We also hope that you learn a bit about offline catalogging processes such as entering biographic search keys take actions on Safile records and processing holdings by. 10 Crystal Rodriguez 00:23:56.520 --> 00:23:57.800 C- number. 11 Crystal Rodriguez 00:24:06.400 --> 00:24:24.960 So getting right into it when you're working with records and connection client, you have the option to use, say files to store unfinished work. This option allows you to store the record in case you need to verify data review your work or have someone else review your. 12 Crystal Rodriguez 00:24:25.280 --> 00:24:26.520 For you. 13 Crystal Rodriguez 00:24:28.160 --> 00:24:34.960 There are two types of say files. There's the online say file and the local safe file. 14 Crystal Rodriguez 00:24:36.480 --> 00:24:37.600 And. 15 Crystal Rodriguez 00:24:39.040 --> 00:24:59.520 Within the online, say file files are stored at OCLC saving records to the online safe file is optional record saved in the online safe file can be shared amongst others at your institution and they can be viewed in both connection client and World Share Record Manager in case. 16 Crystal Rodriguez 00:24:59.600 --> 00:25:11.840 Libraries using both of those interfaces, additionally using the, my status option enables you to identify your records from those of others at your institution. 17 Crystal Rodriguez 00:25:13.600 --> 00:25:26.320 The local save files are stored on your computer or your network car drive. Typically a, my status value is not needed because that is local to your computer. 18 Crystal Rodriguez 00:25:28.320 --> 00:25:45.000 The local safe file allows easy individual access for online or offline catalogging, it also allows you to select and, or take actions on groups of records. The local also allows for batch processing. 19 Crystal Rodriguez 00:25:48.800 --> 00:25:52.240 All right, I'm gonna go ahead and switch over to connection. 20 Crystal Rodriguez 00:25:59.680 --> 00:26:02.560 So you all should be seeing my connection now. 21 Crystal Rodriguez 00:26:07.360 --> 00:26:11.960 I see that Sarah is still helping with the audio issue, hopefully that does get resolved. 22 Crystal Rodriguez 00:26:18.880 --> 00:26:39.360 So my library has several cataloggers that are saving records to the online safe file and I want to be able to easily identify and locate the records that I personally have saved before working with y'all lane say file, I'm going to set up the optional, my status to help me locate those records. 23 Crystal Rodriguez 00:26:43.840 --> 00:26:59.840 To do that. I'm going to go to the tools menu and then options, and then I choose my status and I currently have a status already here, that should have been left blank, but I can just go ahead with that and show you. So for bibly graphic. 24 Crystal Rodriguez 00:26:59.880 --> 00:27:13.000 Records, I would check here and then I personally use my initials, but you can put your name, whatever identify or you would like there and click apply and then close. 25 Crystal Rodriguez 00:27:20.320 --> 00:27:24.720 To show how that works. I'm going to go ahead and log on to connection. 26 Crystal Rodriguez 00:27:26.720 --> 00:27:46.560 And I'm gonna go to file log on now I've already set up my authorization number. We do discuss that in the first connection class and you can find information on our help site, additionally, you can just click on set- up authorizations and it's pretty intuitive on how to set those up, but I'm going to go ahead and click okay to log. 27 Crystal Rodriguez 00:27:46.720 --> 00:27:51.120 With my default authorization number when I click close. 28 Crystal Rodriguez 00:27:53.000 --> 00:27:59.040 In here, I'm going to do a quick search. So I'm going to go to catalogging search world cat. 29 Crystal Rodriguez 00:28:01.280 --> 00:28:03.640 But throughout my previous search here. 30 Crystal Rodriguez 00:28:05.120 --> 00:28:11.120 And I'm searching by an OCLC number. So I'm going to use the number sign here. 31 Crystal Rodriguez 00:28:15.360 --> 00:28:20.880 Also can use no colon search for that as well. 32 Crystal Rodriguez 00:28:25.600 --> 00:28:42.880 So I've opened up my bidlographic record here. The mystery of the monarchs and you'll note that down at the bottom of my screen. I see my status CG, that's how I know that the, my status that I just set up worked and that, that is my default if you don't. 33 Crystal Rodriguez 00:28:43.040 --> 00:28:56.600 Have a default and you want to set a, my status you can go to action and then set status and there you can set a status as well, but if you do that, you're gonna need to do that for each record. 