robinson" (179518976) 00:33:46.789 --> 00:34:03.569 General excluded from full library, full cataloging libraries editing and replacing them. In other words, you'd have to be a PCC library for the most part to edit and replace most of the fields. 130 "Mary Alice Robinson" (179518976) 00:34:03.569 --> 00:34:23.569 Okay, so your question, I'm just making sure replacing records works the same way as long as you have the authorization to replace. So one thing to tell you about replace, some years ago you did have to have a special authorization to replace. You NO longer have to have a special authorization to replace records. If you have a full catalog. 131 "Mary Alice Robinson" (179518976) 00:34:23.569 --> 00:34:25.349 Logging subscription. 132 "Mary Alice Robinson" (179518976) 00:34:25.349 --> 00:34:45.349 All right, full cataloging metadata subscription. If you're able to create new Worldcat records, you do have a full catalogging subscription. You, you don't have to have a special authorization to do replace, but there are exceptions to which records you can edit and replace. And I would really encourage you to. 133 "Mary Alice Robinson" (179518976) 00:34:45.349 --> 00:34:55.499 Look at that video, it is called replacing Worldcap billographic records and it goes over details and documentation. It's not that long. I. 134 "Mary Alice Robinson" (179518976) 00:34:55.499 --> 00:35:11.939 Might be 15 min, not quite sure, but it's fairly new and it goes over all those details. But that's just to tell you yes, some years ago you had to have special authorization, but you NO longer do, but you will want to check out those guidelines for it for replacing records. 135 "Mary Alice Robinson" (179518976) 00:35:11.939 --> 00:35:31.939 I hope that helps, does that answer your question? So question was, you have a lot of used books and which field would you write that it's inscribed or signed? We also have art exhibition catalogs and so on. 136 "Mary Alice Robinson" (179518976) 00:35:31.939 --> 00:35:33.479 And. 137 "Mary Alice Robinson" (179518976) 00:35:33.479 --> 00:35:53.479 So, so that would be fields that are either for your local use. So if you were going to, you know, talk about a specific copy that you have, you can enter those in, e.g., a five 90 field, and then you're gonna export the record. That's not something that would stay on the Worldcat record because it doesn't apply to every. 138 "Mary Alice Robinson" (179518976) 00:35:53.479 --> 00:35:55.319 Anybody that's viewing the record? 139 "Mary Alice Robinson" (179518976) 00:35:55.319 --> 00:36:15.319 If that if I'm understanding your question correctly. So those would be things that you'd want to put in local fields. Again, I don't know, maybe six 90 if you have specific subject hidings, 5904 notes, and so on. And the other option you have is if you're using discovery, you could enter those as local be. 140 "Mary Alice Robinson" (179518976) 00:36:15.319 --> 00:36:22.889 Data, they would only show for your users in Worldcat Discovery who are viewing that. 141 "Mary Alice Robinson" (179518976) 00:36:22.889 --> 00:36:40.409 Does that help answer that question? I I hope that it does. Yeah, ok. Alright, ok. All right, good. 142 "Mary Alice Robinson" (179518976) 00:36:40.409 --> 00:37:00.409 So what I'm gonna do then is, let's see, here's my slide, here's my next record. So I'm gonna use this one to show you a whole lot of other things about editing. The title is the most important clock in America. I've got the author publisher, and ISPN and so on. All right, so I've got all that information. Let's see if I can. 143 "Mary Alice Robinson" (179518976) 00:37:00.409 --> 00:37:14.819 Type the ISBN without too much trouble this time. So I'm going back here. I'm gonna leave this record open for now. We'll just kind of leave it and then we'll do another search. I have an ISBN so I'm gonna clear that out and we're gonna. 144 "Mary Alice Robinson" (179518976) 00:37:14.819 --> 00:37:30.449 Do that search here. 978-16-0618. Okay, let's see. 145 "Mary Alice Robinson" (179518976) 00:37:30.449 --> 00:37:50.449 All right. So it looks like I got the right record. I see the cover art and so on. Let's see. So 1st thing I'm gonna do is I'm gonna narrow it again. English language accounting, and let's say I am looking for a print book, there's only one so I've gotten it down to one record. Fortunately, it happens to be a. 146 "Mary Alice Robinson" (179518976) 00:37:50.449 --> 00:38:09.299 A full level record, DLC, and so on. All right. So I'm gonna go ahead and click on the title to open up the record. All right, so here's the full record. All right, scroll down a little bit. 147 "Mary Alice Robinson" (179518976) 00:38:10.559 --> 00:38:30.559 Alright, I already showed you Mark field help, but again real briefly, this is when I was gonna show it to you. Let's say you, here you've got a five oh five, right? Second, 1st indicator zero and then second indicator blank. This is a basic five oh five. It's not what we call enhanced. If you wanted to enhance. 148 "Mary Alice Robinson" (179518976) 00:38:30.559 --> 00:38:36.720 I'm gonna go ahead and click on it and then right click and then go to field help mark Field Help. 149 "Mary Alice Robinson" (179518976) 00:38:36.720 --> 00:38:56.720 And just to show you this is where you can get that help for any of the fields to tell you the meanings of, you know, the indicators, the sub fields, and so on. So the 1st indicator zero just says contents, 2nd indicator blank is basic rather than enhanced. If you enhance the. 150 "Mary Alice Robinson" (179518976) 00:38:56.720 --> 00:38:58.170 It's five oh five. 151 "Mary Alice Robinson" (179518976) 00:38:58.170 --> 00:39:18.170 Then, that second indicator should get changed to a zero enhanced. There is a way to enhance a five oh five now that's really cold and I I wasn't planning on showing this to you, but since this is here, there's an option to do that under advanced actions, and it's called. 152 "Mary Alice Robinson" (179518976) 00:39:18.170 --> 00:39:22.320 Enhance five oh five. I'm gonna go ahead and click on apply. 153 "Mary Alice Robinson" (179518976) 00:39:22.320 --> 00:39:42.320 And you can see that it has changed it, changed 2nd indicator, and it's added all those sub field ts. Now, it really depends on the formatting of the note, how successful that would be. But certainly that's quicker than it, you know, if it's formatted, you know, pretty well, it's, it's gonna be quicker than. 154 "Mary Alice Robinson" (179518976) 00:39:42.320 --> 00:39:50.520 When you're going through it and adding all those sub guilties and so on. So there you have that. There's a few other advanced actions that. 155 "Mary Alice Robinson" (179518976) 00:39:50.520 --> 00:40:10.520 I do show in one of the other classes, but since we were talking about that, there you have that. The tool, the toolkit, I wanted to show you that. So let's say I want to get RDA help for the 2604. So I've clicked in the field field help and there's the RDA toolkit. And again, you have to have a subscription. 156 "Mary Alice Robinson" (179518976) 00:40:10.520 --> 00:40:15.870 Option you have to have it enabled in your preferences with your, you know, your username and your. 157 "Mary Alice Robinson" (179518976) 00:40:15.870 --> 00:40:34.680 Or your ID and your password, but it will go right to the 2604 tag for the RDA toolkit if you have that. All right, close it out when you're finished with it. All right. 158 "Mary Alice Robinson" (179518976) 00:40:34.680 --> 00:40:54.680 The O eight up here, let's say here as I said you got dropdowns for most of them, but illustrations, I don't know why it has an A here, but let's say you want to know the meaning of it, click on the question mark for any of these guided entry fields and it takes you right there. And if I scroll down a little bit, you can see. 159 "Mary Alice Robinson" (179518976) 00:40:54.680 --> 00:41:14.680 Hey, this is the code to me that there are illustrations. Even though there's not a dropdown, if you put something incorrect in here, when you click out of it, I put an X in there, it would turn red kinda just to indicate to you that's not valid. I'll put the A back. I could also just click cancel so. 160 "Mary Alice Robinson" (179518976) 00:41:15.390 --> 00:41:35.390 You know, nothing gets saved that I've just changed. Well let's see. Alright, so I'm gonna do a couple edits now. So again on this one, I'm profiled for library congress. So let's say I want to add an O 90 field. So I've got the O 50 here. 161 "Mary Alice Robinson" (179518976) 00:41:35.390 --> 00:41:46.200 Q 11P6. Let's say I just want this part of it. I'll copy it, and then I'll go down here and I'm gonna go ahead and just paste it in there. 162 "Mary Alice Robinson" (179518976) 00:41:46.200 --> 00:42:04.110 Alright, if you want to add anything further to that, you can, let's say a year, I don't know, maybe I'll put, I think the year is 2009 here. Alright, let's see what else? 163 "Mary Alice Robinson" (179518976) 00:42:04.110 --> 00:42:24.110 Okay, let's say I want to add aa5 hundred. Let's say I found a bibleography or not a bipliography, sorry about that, a biography, of David Written house, whom this book is about quite a lot, but I, there's reference. 164 "Mary Alice Robinson" (179518976) 00:42:24.110 --> 00:42:44.110 Access to them and so on. So I found that in the book, and I also know the the author of it, but it's just a little section that has a little bit of a biography, so I wanna add that note here. Now again, if this is something that pertains to all copies of it, this is, you know, you'd want to put this in a 500 note, and if possible replace it. I am checking and I. 165 "Mary Alice Robinson" (179518976) 00:42:44.110 --> 00:43:03.030 I don't see an O 42 here, so it's a library Congress record, but it is not a PCC record, which should mean I could replace the record. Okay, if I haven't missed it I don't see an O 42. Okay, so scrolling down, I'm gonna go ahead and. 166 "Mary Alice Robinson" (179518976) 00:43:03.030 --> 00:43:21.450 Add a row, add a 500 field for my note, and then I would just type it in here. I think I have that saved here. Hold on just a minute so I can copy and paste. 167 "Mary Alice Robinson" (179518976) 00:43:21.450 --> 00:43:41.450 Yep, I do. This will save me a little bit of typing. Okay, so I'll go ahead and put that note in there. Okay, next thing, is let's say that I don't have see any reference to this author Jacqueline. 168 "Mary Alice Robinson" (179518976) 00:43:41.450 --> 00:43:58.290 Togroff. And so I'm gonna add her name. So I'm not seeing any. We have just at the top of the record, we've got the 100 field for the author. So I'm gonna go ahead and add a 700 field. I'm gonna put it all the way at the bottom. 169 "Mary Alice Robinson" (179518976) 00:43:58.290 --> 00:44:18.290 And I'll tell you why in a moment. You can insert it where you want it to be, but you can also just put it at the bottom and we'll talk about reformat in just a moment, put her name here Okay, we've got her name in the. 170 "Mary Alice Robinson" (179518976) 00:44:18.290 --> 00:44:22.950 There. What's next? Let's see. Next thing I wanna do. 171 "Mary Alice Robinson" (179518976) 00:44:22.950 --> 00:44:40.410 Is, I want to show you, copying and pasting multiple fields, Told you we could do that. So let's say I have another similar record about this type of clock, so I want to. 172 "Mary Alice Robinson" (179518976) 00:44:40.410 --> 00:44:55.740 Copy the LC subject headings. So I'm just gonna select these three. These are the LC headings with 2nd indicator of zero. So I've checked all of them, alright, and then I'm gonna go up to the edit menu. 173 "Mary Alice Robinson" (179518976) 00:44:55.740 --> 00:45:10.830 Field and then we're gonna click on copy. Alright? Now, because I've started making changes to this record, it's gonna stay open. It's right here, alright, but I'm going to go to another record. So we'll clear this out. 174 "Mary Alice Robinson" (179518976) 00:45:10.830 --> 00:45:30.830 And this time I have an OCLC number, so I'll change that and I'll go to this OCLC number. Alright, and this is called photographs of clocks and astronomical instruments. So remember. 175 "Mary Alice Robinson" (179518976) 00:45:30.830 --> 00:45:33.270 Where I've copied those three fields. 176 "Mary Alice Robinson" (179518976) 00:45:33.270 --> 00:45:53.270 And here's another record, and let's say I want to add them. So what you need to do is you need to create one free space. I'm just gonna put them as the 1st subject heading, so I'll click on the green circle here. You have to, you don't have to create three blank spaces, but you have to create one. And then I'm gonna go back. 177 "Mary Alice Robinson" (179518976) 00:45:53.270 --> 00:46:03.750 Back to the edit menu and then I go to field and then I select paste and it has added those three that I copied from the other record. 178 "Mary Alice Robinson" (179518976) 00:46:03.750 --> 00:46:21.540 You can do that also in a work form. You can do it in an existing Worldcat record or you can copy it, you know, e.g., if you're creating a new record from a work form. Alright, now I want to go back to the other record, so I just click on the left navigation here. 179 "Mary Alice Robinson" (179518976) 00:46:21.540 --> 00:46:41.540 Let's see. Let's say I want to add a local note. Somebody had a question about adding a local note. So I am gonna in fact add a five 90 to this, alright? And this is something that is pertains to my user, so, you know, or to, my library, so I'm gonna go ahead and click out of. 180 "Mary Alice Robinson" (179518976) 00:46:41.540 --> 00:46:57.270 Field here and I'll put five 90. Now, the five 90 will be in the record when I export it, the five 90 won't be saved to the record, after I close it out. It's not saved to the Worldcat record. Even if you replace the record, the five 90 is not something that will get saved. 181 "Mary Alice Robinson" (179518976) 00:46:57.270 --> 00:47:17.270 Alright, ok, so now I'm gonna copy something into my five 90 alright so here it is. I'm just getting the note that I want to copy. Here it is, I got it now. 182 "Mary Alice Robinson" (179518976) 00:47:17.270 --> 00:47:37.670 Alright, five nine day, I'm just gonna paste it in there. So I've got the clock is on exhibited Drexel's campus, you can see why this is only important for my users. This is a book, but we're talking about the actual clock, it's on exhibit, let's say for my library, and I put the date here as of I think I put today's date here. 183 "Mary Alice Robinson" (179518976) 00:47:38.430 --> 00:47:58.430 I think I put it as six oh 22025 yeah that's fine. So anyway, there's my local note. The other thing I would wanna do since I put a note about a biography is I probably should go back to the OO eight and there's a field here for biography. It doesn't. 184 "Mary Alice Robinson" (179518976) 00:47:58.430 --> 00:48:08.820 No biographical material, so I would change that to say contain contains D contains biographical information then I'll go ahead and click on done and I would save that. 185 "Mary Alice Robinson" (179518976) 00:48:08.820 --> 00:48:28.820 Okay, that's pretty much all the editing I think I was gonna show you. You can move the fields, by the way, up and down. Let's say I don't want David written House says the 1st, I can move it down. This is important because when we talk about reformat in just about 1 min. 186 "Mary Alice Robinson" (179518976) 00:48:28.820 --> 00:48:48.820 You know, you decide the input order for the 600 fields and and many others. But we'll talk about reformat in just a moment. Let's see if there's anything else. Most of the headings in this record looks like they are what we call controlled, meaning they're linked to their respect. 187 "Mary Alice Robinson" (179518976) 00:48:48.820 --> 00:49:08.820 Active authority records, so the blue link, Writtenhouse David comma, and his dates. If I clicked on it, it opens the authority record there. I'm not getting into any details about authority records or controlling headings since there's other training on that. I think the names are also controlled. 