34 Crystal Rodriguez 00:29:00.160 --> 00:29:18.080 Right, so in this record I'm going to add the field. I want to go down and I want to add an additional six fifty field, so I'm gonna highlight the existing six, the last six fifty there. I'm gonner to add a field and we show this. 35 Crystal Rodriguez 00:29:19.640 --> 00:29:26.440 On editing as well, a little bit more in depth. Oops, I got my caps locked on. 36 Crystal Rodriguez 00:29:28.960 --> 00:29:49.440 I'm just gonna add antimology there. Now. I wanna save this bibiographic record to my, so there's a few options to do that. You can use the shortcuts of control halt and V- all at the same time, you can use the action menu and click on save. 37 Crystal Rodriguez 00:29:49.480 --> 00:30:06.920 Record to online VI online file. You can also use the toolbar button, if you have that activated and we actually go into setting this up a little bit more in our next class, the fifth class in our connection series. 38 Crystal Rodriguez 00:30:10.100 --> 00:30:30.220 Shelly, when I attempt to edit or to close and edit it record, I'm gonna get a message. Ask me what I want to do. So I'm gonna go ahead and do that this time since I did edit this record so you all can see how that works. So I attempted to close and I get an, a pop up here asking me if I. 39 Crystal Rodriguez 00:30:30.900 --> 00:30:38.140 This record to the local online or, you know, do I want to close, so I'm gonna choose online here. 40 Crystal Rodriguez 00:30:41.100 --> 00:30:59.660 And as soon as I do that a confirmation message displays with the safe file number, the safe file numbers are automatically assigned to the lowest available number in your online state file. So you might want to note this in case you need to go back to that later. So I'm gonna note that this is safe file number. 41 Crystal Rodriguez 00:30:59.780 --> 00:31:05.500 Forty- six and here I'm just going to click OK to make that go away. 42 Crystal Rodriguez 00:31:10.540 --> 00:31:27.180 All right, so that's the process for saving the record to the online save file. Now what do I do to go ahead and retrieve them. So I can go ahead and I can click on catalogging search and then. 43 Crystal Rodriguez 00:31:28.740 --> 00:31:43.860 File, I also can use control and the F- three or the toolbar option. Now if I want to get back all of my online say file I wanna leave this blank and just make sure to click on. Okay. 44 Crystal Rodriguez 00:31:45.180 --> 00:31:59.420 When I do that, I personally only have fifty- three records right now if you had more, then you would be, you would be able to use the view menu to go to. 45 Crystal Rodriguez 00:32:00.460 --> 00:32:20.940 The next hundred records I'm showing that here on the screen you click on view navigate records and list, and then you can move through additional list of hundred and you'll note here that we also do, see our statuses. So that's where that comes in really helpful. All right now I want to actually. 46 Crystal Rodriguez 00:32:20.980 --> 00:32:31.820 Search by that status, so that I can find only items that I have saved. So again, I'm gonna open up my search bar here and. 47 Crystal Rodriguez 00:32:33.740 --> 00:32:50.620 I'm going to change my drop down to my status and put in my initials and click okay, and you'll meet see that I only get back two records that I have saved with my status on it. 48 Crystal Rodriguez 00:32:54.860 --> 00:33:03.980 Then if I want to search for a specific record, then I would go ahead and choose get open up my search box again, here. 49 Crystal Rodriguez 00:33:05.100 --> 00:33:19.180 And I can use the drop down to search by say, file number or for example, I can search by OCLC number, if I know that I'm gonna go ahead and do save file and I'm gonna enter that forty- six in there. 50 Crystal Rodriguez 00:33:20.500 --> 00:33:22.340 And click, okay. 51 Crystal Rodriguez 00:33:24.300 --> 00:33:44.140 And it's bringing up that record that I saved earlier and you'll see that my edit is still there, so that allows me to kind of go through and make that change now within the online say file, once you perform an update or replace an action, the record is removed from the state file. 52 Crystal Rodriguez 00:33:44.380 --> 00:34:04.620 Let's say that you've reviewed this record and you say, you know, this isn't really the match. I want. I'm just gonna go ahead and remove this from my safe file to do that with the record open. I can click on action and then click delete record and I'm gonna get the pop- up asking if I wanted to delete that. 53 Crystal Rodriguez 00:34:04.700 --> 00:34:10.300 I'm gonna say, yes, and then that removes it from my online, say file. 54 Crystal Rodriguez 00:34:11.659 --> 00:34:32.139 I'm gonna open up my online say file again here, and I want to search for all of the records again, just to show you that you also can remove records like multiple records for your line. C- five at the same time, I don't want to do that right now because I'm not sure some of these belong to my colleagues, but if I wanted to, I would. 55 Crystal Rodriguez 00:34:33.460 --> 00:34:52.620 And then just like we showed in previous classes, you can use the shift to shift and click to choose titles that are in the same, like, cons sequential order or you can use control to. 56 Crystal Rodriguez 00:34:52.659 --> 00:35:00.180 Click on those that are non- sequential, and then once you have them highlighted, you would choose that action and then delete. 