188 "Mary Alice Robinson" (179518976) 00:49:08.820 --> 00:49:28.850 Of course, this one is not. But again, more information on that is available specifically. There's actually a short video on controlling headings and a whole class on authority control as well. But that's probably another thing that you would want to do to this record. If you're editing it, if you've added new headings, make sure they're controlled, linked to their authority records. 189 "Mary Alice Robinson" (179518976) 00:49:28.850 --> 00:49:30.000 If they exist. 190 "Mary Alice Robinson" (179518976) 00:49:30.000 --> 00:49:50.000 Okay, so I've been talking about, question, how do you add aoO6 guided entry field if it isn't already there? So what you can do for that is you you basically go up here, add a line, and then you would go ahead and just type what you want to add, like you said in. 191 "Mary Alice Robinson" (179518976) 00:49:50.000 --> 00:50:09.960 O oh six. When you, when you go out of there, basically it recognizes it and then I can click on this and I get all of the prompts for the O oh six, ok? And I, you know, I, I wouldn't add it for, for this type of record, but it essentially that's how you do it. 192 "Mary Alice Robinson" (179518976) 00:50:09.960 --> 00:50:28.500 All right. Any of those guided entry fields, yeah, you just you you'll be able to just type in the tag and once you type the tag in, the system recognizes it and gives you the correct prompts, I'm gonna go ahead and delete that. Over here next to the green circle, you got the red circle, so of course that means delete that field. 193 "Mary Alice Robinson" (179518976) 00:50:28.500 --> 00:50:48.500 And I've done that. Let me check our chat and see if I have missed anything at all. I don't think so, but I'm gonna check. Okay, I don't think so. As I said, I'm gonna review chat later though after the session to make sure though. Okay, I've been talking. 194 "Mary Alice Robinson" (179518976) 00:50:48.500 --> 00:50:57.360 A little bit about reformat. So I want to tell you more specifically what reformat does. So here we go. 195 "Mary Alice Robinson" (179518976) 00:50:57.360 --> 00:51:17.360 Basically, it's gonna sort variable fields into the correct tag order, but there's a couple things to understand. The 006 through the three XX fields are sorted by all three characters of the tag, so it's gonna be an exact, you know, tag order. For. 196 "Mary Alice Robinson" (179518976) 00:51:17.360 --> 00:51:30.120 XX to the nine XX fields are gonna be sorted by the tag group. And what that means is it's looking at the 1st character of the tag, just like e.g. the four or for subject headings, it's looking at the 6th. 197 "Mary Alice Robinson" (179518976) 00:51:30.120 --> 00:51:50.120 What that means is you decide the input order, alright? If you add fields, like you saw me at the bottom of the record, I added a 700 field. What it would do is it just gonna put it into the bottom of that tag group. When I say tag group, I mean the 700 tag group, ok? Or the. 198 "Mary Alice Robinson" (179518976) 00:51:50.120 --> 00:52:02.490 600 subjects tag group and so on. Alright, you decide the input order for the four hundreds or nine hundreds. O 29 is always at the bottom. O 49 is always the last zero XX field. 199 "Mary Alice Robinson" (179518976) 00:52:02.490 --> 00:52:22.490 You can edit and reformat from the safe file or from the Worldcat record. We haven't looked at the safe file yet, we will in just a moment. And the command is basically from the record menu. And note down here at the bottom record automatically format reformats when you validate or replace. 200 "Mary Alice Robinson" (179518976) 00:52:22.490 --> 00:52:42.490 A record. We will talk about validate and a little bit about replace in just a moment, but let's go back to our record here. I don't think much will change, but certainly the name I added here hopefully will get moved up. So I'll go to the record menu and I'll select reformat. 201 "Mary Alice Robinson" (179518976) 00:52:42.490 --> 00:52:59.730 And it confirms it has reformatted the records scrolling down a little bit. I should see the 700 and there it is, so it's right below all the six hundreds. There are NO other seven hundreds, but there it is in the correct place. 202 "Mary Alice Robinson" (179518976) 00:53:03.570 --> 00:53:23.570 All right, next thing I do want to show you though is validate. So back to my slides here. Validate is gonna check validity of tags, indicators, sub field codes. It's gonna check required fields are present, also that non repeatable fields occur only one time. Remember in big formats and standards you would see an R event. 203 "Mary Alice Robinson" (179518976) 00:53:23.570 --> 00:53:43.570 It's repeatable or NR for non repeatable. It's gonna check the structure of some fields such as the, the O 20 and some of the relationships between other elements, a lot of details there but that you know kind of generally it's not a spell check. It can't check e.g. if your subject. 204 "Mary Alice Robinson" (179518976) 00:53:43.570 --> 00:53:55.320 Correct and so on. It can check for the sub field codes, tags, and so on indicators that they're correct and correspond to those tags that you have. So. 205 "Mary Alice Robinson" (179518976) 00:53:55.320 --> 00:54:15.320 The other thing that Validate will do, which isn't on there, is that I'm basically working with the Worldcat record, but this is just my copy of the record. I've drawn up, right? And it's gonna stay here until I close out the record. I've added some local fields to 590a local call number. 206 "Mary Alice Robinson" (179518976) 00:54:15.320 --> 00:54:29.370 Field and so on. But keep in mind that it's gonna go back to the Worldcat record as it was when I close it out. The only thing that saves changes to the Worldcat record, remember is replace. Alright, so. 207 "Mary Alice Robinson" (179518976) 00:54:29.370 --> 00:54:49.370 I'm going to make a couple of or at least one intentional error so I can show you that validate does catch certain things. So let's say, I'm gonna change in the 300 this to a subfield queue, which is not correct, and. 208 "Mary Alice Robinson" (179518976) 00:54:49.370 --> 00:54:51.090 Maybe I'll put. 209 "Mary Alice Robinson" (179518976) 00:54:51.090 --> 00:55:11.090 Indicators in the five oh four which are also should just be blank. Alright, and then I'm gonna go up to the top and I'm gonna go to the record menu, and we'll select validate. Alright, it says unable to validate. I actually found four errors, so let's see what it found. 210 "Mary Alice Robinson" (179518976) 00:55:11.090 --> 00:55:27.660 And now I'll fix them. It tells you what it found right below in red, so of course it found that queue which is incorrect. We'll put that back to a C, and then also it found the indicators which are incorrect. 211 "Mary Alice Robinson" (179518976) 00:55:27.660 --> 00:55:47.220 They should be blanks. Alright, get rid of them. And I know there's one other error that's in this record that with the 08:56, it says invalid relationship when subfield M is present, A must also be present. Just for the sake of validating I'm gonna temporarily delete this. 212 "Mary Alice Robinson" (179518976) 00:55:47.220 --> 00:56:04.380 I did check this before, and this is actually not a link to the resource, but it's to a related resource. It actually just links to the table of contents which we already have right here, basically the chapters. So in any case, I've changed that. 213 "Mary Alice Robinson" (179518976) 00:56:04.380 --> 00:56:19.830 I think that should do it. I'll go ahead and do validate again. See if it validates this time and it has confirmed validated the record. Now, what I would think I started to say was when I do a validate, it will. 214 "Mary Alice Robinson" (179518976) 00:56:19.830 --> 00:56:39.830 Temporarily change the edits, not temporarily, but it'll change the edits to the rec, to my copy of the record that I'm working with, ok? So in other words, it's kind of saving to this local copy of the record, the five oh five. I changed that. 215 "Mary Alice Robinson" (179518976) 00:56:39.830 --> 00:56:59.830 Also added a name over there and down there in the 700 field, did a couple of other things and so on. Once you do a validate, again, save changes to this copy of the record. If I do any further changes, so I'm gonna make another additional change. 216 "Mary Alice Robinson" (179518976) 00:56:59.830 --> 00:57:02.790 Let's say. 217 "Mary Alice Robinson" (179518976) 00:57:02.790 --> 00:57:21.900 Let's say I'm gonna change this call number. Where's my O 90 field? I think I copied the other O 50, but I wanted to copy this one. So let's take this and I'm gonna copy it and instead I'm gonna put that in my, my O 90 field here. 218 "Mary Alice Robinson" (179518976) 00:57:21.900 --> 00:57:41.900 Okay, so I made one change since my validate. Now if I go to the edit menu, you can see something at the top right there that says undo. What that does is it will take away any changes I've made since the last validate. So if I click it now. 219 "Mary Alice Robinson" (179518976) 00:57:41.900 --> 00:57:47.730 Now the only thing it should do is, take away that change I made to the O 90. 220 "Mary Alice Robinson" (179518976) 00:57:47.730 --> 00:58:07.730 Okay, it should not take away any other changes before the validate. So go ahead, let me do it and we'll see if that works. We'll click on undo, and looking for the Yep, it did. So it took away that change, it went back to the the other call number I had in there. 221 "Mary Alice Robinson" (179518976) 00:58:07.730 --> 00:58:12.810 If I scroll down, it didn't change anything else that I had. 222 "Mary Alice Robinson" (179518976) 00:58:12.810 --> 00:58:31.050 You know, since I validated though, I've got the 700 name as well and so on. Alright, so that's undo, a little tiny thing that, you know, it's good to know. Any questions so far? 223 "Mary Alice Robinson" (179518976) 00:58:33.210 --> 00:58:53.210 Okay, couple things to tell you, I've mentioned it, but I haven't told you too much about replace, not going into detail here, but, as I said so far all the edits I've done would not be saved to the world cat record unless I take that specific action. It's on the save menu, which is called Replace the record. 224 "Mary Alice Robinson" (179518976) 00:58:54.900 --> 00:59:14.900 I want to say copy catalog for the most part, part you probably are going to be just making local edits and then exporting the record to your local system. But again reminder, you don't have to have special authorization, you just have to know which records and which fields and which records you can edit and replace many reasons. 225 "Mary Alice Robinson" (179518976) 00:59:14.900 --> 00:59:34.900 Why you may want to do a replace, add, add a scheme from your subject headings that aren't there, make corrections, corrections to typos, it could be any number of reasons why you maybe want to do a replace. The other thing to keep in mind is if you add, if you add headings and you control the headings, you. 226 "Mary Alice Robinson" (179518976) 00:59:34.900 --> 00:59:54.900 You also have to do a replace to have the control of the headings, you know, links to the authority records, you have to do a replace to have them maintained on the world cat record. Alright, so I've got here follow the expert community guidelines and formats and standards chapter five linked to that also in your learner guide. 227 "Mary Alice Robinson" (179518976) 00:59:55.410 --> 01:00:15.410 The expert community guidelines is a very brief, you know, page page or two, about general guidelines on replacing and then chapter five of the also has quite a bit about replacing just other, quality control options for big records in worldcap. So do look at. 228 "Mary Alice Robinson" (179518976) 01:00:15.410 --> 01:00:28.530 That, also in the documentation, ok, there's information about replace and I also mentioned to you, I don't have the link here on the slide, but in the record manager training there is this. 229 "Mary Alice Robinson" (179518976) 01:00:28.530 --> 01:00:48.530 Specifically a video on replacing Worldcat records as well. Alright, where is it on the menu? So if I was in fact wanting to replace this record, it's on the save menu. There it is. Replace bid record. Alright, if you're not allowed to replace it, you would get stopped. If it, e.g.. 230 "Mary Alice Robinson" (179518976) 01:00:48.530 --> 01:00:55.380 You've added certain fields as a PCC record and there are fields that you cannot add to the PCC record, you would get stopped. 231 "Mary Alice Robinson" (179518976) 01:00:55.380 --> 01:01:12.810 Okay, there is also on that menu, the save menu, the save in progress record and save and lock bib record, so tell you a little bit about those two things. 232 "Mary Alice Robinson" (179518976) 01:01:15.990 --> 01:01:35.990 1st of all, the safe file in record manager, it is an online safe file. There is NO local safe file as you would have in connection client if you use that. Connection Client has an online and a local safe file, but the online safe file in record manager is the same online safe file you can access through the other interface connection. 233 "Mary Alice Robinson" (179518976) 01:01:36.630 --> 01:01:56.630 Alright, so if you save records in record manager to the online safe file, you can see them in connection client and vice versa. It is one online safe file for your institution. What that means is that anyone with a login for your institution is contributing records to the same one. 234 "Mary Alice Robinson" (179518976) 01:01:56.630 --> 01:02:16.630 Online safe file for your institution. For that reason, I'm gonna suggest you if you have multiple people contributing to the safe file using it, you may want to, use something called my status, add your initials, your name, whatever, so you can filter records in the safe file that you wanna. 235 "Mary Alice Robinson" (179518976) 01:02:16.630 --> 01:02:17.400 See? 236 "Mary Alice Robinson" (179518976) 01:02:17.400 --> 01:02:37.400 I already told you you can view it in connection or a micromanager. Keep in mind using the safe file is absolutely optional. You don't have to use it if you don't find it useful for your workflow. I wanna say maybe some libraries use it when they're creating new records from a work form, it's a good amount of work. They wanna save it, come back to it, and so on. 237 "Mary Alice Robinson" (179518976) 01:02:37.400 --> 01:02:45.870 You don't have to use it, you can bring up the world cat record, do editing from there, export it and so on, whatever you're going to do to it. 238 "Mary Alice Robinson" (179518976) 01:02:45.870 --> 01:03:05.870 The safe file will save whatever, e.g., that record on the clocks I've been working on, it will save what I've done so far, in the safe file. I think that's all I had to tell you. Oh, the lock in the, the lock. Let me tell you about these two things. I want to say for the most part, I always use just. 239 "Mary Alice Robinson" (179518976) 01:03:05.870 --> 01:03:07.500 Progress. 240 "Mary Alice Robinson" (179518976) 01:03:07.500 --> 01:03:27.500 Option. The other option save and lock the world cat record. What this does is if you lock the record, as you add it to the save file, it does prevent any of any other library from replacing the record while you have it locked. The lock, if your intention is not to replace it anyway, you don't. 241 "Mary Alice Robinson" (179518976) 01:03:27.500 --> 01:03:31.080 You know, there's NO need to lock it. But, u. 242 "Mary Alice Robinson" (179518976) 01:03:31.080 --> 01:03:51.080 The, if you save it and lock the worldcat record, it will remain in the safe file only for, I'm sorry, it will remain locked only for 14 days. The lock will be automatically lifted. But records will stay in the safe file indefinitely or until you delete them or until you take a file. 243 "Mary Alice Robinson" (179518976) 01:03:51.080 --> 01:03:55.110 Like replace them or add them to Worldcat. 244 "Mary Alice Robinson" (179518976) 01:03:55.110 --> 01:04:15.110 Okay, if it's an original record. Okay, let's see. Let's go back to record manager. So I'm gonna show you a question how do you add your initials to safe file again? So I'm gonna do that now and I'm also gonna show you. 245 "Mary Alice Robinson" (179518976) 01:04:15.110 --> 01:04:27.660 Got to search the save files, so here's my record that I've been working with, right? I made a bunch of edits too, I reformatted it, validated it, and so on. So let's say I'm going to just save it though. 