57 Crystal Rodriguez 00:35:02.860 --> 00:35:18.020 Okay, so that's the online save file. We're gonna move on in a moment to local safe file, but I just want to see if there's any questions on the online say file first. I do see that the audio got resolved, So I wanna thank my colleague, Sarah for helping with that. 58 Crystal Rodriguez 00:35:20.140 --> 00:35:23.740 And I don't see any questions as of yet. 59 Crystal Rodriguez 00:35:27.180 --> 00:35:31.100 So let me go ahead and move on to the local safe file. 60 Crystal Rodriguez 00:35:33.580 --> 00:35:52.660 The local safe file as I mentioned before is saved on your personal computer, this is really helpful if you're, you know, like, maybe, you know, you're gonna need to get back to this later. It's also this, the main reason that we're demonstrating that for today's class is for batch processing, so. 61 Crystal Rodriguez 00:35:53.420 --> 00:36:02.260 I want to go ahead and save a record to the lo to the local safe file this time I'm gonna search for that record. 62 Crystal Rodriguez 00:36:04.300 --> 00:36:22.340 And I'm opening up my search box in the same manners. I'm clicking their search here to get rid of that. Previous search. Actually, that's the one I wanted. So I'm gonna go ahead and you can, by using the drop- down here. My previous searches are shown, so I'm gonna go ahead and just reselect that one and hit. Okay. 63 Crystal Rodriguez 00:36:24.140 --> 00:36:43.980 Right, and this is my same record. So again, I have the option of using a shortcut, which is the F- four key or I can use the action menu or the toolbar. I'm gonna go ahead and use the toolbar this time so you can see that. 64 Crystal Rodriguez 00:36:44.620 --> 00:37:04.460 Icon here, and when you hover over the icon, it actually tells you what that button does. So I'm clicking on that and it saves it to my local save file and it gives me save file number one cause right now I don't have anything in there. Oh, you know what I apologize. I actually need to back up. 65 Crystal Rodriguez 00:37:05.780 --> 00:37:24.940 Show you all how I set up my local file. I skipped a step. So let me check. Let me back up here for a second. We'll actually go back and do that first and about before I do that, I do see a question. Is there time can we demonstrate how to set up my Setus to get applied to the default, Not just. 66 Crystal Rodriguez 00:37:25.020 --> 00:37:31.420 Yes, I, I did demonstrate that, but hope at the end, if there's time we'll go back and do that again. Okay. 67 Crystal Rodriguez 00:37:33.260 --> 00:37:34.380 So. 68 Crystal Rodriguez 00:37:35.820 --> 00:37:56.300 Resetting, I actually want to store my records on my local work stations, so I'm gonna use the local say file, but before I do that, I actually need to set that up on connection as you saw. I already have one set up, but I'm gonna walk through that with you all so to do that, I'm gonna go to file and then. 69 Crystal Rodriguez 00:37:56.420 --> 00:38:04.980 Local file manager and you'll see that I currently have one set up in your case when you sign in, you'll probably just see your default here. 70 Crystal Rodriguez 00:38:08.540 --> 00:38:27.020 There is an option to have multiple local files as you can see here, I have multiple files. This comes in handy, like, let's say that you want to have separate files for different collections or maybe different branch locations. Lots of different reasons why you might want to have a different local file set up. 71 Crystal Rodriguez 00:38:27.700 --> 00:38:41.700 But those are some common ones. So I'm going to go ahead and create a file when I click create file and that opens up the DB folder in connection automatically. 72 Crystal Rodriguez 00:38:44.940 --> 00:38:56.140 Do you want to show that? I want to make sure that I choose the file type here of Biographic before I click on create file. So then I can just type in the name here. 73 Crystal Rodriguez 00:38:58.380 --> 00:39:16.900 That I want to make this test file here and doing that on my screen here under file name, and then I click open and you see that, that f- that location now shows on my local file manager for me to select. 74 Crystal Rodriguez 00:39:17.580 --> 00:39:38.060 Now, because I had previously saved that other one, I'm gonna go ahead and actually go back and select my local file test as my default, and I can do that. A couple of ways. I can either just double click on it, or I can click once and click set as default and you may have noted that the little red check Mark moved to that. 75 Crystal Rodriguez 00:39:39.060 --> 00:39:56.380 That I've, that I've chosen. So here I'm going to go ahead and click close. All right, so now that I've shown you how to set that up. Let's go back to actually saving it because I do actually have a couple of example, more examples. I want to say. 76 Crystal Rodriguez 00:39:58.660 --> 00:40:13.580 Again, just like when we were working in our online safe file, if I would have edited my record and tried to close it, I would have gotten that pop up asking me if I wanted to save to either the local or online save file. 77 Crystal Rodriguez 00:40:16.380 --> 00:40:25.020 So I want to go ahead and search a couple more records because I want to have some items in here for you all. So I'm gonna search another OCLC number. 