246 "Mary Alice Robinson" (179518976) 01:04:27.660 --> 01:04:47.660 So go to the save option. I'm gonna say save in progress record. Here's where you enter your status, can be your name, your initials, whatever you want to put here. I'm putting M A R for my initials. You can also change the workflow status. It's defaulting to in process. You can say it's new, maybe if you. 247 "Mary Alice Robinson" (179518976) 01:04:47.660 --> 01:04:57.960 You want to use these, maybe you'd you'd use new for records you haven't done anything with in process maybe for records you've started to edit, I don't know, in review, you know. 248 "Mary Alice Robinson" (179518976) 01:04:57.960 --> 01:05:14.340 Use them as you wish. I'll leave it set at the default in process and then I'll click on save, ok? Let's put another one in my save file over here on the left, I think it was. 249 "Mary Alice Robinson" (179518976) 01:05:14.340 --> 01:05:34.340 No, that's this record. This one. Yeah, let's put this one in my safe file too. We'll go ahead and add that. Save in progress record. I'll also put my initials here. Sometimes I put my initials in a date. If I only want specific records, you know, maybe I have a lot, but, you can do that as well. 250 "Mary Alice Robinson" (179518976) 01:05:34.340 --> 01:05:39.000 Well, so I've got I've added just two with my initials. 251 "Mary Alice Robinson" (179518976) 01:05:39.000 --> 01:05:54.510 So the way to find these records now is over on the left, I'll leave the data type set to bid. They're still bib records, but I have to change my scope from all Worldcat to the the scope, the saved in progress scope. 252 "Mary Alice Robinson" (179518976) 01:05:54.510 --> 01:06:09.600 And then here are my indexes for the save file, my STATUS number, say file number title. If you put in an asterisk here and click on. 253 "Mary Alice Robinson" (179518976) 01:06:09.600 --> 01:06:29.600 Search. You're gonna retrieve all of the records in the safe file, your online institution safe file, and you can see there's a lot, a hundred and 80. And again, keep in mind these are records I've entered, maybe others with other logins even for my institution or also users of record manager as well as users of can. 254 "Mary Alice Robinson" (179518976) 01:06:29.600 --> 01:06:47.010 Connection client for my institution. Alright, if I want to use, by the way, the asterisk, it doesn't matter which index you use. But I'm gonna put in here now my initials, and you'll see I don't have that many. I have just, it looks like twelve. 255 "Mary Alice Robinson" (179518976) 01:06:47.010 --> 01:07:02.130 And there's the two that I just added, ok? If I want to see all of them, can go to 2nd page as well. Thought I could change the rows here, but I don't see that, but I can just go to 2nd page. There's the other two. 256 "Mary Alice Robinson" (179518976) 01:07:02.130 --> 01:07:18.630 Okay, something really new, to show you, let's go back to this 1st page here. Something that's really new is that there used to be the way to delete a record from the safe files, you had to open it up. 257 "Mary Alice Robinson" (179518976) 01:07:18.630 --> 01:07:38.220 And then go to the record. You can still do it this way, delete big record in progress. Not deleting it from worldcat. All you're doing is deleting it from your institution safe file. So that used to be the only way to do it, but now as a result, I'm pretty sure this was an enhancement request. You can. 258 "Mary Alice Robinson" (179518976) 01:07:38.220 --> 01:07:58.220 Let's see if we can do it with two pages. You can select them by clicking on them. Let's go to page two. Let's say I also want to do these two. Well I guess you gotta do it page by page, but I've selected these two. You get the delete thing at the top. Delete two records. So this can be really useful if you really have a lot of. 259 "Mary Alice Robinson" (179518976) 01:07:58.220 --> 01:08:01.860 Records to clean up from your safe file. You can delete them like that. 260 "Mary Alice Robinson" (179518976) 01:08:01.860 --> 01:08:21.660 Alright, and they are gone for my safe file. So it does look like you have to do a page by page, but when did I select one like that, now it says delete one so I can delete that. Alright, and I'll go back and search it again and now I have just nine records in my safe file. 261 "Mary Alice Robinson" (179518976) 01:08:21.660 --> 01:08:40.680 Alright, let's see a couple more things about the save file, let's open up one of these records. So let's open up this one, the one we've been working on. You can take. 262 "Mary Alice Robinson" (179518976) 01:08:40.680 --> 01:09:00.680 Actions on records in the safe file. Most actions, I will say not all. What you can do, you can print the record, you can edit. Remember the field? One thing you can't do is you can't copy multiple fields at a time, but you can copy one field at a time, like this. 263 "Mary Alice Robinson" (179518976) 01:09:00.680 --> 01:09:06.240 Then go to field copy. Just can't copy multiple fields. 264 "Mary Alice Robinson" (179518976) 01:09:06.240 --> 01:09:25.560 Let's see, you can also control headings from the save file, and you can also get Mark field help. So we've looked at mark field help and RDA field help. You can do all those things, from the record menu. The one thing that's not on here that is. 265 "Mary Alice Robinson" (179518976) 01:09:25.560 --> 01:09:45.560 Missing is adding your holdings for the record. You can't do that from the safe file. That has to be done on the Worldcat record. Advanced actions, I wanna say most of them are here. You saw me add the formatted contents note. Is that still here? Most of them are here. I think there's one that's not. 266 "Mary Alice Robinson" (179518976) 01:09:45.560 --> 01:09:59.880 And then you've also got the save menu, you can replace the record. If you make additional changes here and you want to keep it in the save file, just make sure you click on save big record in progress, just save it again. If this was a new record. 267 "Mary Alice Robinson" (179518976) 01:09:59.880 --> 01:10:19.880 I can't, you know, access it now because it's not a new record. It's an existing record, but I could say add the record to Worldcat. All right? And then there's that other thing add record and set Worldcat audience level. Okay, so you can do most things from the safe up on. 268 "Mary Alice Robinson" (179518976) 01:10:19.880 --> 01:10:36.360 Not everything. Oh, I know one thing to show you, this is fairly new. From the save file now you can also export it and send to the label print list. Believe you could export it before, but this is new that you can also now send it to the label label print list. 269 "Mary Alice Robinson" (179518976) 01:10:36.360 --> 01:10:56.360 Okay, so any questions? Question oh, I see a question in chat, so question right so one online safe file. If record manager only has an online safe file, it is shared by your institution for anyone. 270 "Mary Alice Robinson" (179518976) 01:10:56.360 --> 01:11:01.170 And with a login for your institution, ok? True. 271 "Mary Alice Robinson" (179518976) 01:11:01.170 --> 01:11:21.170 Connection client has both that same online safe file, but they all there is also a local safe file for connection client, just so you know if anybody at your institution uses client, but yes, one online safe file, so make good use of the my status so that you can filter to just retrieve your records and I. 272 "Mary Alice Robinson" (179518976) 01:11:21.170 --> 01:11:36.330 Would also say since they stay in there until you delete them or take one of those final actions, you know, probably want to make sure that you're cleaning up the stay file as you go and so on. 273 "Mary Alice Robinson" (179518976) 01:11:36.330 --> 01:11:56.330 All right, any other questions before we we go on? All right, then we have a couple more things to talk about. I wanna make sure we get to them. We want to talk about adding your holdings setting your worldcat holding on, on the record, on the Worldcat record. 