78 Crystal Rodriguez 00:40:34.300 --> 00:40:45.300 And I'm going to use the F- four key to save that my local file this time, and you see that, that gave me safe file to. 79 Crystal Rodriguez 00:40:47.740 --> 00:40:50.260 And I want to do one more search. 80 Crystal Rodriguez 00:40:51.580 --> 00:41:12.060 And this time I'm going to actually search in the keyword numeric search area, and again, we go through this actually, in our second connection class searching. So if you want to go back and watch that recording, it is available on our website and here I want you search Lizard Library and I've already selected using the drop- down. I've still selected. 81 Crystal Rodriguez 00:41:12.820 --> 00:41:15.980 Phrase and I click, okay. 82 Crystal Rodriguez 00:41:17.860 --> 00:41:37.660 Here I'm gonna say, Yep, to that, just to remove that notice, letting me know that I got twenty- seven words and this is a good way that if I want to save multiple records in this series, I can do that here as well. So let's say that I want to save all of the records that show as DLC record. 83 Crystal Rodriguez 00:41:38.980 --> 00:41:51.900 So, again, I'm gonna click on the first one click ALT and then choose the others and this time I'm gonna choose action save record to local file. 84 Crystal Rodriguez 00:41:54.300 --> 00:41:55.940 You think I might not. 85 Crystal Rodriguez 00:41:58.140 --> 00:42:01.420 And then I want to go ahead and close out of that. 86 Crystal Rodriguez 00:42:04.540 --> 00:42:19.540 The main reason I did that is, I want to show you what happens when I go to search for that local file. So if I click on catalogging search and choose local say file and again, I also could have used the F- three or my toolbar. 87 Crystal Rodriguez 00:42:21.820 --> 00:42:41.420 So here, in order to search for your whole local safe file, you want to make sure that you've selected the correct safe file. I am working in my local file test, but if I use the drop- down, I'll see my other files and once again, to get the entire list, I would just leave this blank. 88 Crystal Rodriguez 00:42:41.660 --> 00:43:02.140 And currently I'm my default here is to retrieve in say, file number. There is an option to change that by using the dropdown, but do keep note that if you do that, it will retain that for your next time around, but that is a nice option. in case you want, perhaps you want things to be returned in control number. 89 Crystal Rodriguez 00:43:02.220 --> 00:43:22.620 Order, I'm gonna leave that as safe file and I'm gonna click OK. and there's my searches there and it does look like when I was trying to choose the multiples. I think I let go of the old key and that's why it only saved the one, but. 90 Crystal Rodriguez 00:43:22.660 --> 00:43:31.300 You can still see here. What happens when you get multiple, if you only have one record in your local file, it's just gonna open up that record for you. 91 Crystal Rodriguez 00:43:32.940 --> 00:43:45.300 Now let's say that I want to search for a specific record, again, just like with the lo, the online say file, I can open that search box up, Make sure I've chosen the correct local file. 92 Crystal Rodriguez 00:43:48.220 --> 00:43:53.580 It is the old key. I believe. I'll double check that in a moment. 93 Crystal Rodriguez 00:43:55.260 --> 00:44:04.660 And so let me finish this, and then I'll double, I'll go back and redo that to double check that. So here we go. 94 Crystal Rodriguez 00:44:07.420 --> 00:44:26.620 If I want to search by a certain record, I can choose again, I can choose say file number or OCLC number. I'm gonna go ahead and choose say file number and I'm just gonna click, I'm gonna choose number three and then that just brings back that whole record and Zara, let me go back and. 95 Crystal Rodriguez 00:44:27.260 --> 00:44:40.100 To that, because you might be right? I may have misspoke, I think it, so let's go try that real quick. Let's go back and recreate that search for the Lizard Library series. 96 Crystal Rodriguez 00:44:45.180 --> 00:45:01.820 The funny thing is, if I misspoke, I do know this, this is, you know, whether those things that I don't do it on a regular, so let's see it is control. So I apologize that, that would be the control. So click on your first hit control. 97 Crystal Rodriguez 00:45:02.460 --> 00:45:22.300 And then click your next options and then you're going to save those. Thank you for pointing that out. I apologize for that error there. So now if I go back and look at my local safe file, I should see those that I just selected... Yep, so once again. 98 Crystal Rodriguez 00:45:22.300 --> 00:45:25.220 It is actually control and then click. 99 Crystal Rodriguez 00:45:29.980 --> 00:45:46.260 So before we go move on to the next section and see if there's any other questions on local save file as you may have noted pretty much what you can do in the, for searching in your online, say file a similar steps within the local safe file as well. 100 Crystal Rodriguez 00:45:50.500 --> 00:45:52.900 Don't see any other questions. 101 Crystal Rodriguez 00:45:56.860 --> 00:46:02.300 All right, let me jump back over to my Powerpoint real quick here. 102 Crystal Rodriguez 00:46:03.900 --> 00:46:05.940 Oh, there is a question. 103 Crystal Rodriguez 00:46:07.100 --> 00:46:27.580 If there are multiple safe files in. Okay, so you, first of all, you cannot, let me re- reread the whole question if there are multiple safe files, there are multiple files in the safe file online or local and one in the middle gets deleted, Will the next record that gets saved be assigned to the number. 104 Crystal Rodriguez 00:46:27.580 --> 00:46:48.700 Of the one that is deleted. So first of all, there's only one online file, so you cannot have multiple online say files, but to answer your question with the local safe files, if you have multiple local safe files and you'd like delete the one in the middle. 105 Crystal Rodriguez 00:46:48.780 --> 00:47:09.820 One of the other two would become your default. So what would happen is it would save to the default? Is there a way? Is there any way to just to do a search in say files that isn't left anchored. I'm not sure what you mean by anchored. So if you wouldn't clarifying that I'd be happy to answer that. 106 Crystal Rodriguez 00:47:16.220 --> 00:47:29.340 You are working on that clarification. I'm gonna go ahead and proceed with my Powerpoint. Just bring that up for you and see if you have a moment to say that is it not to increase? Yeah, I'm not, I'm, I really apologize. I'm not sure I understand that. 107 Crystal Rodriguez 00:47:30.300 --> 00:47:48.500 All right, I'm gonna go ahead and move on, but we'll keep an eye on the chat there in order to answer that question for you, Zara. All right, so as I mentioned earlier within connection, you do have the option of using online processing or offline processing. 108 Crystal Rodriguez 00:47:53.340 --> 00:48:10.620 If you want to search for a word in the title, for example, that isn't the first word. Yeah, so you can search by just like any, the same searches that you would perform when you're not working in safe files, you can perform when you are. 109 Crystal Rodriguez 00:48:10.620 --> 00:48:30.780 So you can search like title Poland, just our keyword searches, et cetera and we will talk a little bit more about that a little bit further. So hopefully I can answer that further, then. All right, so getting back over to my slide here. Thank you for those questions. So connection client. 110 Crystal Rodriguez 00:48:31.980 --> 00:48:52.860 Has the offers the ability to use online processing and offline processing and here on the screen, you can see some of those characteristic differences between those so online processing allows you to evaluate edit and, or perform actions one record at a time to use connection online processing, you. 111 Crystal Rodriguez 00:48:52.860 --> 00:49:13.340 You do need to log in with your authorization number as I showed earlier you go to file and then log on for connection offline processing that allows you to work with a group of records without having to log on, so you can search AD holdings and export multiple. 112 Crystal Rodriguez 00:49:13.380 --> 00:49:20.740 Records in one process. The local self- say file is mandatory for offline processing. 113 Crystal Rodriguez 00:49:24.860 --> 00:49:25.980 Okay. 114 Crystal Rodriguez 00:49:28.060 --> 00:49:47.900 I'm gonna go ahead. go back over to my connection then and talk a little bit more about this offline processing offline catalogging. All right, so my library has received a large order of books from a vendor and my cataloger wants to process those records offline and in a batch. 115 Crystal Rodriguez 00:49:49.180 --> 00:50:07.500 So the first thing we actually need to do is to set up connection for offline catalogging to do that. We're gonna go to tools and then options and we click on general and then offline catalogging options. 116 Crystal Rodriguez 00:50:08.460 --> 00:50:25.260 The first thing we need to do is make sure that we add our libraries holding library code, which is the four digit code that's in our O- four, nine field is typically the library symbol with the letter A- or the word means is often used as well. 117 Crystal Rodriguez 00:50:27.520 --> 00:50:40.840 Institutions symbol if your library is if your cataloger is catalogging as an ECO- cataloger, then they would want to also add their Mark Organization code here. 118 Crystal Rodriguez 00:50:45.280 --> 00:50:56.720 When we're running through batch processing and you have to log in, then it's going to choose those codes that are here. That's why that's important to add here. So we wanna go ahead and click. Okay. 119 Crystal Rodriguez 00:51:00.000 --> 00:51:03.360 All right, actually. 