274 "Mary Alice Robinson" (179518976) 01:11:56.330 --> 01:11:57.780 Okay. 275 "Mary Alice Robinson" (179518976) 01:11:57.780 --> 01:12:17.160 Basically, this means you're adding your institution symbol to the record specifying you own the item or have access to it that's you know the item that's represented by that record. And then after setting your worldcat holding, other users can see on the worldcat, on the Worldcat record that it is in your collection. 276 "Mary Alice Robinson" (179518976) 01:12:17.160 --> 01:12:34.500 Keep in mind WMS libraries have those options for audience level, not to be confused with the element of audience level on the big record, we're talking about visibility of your holdings in Worldcap. 277 "Mary Alice Robinson" (179518976) 01:12:34.500 --> 01:12:52.020 Alright, it's important why so it's important for anybody accessing the record, the public researchers, it's very important for world share ILL that your holdings be up to date, adding your holdings to records that you have deleting them when you go longer. 278 "Mary Alice Robinson" (179518976) 01:12:52.020 --> 01:13:12.020 Own them or have access to them. As long as you have a copy, you would not need to delete your holding symbol from the record. Important for collection evaluation if you have that subscription to compare your collections to others. Also for discovery, for, and also, you know, as I've been saying for worldchair management. 279 "Mary Alice Robinson" (179518976) 01:13:12.020 --> 01:13:13.140 Services. 280 "Mary Alice Robinson" (179518976) 01:13:13.140 --> 01:13:33.140 For WMS libraries I think I mentioned before, if you have local holdings records, your symbol automatically gets added to the record at the same time. Okay, so couple things to say here, non WMS libraries, you're gonna see the option that says set worldcap. 281 "Mary Alice Robinson" (179518976) 01:13:33.140 --> 01:13:53.140 Holding. When you're viewing the record you've retrieved from Worldcap remember not from the same file. WMS labor is you're gonna see something just slightly different, so you're gonna see set holding audience level. So essentially you're adding your symbol to the record, but you're, you know, setting also what we call the audience level visibility. 282 "Mary Alice Robinson" (179518976) 01:13:53.140 --> 01:13:57.870 Or whatever restrictions you want or don't want, all users means NO restrictions. 283 "Mary Alice Robinson" (179518976) 01:13:57.870 --> 01:14:15.900 My library is set up as a WMS library, so this is what you're gonna see set holding audience level when I go there, just 1 s, which is like now. So I'm gonna go to this record. 284 "Mary Alice Robinson" (179518976) 01:14:15.900 --> 01:14:35.900 Not in the save file, but we're gonna go back to this record here, the Worldcat record, and up at the top, you can see set WorldCat audience levels and it's mindset to WMS and I'm gonna say just all users. It's visible for anyone accessing this in discovery that I have it. 285 "Mary Alice Robinson" (179518976) 01:14:35.900 --> 01:14:55.380 Alright, and it's really just a toggle back and forth. So once you, you can see now it says that it's held. It's visible for all users, it's really a toggle now. So now you see delete world cat holding. So if I made a mistake I want to go back. It's really just another click and it says back to not held. 286 "Mary Alice Robinson" (179518976) 01:14:55.380 --> 01:15:15.380 Okay, if you, I'm gonna bring up one record now, I believe I need to bring it up from Worldcad and I have an OCLC number. So I'm bringing up one record. 287 "Mary Alice Robinson" (179518976) 01:15:15.380 --> 01:15:18.630 That actually has. 288 "Mary Alice Robinson" (179518976) 01:15:18.630 --> 01:15:36.120 Local holdings records, alright, so this says held, right? And it also says lhr's too. Let's go to the record. If I scroll down to the bottom. 289 "Mary Alice Robinson" (179518976) 01:15:36.120 --> 01:15:56.120 This record also has local bid data. All right? Again, these are fields that really are appropriate only for your users. If you are using discovery, you can use LBD. These will, this field, e.g., this 500 will show up only in for my users of discovery. 290 "Mary Alice Robinson" (179518976) 01:15:56.120 --> 01:16:15.480 And below that, here's my local holdings records. Okay, it looks like I have two copies for different locations. Alright, if I NO longer have one of these copies, basically I can delete the one of them here, says you're about to delete it. I can just click on delete. 291 "Mary Alice Robinson" (179518976) 01:16:15.480 --> 01:16:34.170 If I choose, go to the top to just say delete world cat holding so if something really different happens, I'll say delete the world cat holding. So I get this, this message here, you're about to delete the worldcat holding from this big record and one or more attached lhrs and lbds. 292 "Mary Alice Robinson" (179518976) 01:16:34.170 --> 01:16:49.410 Alright, click the delete button to review the OCLC symbol and delete the attach lhrs and LPDs. So in other words, you cannot have local holdings records or local bib data. 293 "Mary Alice Robinson" (179518976) 01:16:49.410 --> 01:17:07.770 On a record, which does not also have your holding symbol to the record. So if I delete my symbol, I am by default have to delete everything. However, I can delete local holdings records, I can delete local bip data and keep my holding symbol on the record if I want to. 294 "Mary Alice Robinson" (179518976) 01:17:07.770 --> 01:17:25.650 Alright, so that's why you get this warning. Just warning you that this means you're deleting everything. Are you aware of that? You go ahead and click delete. Your holding symbol's gone, your local holdings records are gone, your LBD is gone all at the same time. I'm not gonna do that. But just so you know that's you'll get that warning if you have local holdings records. 295 "Mary Alice Robinson" (179518976) 01:17:25.650 --> 01:17:45.650 Question, can you put a local call number in the LBD data? Well, are you a WMS library? That's my 1st question to you. If you're W So, so I guess that's that's the 1st question. If you are a WMS library, you're. 296 "Mary Alice Robinson" (179518976) 01:17:45.650 --> 01:18:04.680 Local call number really should be in the local holdings record in the 08:52. That's where it would go. If you're not a WMS library, your local, your local call number really should be in one of those oh 90 fields or. 297 "Mary Alice Robinson" (179518976) 01:18:04.680 --> 01:18:21.840 Oh 92 fields, e.g., and then you're gonna export the record. Does that make sense? Local bidded does not have a call number field. It doesn't have fields for everything. There are notes fields, there are subject headings fields. 298 "Mary Alice Robinson" (179518976) 01:18:21.840 --> 01:18:41.640 There are name fields. I don't believe there's an option for a call number field. Okay, so you say you use 09:52 to create the item records that include a local call number and connection. Okay, yeah. 299 "Mary Alice Robinson" (179518976) 01:18:41.640 --> 01:19:01.640 You probably could do that with record manager as well. I'm not sure if the NONXX fields that you would use in order to create the item records, so I assume you're talking about adding those non XX fields and then exporting it and you. 300 "Mary Alice Robinson" (179518976) 01:19:01.640 --> 01:19:19.470 Automatically have your items created, I think. So you have to find out which of those fields, if they're the same, I can't tell you if they are not right now. Question, can I delete multiple lbds at once? So. 301 "Mary Alice Robinson" (179518976) 01:19:19.470 --> 01:19:39.470 Essentially on one record, you have one LBD record, but you're adding multiple fields. Like, you know, I've got a 500 I could also add a 700. I could add a, you know, a 600 or six 90 or whatever it is. You're talking about adding multiple lbds from different records I guess. 