120 Crystal Rodriguez 00:51:04.480 --> 00:51:14.840 Yeah, so now we're gonna, once we set up that holding code, we want to go ahead and click on batch and there's quite settings we're gonna walk through here. 121 Crystal Rodriguez 00:51:16.000 --> 00:51:25.920 So the first thing to do is to select your minimum and maximum number of bat matches to download the maximum number. I apologize. 122 Crystal Rodriguez 00:51:27.560 --> 00:51:48.000 The default is typically one record here, whenever you sign in the maximum allowed is one hundred and fifty, so you might want to choose a lower number if you have a student worker and you want them to review one match or just a few matches at a time, maybe you, you know. 123 Crystal Rodriguez 00:51:48.680 --> 00:52:00.080 You're pretty clear on what you're looking for there and you don't want to overwhelm them with too many matches, but I'm actually gonna change mind to fifty. 124 Crystal Rodriguez 00:52:01.440 --> 00:52:21.920 As my life Cataloger wants to review multiple matches to find the best match. So what this means is that connection will download all of the records that match my search up to fifty titles and we will see that in action shortly, however, if there are more than fifty matches. 125 Crystal Rodriguez 00:52:23.280 --> 00:52:27.800 Of the records will be downloaded so that I can narrow my search. 126 Crystal Rodriguez 00:52:31.520 --> 00:52:49.440 We also want to make sure that we're looking at the batch search keys to retain area. What this is gonna do is when we're entering our search keys for batch processing, we want to tell connection do we want to get results or do we want connection to. 127 Crystal Rodriguez 00:52:49.920 --> 00:53:09.920 Our search keys when there, when too many matches are found or when no matches found or there's an error we recommend that you check both of those, that way you can go back and recreate that search, you won't have to add it again to. 128 Crystal Rodriguez 00:53:09.960 --> 00:53:11.560 Your search keys. 129 Crystal Rodriguez 00:53:14.400 --> 00:53:33.600 Right, we also need to decide how we want our batch reports shown. So do we want those to automatically display after we process our batch or, and, or do we want them to print automatically? I'm gonna choose to display batch process batch reports automatically. 130 Crystal Rodriguez 00:53:34.320 --> 00:53:54.080 Your library may choose both or one or the other, it's really depends on your preference. Printing is nice, maybe if you have a whole lot of records or if, you know, you're gonna be passing that list on to someone else for them to follow through and do some additional searching. There's multiple reasons why you might want to print it as well. 131 Crystal Rodriguez 00:53:56.040 --> 00:54:01.440 You can print in the moment, but if you want to print it automatically you select that. 132 Crystal Rodriguez 00:54:04.960 --> 00:54:22.880 And then under record actions over here, you'll see the delete attached LHRS and local BIB data when deleting holdings this only applies to batch processing if this option is checked and you perform a delete holding's action. 133 Crystal Rodriguez 00:54:23.520 --> 00:54:43.360 Any attached LHRS and LBD will be removed if it's unchecked and you are in that situation, then the action will fail and then that allows you to go back and review and edit that LHR and, or LBD with it and you can do that within world share Record. 134 Crystal Rodriguez 00:54:45.280 --> 00:55:03.840 I see a question came in. Let me see here are the first fifty results, The closest best matches. In other words, we're not going to miss anything valuable in records that map past fifty. I'm, I'm gonna, I'm assuming, yes, but I don't know that for sure. I might see. 135 Crystal Rodriguez 00:55:03.840 --> 00:55:17.480 If any of my colleagues that are on the call know that, and if, so if they could send me a chat to confirm if I'm unable to confirm before the class is over, I will send an email back to you letting, you know. 136 Crystal Rodriguez 00:55:18.560 --> 00:55:23.600 But I do believe that that you're gonna get those best matches. 137 Crystal Rodriguez 00:55:25.600 --> 00:55:29.400 I just don't feel a hundred percent confident saying that for sure. 138 Crystal Rodriguez 00:55:31.360 --> 00:55:51.200 All right, so getting back over here. I am not going to select to delete the Lhrs and local BIP data again, went by not doing that if any of my records, do you have LHRS. My action will fail and you might see that in action later on, right? And. 139 Crystal Rodriguez 00:55:51.840 --> 00:56:12.320 Underperformed local actions in batch. I have options here to choose what record, what actions I want performed in batch. I'm gonna go ahead and select bipographic record export just a little caveat about this, if you select this and then later on you want to. 140 Crystal Rodriguez 00:56:12.360 --> 00:56:32.800 Export using online catalogging. You might get an error. So if your library plans to do batch processing and then go back and do a online after you do the batch processing, you might want to come back and uncheck this and just. 141 Crystal Rodriguez 00:56:32.880 --> 00:56:49.320 I know that's a common thing that we see where that is checked and libraries are like, why didn't my record export. So just keep that in mind that if you are performing export in batch, you're gonna wanna come back later and unselect that. Okay. 142 Crystal Rodriguez 00:56:52.640 --> 00:56:58.960 Oh, thank you for that question. I apologize, yeah, somebody answered it Lhrs are local holding records. 143 Crystal Rodriguez 00:57:01.000 --> 00:57:21.440 Some libraries might refer to those as the copy record or the item record. In some cases, it's, it's usually a record that's got like your local data so saying perhaps maybe your library holds certain volumes of a series or your library. 144 Crystal Rodriguez 00:57:22.760 --> 00:57:32.720 Indicates like we have these copies, this many copies and you're here's the barcodes of those copies, et cetera, but yeah, local holding records. 145 Crystal Rodriguez 00:57:34.240 --> 00:57:48.360 And LBD stands for local bid data and you can find more information on both of those in our help documentation, which I will show you at the end of the class. How to get to that. Oh, looks like somebody actually provided that. Thank you Sarah. 146 Crystal Rodriguez 00:57:50.880 --> 00:57:52.120 All right. 147 Crystal Rodriguez 00:57:55.360 --> 00:58:01.720 So I went ahead and I clicked export here and I'm gonna apply my changes and I'm gonna click close. 148 Crystal Rodriguez 00:58:03.040 --> 00:58:23.200 And actually Sarah adding that document reminding me. I do actually have a learner guy that I wanted to add here for you. All. I was gonna make sure to provide that at the end, but it might be helpful now as well. I just added that in the chat and hope thank you for that little explanation as to how your library uses LARS. 149 Crystal Rodriguez 00:58:26.720 --> 00:58:30.360 She having that use case there. 150 Crystal Rodriguez 00:58:31.840 --> 00:58:33.080 All right. 151 Crystal Rodriguez 00:58:37.600 --> 00:58:46.520 So now that I've got all my settings here in batch. I just want to show you a little bit more info and then we'll actually demonstrate doing some batch processing. 152 Crystal Rodriguez 00:58:51.160 --> 00:59:08.960 So, a bit about the batch processing workflow as I mentioned earlier, you can enter Bibly, graphic search keys and you can enter those in the same ways that you can with, when you're working online, so you can use Numeric. 153 Crystal Rodriguez 00:59:09.000 --> 00:59:27.760 Searches keyword drived and, or free searches, and I think this may be answers that previous question, you can also add qualifiers when needed. You have the option of importing a file for searching such as when you have a list of OCLC numbers. 154 Crystal Rodriguez 00:59:29.600 --> 00:59:45.520 And then once you've searched to get back your results, you also do have the option of editing the records offline and you have the option of setting act of some of your set actions such as update holdings, deleting holdings and exporting. 155 Crystal Rodriguez 00:59:48.640 --> 00:59:49.760 Okay. 156 Crystal Rodriguez 00:59:57.600 --> 01:00:16.800 All right, I don't see any additional questions yet. I'll keep an eye out for those Sarah and I will so remember that I mentioned that my library has just received a shipment of books from our local vendor for most of the titles, the vendor provided the OCLC number, however, in a few of the cases I do need to search by is. 157 Crystal Rodriguez 01:00:17.560 --> 01:00:23.560 Or title, so I'm going to do some bad searching and connection. 158 Crystal Rodriguez 01:00:26.400 --> 01:00:36.520 So I'm going to actually before I begin that I want to show you that what I have here is, I created a document. 159 Crystal Rodriguez 01:00:39.140 --> 01:00:51.540 Batch keys with my search keys in that, and so that will show up here in a moment. I just want to kind of point that out. I, I created that as a text file and we'll see that shortly as I proceed. 160 Crystal Rodriguez 01:00:54.980 --> 01:00:56.260 All right. 161 Crystal Rodriguez 01:01:02.660 --> 01:01:23.140 So here that is. So I've got a notepad here, dot TXT file where I've added my batch search keys. what I'm doing the batch searching like this. I do want to have that qualifier, so you'll see here that I've got quite a few number searches, but then I have a ti search and a tiw search as well. 162 Crystal Rodriguez 01:01:27.020 --> 01:01:35.340 Connection's gonna use that file so before you begin doing this search key using an import, you want to have that file ready. 163 Crystal Rodriguez 01:01:40.420 --> 01:01:47.580 So I'm going to make sure that I am offline. I'm gonna log off just realized, I hadn't done that yet. 164 Crystal Rodriguez 01:01:48.780 --> 01:01:53.740 Again, I'm gonna go ahead and go to catalogging search and. 165 Crystal Rodriguez 01:01:56.140 --> 01:01:57.340 I apologize. 