302 "Mary Alice Robinson" (179518976) 01:19:40.860 --> 01:20:00.660 I will look into that, but I believe the answer is NO, but I will have to look into that, to see and and I'm not sure if maybe if you could explain the question a little more why you want to do that. So I'm the way I'm understanding it is you want to know if you can delete. 303 "Mary Alice Robinson" (179518976) 01:20:00.660 --> 01:20:17.460 Lbds from different bib records, multiple bib records at the same time. Is that correct? Okay, ok, yeah, yeah. 304 "Mary Alice Robinson" (179518976) 01:20:17.460 --> 01:20:37.460 I believe the answer's NO, but I will save your question and I will get a definitive answer back to you on that. All right, thanks for that question. Ok. I want to show you lastly, we only have about less than 10 min here. So the last thing I do want to go over a little bit is about exporting records, alright? 305 "Mary Alice Robinson" (179518976) 01:20:37.460 --> 01:20:57.460 Now, as I said, if your WMS library for the most part, you do not need to export records, your local system essentially is, the Worldcat record or discovery, so which is displaying the Worldcat record. There maybe other occasions where you, I don't know export a file of records, maybe, don't know, but for non WMS. 306 "Mary Alice Robinson" (179518976) 01:20:57.460 --> 01:21:06.360 Libraries, you, you know, I would think you would want to export records, you found in Girlcat, maybe you've done some editing, you wanna export them to your local system. 307 "Mary Alice Robinson" (179518976) 01:21:06.360 --> 01:21:22.770 Alright, so, you have some options. This is a screenshot just viewing the bib record, then you've got the send to option. This is also available from the say file. But here are your options here. You can export. 308 "Mary Alice Robinson" (179518976) 01:21:22.770 --> 01:21:42.770 To a list, you go send to and then export to a list, alright? This basically, you'll be able, once you export it to a list, you'll then be able to export the list of records either to your computer, to a local drive or. 309 "Mary Alice Robinson" (179518976) 01:21:42.770 --> 01:21:53.760 Directly into your ils via this protocol called TCP IP. It's something you have to set up in preferences. Okay, that's one option Export to a list. 310 "Mary Alice Robinson" (179518976) 01:21:53.760 --> 01:22:13.760 You know, when you keep exporting records as you go, you're doing your cataloging and you got the whole list of records and then you go export the whole list, you know, to your computer or via TCP IP if you can. 2nd option here local system via TCP IP. This is an option here when you're viewing a record. 311 "Mary Alice Robinson" (179518976) 01:22:13.760 --> 01:22:26.550 To export this one record directly into your system via TCP IP if your local system's capable of that and you've set up what you need to add in your user preferences. 312 "Mary Alice Robinson" (179518976) 01:22:26.550 --> 01:22:46.550 Okay? Keep in mind this other option here, exporting to a list. After you get that whole list of records, you can also use TCP IP. This is just one by one. So this one record, I know I only want to have the one record and I've set up TCP IP, and there it goes right into my system. 313 "Mary Alice Robinson" (179518976) 01:22:46.550 --> 01:22:59.730 The other thing up here at the top says set holding and export. So this is an option that will allow you to do two things at the same time, add your holding to the record and also export it. And it does export it to a list. 314 "Mary Alice Robinson" (179518976) 01:22:59.730 --> 01:23:19.730 Okay, immediately. That that's your option here, not directly via TCP IP. Keep in mind this is not available in the safe file, ok? Alright, so with that in mind, let's go back to record manager. Here I am. Doesn't matter I'm gonna export a couple of records, but. 315 "Mary Alice Robinson" (179518976) 01:23:19.730 --> 01:23:21.420 But. 316 "Mary Alice Robinson" (179518976) 01:23:21.420 --> 01:23:41.420 Here's my record menu sent to, I'm gonna say export list. If we have time, I'll look at the options, preferences in a moment in a moment, export options, but let's do this 1st. So, I've selected exp export to a list. Now, I don't have any lists at the moment. 317 "Mary Alice Robinson" (179518976) 01:23:41.420 --> 01:23:48.570 I've deleted all of them, used them all. So I'm gonna say new list. I'll have to give it a name. 318 "Mary Alice Robinson" (179518976) 01:23:48.570 --> 01:24:08.040 Alright, I'll call this my June 2025 list, whatever you want to call it. If you make it your default, it's next time, next time I export a record to the list, it'll, you know, it'll show up here and it'll be one click to add it. My list means you want to restrict this to just your login. In other words, others. 319 "Mary Alice Robinson" (179518976) 01:24:08.040 --> 01:24:23.310 With logins for your institution won't be able to view it or export it or do anything with it. If you want to restrict it, you can. Alright, I won't do that. I'll just say now create and add this record to my list. And it says it's added it to. 320 "Mary Alice Robinson" (179518976) 01:24:23.310 --> 01:24:42.210 The export list. Here's the name of the list, I could go right there, but I'm gonna add at least one more record to my list. So I'll go to this record and we'll do the same thing, send to export list, and there it is. So I made it by default, so there it is ready for me just to click add. 321 "Mary Alice Robinson" (179518976) 01:24:42.210 --> 01:25:02.210 And I've added it. I've added two records now, right? So I could go here by clicking June 2025. That's the name of my list, but let's say you come back the next day. So on the left navigation, I'll click export list. I've got two tabs, one for authority records, one for bid records. I only have the one list here. 322 "Mary Alice Robinson" (179518976) 01:25:02.210 --> 01:25:11.790 Two records in it that I just exported. Here's the format. This you have to change in preferences if this is not your format you want it exported in. 323 "Mary Alice Robinson" (179518976) 01:25:11.790 --> 01:25:30.510 I'll show you that hopefully in just a second. And then I'll click on the name of the list, and here's my two records. Now if you don't want one of these exported, you can select it, delete it. If you want both of these exported, just, you know, go ahead and click on export, and then here's those two options again. 324 "Mary Alice Robinson" (179518976) 01:25:30.510 --> 01:25:47.940 Alright, I don't have via TCP IP, so I'm just gonna say send to my computer. I don't know if you can see it, but i'm using Firefox up at the top, it says export dot.in my downloads. I would go ahead and move that over to my desktop and I've got my file locally saved. 325 "Mary Alice Robinson" (179518976) 01:25:47.940 --> 01:26:03.390 The export options I was mentioning, I think we have 2 min left, but if you, before you export, you really should take a brief look at the export options for bid records. Here they are. 326 "Mary Alice Robinson" (179518976) 01:26:03.390 --> 01:26:22.860 Most important is set the correct format. I believe the default is marked 21 with mark eight, but you may need to change it to Mark 21 with UTF eight unicode, and or mark XML with unicode, and so on. There's those other options. 327 "Mary Alice Robinson" (179518976) 01:26:22.860 --> 01:26:42.860 If you're exporting local holdings records, if you have them attached, many libraries may have them for serials, they've added them and you want to export them as well. Just make sure that you're selecting one option that just says end LHR as well. Alright, so that's one thing that's important. If you want certain tags excluded from your. 328 "Mary Alice Robinson" (179518976) 01:26:42.860 --> 01:26:47.940 Exported records. This is where you enter them. So the 1st option is for tags. 329 "Mary Alice Robinson" (179518976) 01:26:47.940 --> 01:27:07.940 Add more than one. 2nd option here is sub fields within tags. So you specify the tag and the specific sub field and just only those sub fields would not be included in the exported record. Those are the general options. If you're using not Latin scripts, you wanna take a look at the international. 330 "Mary Alice Robinson" (179518976) 01:27:07.940 --> 01:27:26.520 Tab, so non Latin content exported. It says all data with Latin scripts in eight 80 fields, this is the default. This has to do with the unicode characters. If the diacritics are included with the basic Unico character or not, and you can select warning. 331 "Mary Alice Robinson" (179518976) 01:27:26.520 --> 01:27:46.520 Warn before exporting records that include non unlinked Nonlatin scripts. Here's the TCP IP options. So 1st of all, find out if your local system has that ability. If it does, you need to come here, enter your host name, port name, all of these various things you have to enter that data 1st before it will work. 332 "Mary Alice Robinson" (179518976) 01:27:46.520 --> 01:28:06.520 And then the last tab here says uniform resource identifiers. So this is the name headings identifiers, the German names or LC Naco authority file. These would be, if you select these for any names and records in here exported files, the URI, your uniform resource identifier would get appended to. 333 "Mary Alice Robinson" (179518976) 01:28:06.520 --> 01:28:26.520 The entry for that name and the bib record it you'll see it would just be a URI. And then also same thing for subjects. If you want, you'll see subject authority file and mesh for medical subjects can be added and and again they would just append those to any of the subjects or or names as you choose in your exported records. 334 "Mary Alice Robinson" (179518976) 01:28:26.520 --> 01:28:29.610 If you change anything, make sure you click on save. 335 "Mary Alice Robinson" (179518976) 01:28:29.610 --> 01:28:49.610 And at that point you have those options set up, you're ready to go ahead and export. Okay, questions now that I think I've gotten through all this. So you questioned in chat, if I am in a cat express library, I can't edit the bid before exporting. There are, there are minor minor edits. You can. 336 "Mary Alice Robinson" (179518976) 01:28:49.610 --> 01:28:58.470 And you said before exporting. You can't make as many edits, but there are a few edits that you can make before exporting. 337 "Mary Alice Robinson" (179518976) 01:28:58.470 --> 01:29:18.470 It's limited, so yes. I believe you can add a local call number, e.g.. Off the top of my head I'm not remembering everything else you can do, but you're correct. It is, it is much more limited Field you can edit. Can you overlay existing bid records in our local system using export? 338 "Mary Alice Robinson" (179518976) 01:29:18.470 --> 01:29:22.410 Where will the records be inserted? 339 "Mary Alice Robinson" (179518976) 01:29:22.410 --> 01:29:42.410 So I guess what you're thinking is you have a record that is maybe an updated record of a record you already have in your local system. I I I'm not I don't think I'm can quite answer that because it may depend on your local system. I'm not quite sure and it may depend on. 340 "Mary Alice Robinson" (179518976) 01:29:42.960 --> 01:30:02.960 If you've indicated it should overlay or added as a new record. Ok, you have briefed order records that need to be updated. Got it. Yeah, I think that's a really good question that you, 1st of all I would ask your local system administrator, because I would say probably your system's capable of that, but there may. 341 "Mary Alice Robinson" (179518976) 01:30:02.960 --> 01:30:10.440 Be something that they would need to do to allow that to overlay. And the other thing in case you're not aware of it is you can. 342 "Mary Alice Robinson" (179518976) 01:30:10.440 --> 01:30:30.420 You can get updated Worldcat records. You kind of just have to sign up for it in collection manager to say that you want Mark records. So if records that you have your holdings on are updated for whatever reason, I believe you can specify some of the reasons they might be updated, but. 343 "Mary Alice Robinson" (179518976) 01:30:30.420 --> 01:30:50.420 I don't know if a record is upgraded, if subject headings get added, if, you know, authority records change and, you know, that kind of thing, you can get those, those updated records, marked records and they can be in a file that you pick up and then, you know, again, you would have to. 344 "Mary Alice Robinson" (179518976) 01:30:50.420 --> 01:30:56.130 Load them into your system and so on. But, but that's available too just to get updated records. 345 "Mary Alice Robinson" (179518976) 01:30:56.130 --> 01:31:16.130 Okay, so your question, I see a question getting a new iOS, and it's potentially limited as far as what fields are included in the local system. Is this. 346 "Mary Alice Robinson" (179518976) 01:31:16.130 --> 01:31:20.520 That's where we use the tag exclusion part of exporting preferences. 347 "Mary Alice Robinson" (179518976) 01:31:20.520 --> 01:31:36.300 I'm not sure if you would have to or not. If, if your local system is just not going to include those fields, I would imagine they would just be dropped. Again, that's something I'm not sure what your local system is, but I, I think you probably should ask. 348 "Mary Alice Robinson" (179518976) 01:31:36.300 --> 01:31:55.739 You know, your, your IT person or your local system administrator, if, if that would need to be done, I don't think so. I think what what that option is more for is, you know, you're exporting records and you're getting a whole bunch of junks that you never want in your records, you know, you just don't want to see them. 349 "Mary Alice Robinson" (179518976) 01:31:57.419 --> 01:32:17.419 But I would think that probably if your system's not capable of adding those fields, they would just simply be dropped. The other thing you might want to use that for is for fields that you never index or you don't need at all. Maybe they're even subject heading fields, maybe mesh subject headings, e.g., you don't use. 350 "Mary Alice Robinson" (179518976) 01:32:17.419 --> 01:32:26.939 They're gonna be in the world cat record, but you you might want to exclude them from your exported records because you don't need them locally or and so on. 351 "Mary Alice Robinson" (179518976) 01:32:26.939 --> 01:32:46.939 But yeah, ok, I I hope that's true, yeah. It would make your life a lot easier, so, so yeah, I would I would definitely look into that and see if it would make your life easier to see if see if that's the way it would work because I think it really does depend on what your system is, but my guess is that's how it would work, so hopefully that's true. 352 "Mary Alice Robinson" (179518976) 01:32:46.939 --> 01:32:47.579 Yeah. 353 "Mary Alice Robinson" (179518976) 01:32:47.579 --> 01:33:07.579 All right. Any other questions before we close out? You can keep sending them in chat. I just have one or two more things to tell you. Help.OCLC.org if you want to find more training or documentation, there's also a link to support. It says contact LC support. 354 "Mary Alice Robinson" (179518976) 01:33:07.579 --> 01:33:27.579 And then you'll get to that page for support in your region. Lastly, when you close out the Webex, you will see in your, whatever your default browser is, an evaluation will pop up. I believe you will have to say continue to actually get to the evaluation. The evaluation has changed, it's very brief now, it's very on point. 355 "Mary Alice Robinson" (179518976) 01:33:27.579 --> 01:33:42.119 Basically to talk about the specific learning objectives so it really should take you, you know, really just a minute or so to fill it out, I hope. So if you're able to give us feedback, I really appreciate your feedback. It's real helpful in providing these sessions for you. 356 "Mary Alice Robinson" (179518976) 01:33:42.119 --> 01:34:02.119 So hopefully you found it helpful, and hopefully I'll see you in some other sessions in the future. So thanks everyone and have a great rest of the day and I will send out the follow up email. You'll get that tomorrow probably from Webex, but if I have follow up questions, you'll get all. 357 "Mary Alice Robinson" (179518976) 01:34:02.119 --> 01:34:18.131 So an email from me, and also we'll include the recording link in that as well. Alright, have a great rest of the day everybody. Bye bye.