166 Crystal Rodriguez 01:01:58.980 --> 01:02:11.900 I'm not doing that because I am working batch. I forgot what I was doing here for a moment. All right, so to do the offline processing, I'm gonna actually click on batch and I want to enter Bibly Graphic search keys. 167 Crystal Rodriguez 01:02:14.140 --> 01:02:34.180 Once again, I need to choose the local file that I want my results to go to, and I can use the drop down to choose that now I can manually enter queries, which I will show that in a moment, but I also have the option of importing and that's where that search file that I just showed you comes into play. So to. 168 Crystal Rodriguez 01:02:34.820 --> 01:02:54.660 I want to make sure that my default index is none, and I'm gonna click import and then I'm going to go to that fault that text file that I created. click on that click open. I get a question. Do I want to delete my original import file? I personally say. 169 Crystal Rodriguez 01:02:54.860 --> 01:02:59.060 Because I know that I'm gonna use that for future sessions. 170 Crystal Rodriguez 01:03:01.100 --> 01:03:21.540 I recommend, firstly, I recommend saying no here because you can always delete it later and in case you have to go back and research anything or you have any errors, then that's saved for you. So I'm gonna click know here and you'll note that my items that were in that file were added into my. 171 Crystal Rodriguez 01:03:24.740 --> 01:03:31.180 So, again, I can search manually as well. So to do that here, I'm gonna go up into these search keys area. 172 Crystal Rodriguez 01:03:32.420 --> 01:03:46.780 And I'm going to change this default index to ISPN or B and I, and I can click B- to get to that. I know that, that is high or ISPN gets me closer to there or I can scroll down. 173 Crystal Rodriguez 01:03:49.700 --> 01:03:52.460 And then I'm going to type in my number. 174 Crystal Rodriguez 01:03:58.020 --> 01:04:02.500 I click add to add that down to my list. 175 Crystal Rodriguez 01:04:05.060 --> 01:04:16.500 Now I also could have left that as not the, the default index as none and just added BN colon here before adding the app. 176 Crystal Rodriguez 01:04:19.780 --> 01:04:38.260 So I'm going to, in this case, I'm actually going to do that. I'm gonna leave this as none the index, the default index is none, and I'm gonna enter in my index of TI Colon and I'm sorry, Ti equals, I'm entering in my search of faith of fathers. 177 Crystal Rodriguez 01:04:40.980 --> 01:04:57.940 I don't want to click anything yet here because I want to add a couple, I want to add a qualifier to this search, so to add the qualifier, you'll see the box a little further down that says apply default world cap qualifiers. I want to check that. 178 Crystal Rodriguez 01:05:00.100 --> 01:05:19.300 And then there should be a space before the qualifiers. So I'm going to add a space at the beginning or I enter my qualifier, so I'm gonna leave a space then I'm gonna add a language qualifier or use the index of LL equal or LL POLAND. 179 Crystal Rodriguez 01:05:20.300 --> 01:05:38.900 For English, and if I wanted to add a second qualifier, such as a material type, I would add another space and then I would use that index of MT type that in and then a space after that just going to use this one for my search here. 180 Crystal Rodriguez 01:05:43.620 --> 01:06:00.260 And then I'm going to go ahead and click save. Oh, I'm sorry, actually I need to click add first notice that it didn't actually by not clicking ad. I didn't get that up here, so I'm gonna go to add and now I see that my search was added into my query. 181 Crystal Rodriguez 01:06:00.340 --> 01:06:01.740 Search box. 182 Crystal Rodriguez 01:06:03.460 --> 01:06:06.380 And I see that a question came in. Let me see that. 183 Crystal Rodriguez 01:06:09.860 --> 01:06:19.220 Okay, oh, okay, I'll get to that in a little bit. That's actually a response to one of the questions that was asked earlier, so I'll make sure to address that. All right. 184 Crystal Rodriguez 01:06:21.380 --> 01:06:25.300 So I'm gonna go ahead and click save now. 185 Crystal Rodriguez 01:06:27.140 --> 01:06:28.700 And then close. 186 Crystal Rodriguez 01:06:31.620 --> 01:06:50.820 All right, so now that I've entered my search keys I want to go ahead and process that batch to do that. I'm going to click on the batch menu again, and now I'm going to click process batch before I do that. I just want to point out a couple of things actually before we continue with the process. 187 Crystal Rodriguez 01:06:51.020 --> 01:07:11.300 It's a pretty fast process. So let me point out a few things here. So as soon as I click process batch, I need to select the local file again, my default is already selected for me. So I, I know that this is the local file that I added those search keys to, or I want to add those search keys to, and then I'm going to. 188 Crystal Rodriguez 01:07:11.500 --> 01:07:31.340 In my case, I'm gonna choose to retain the file selection by doing this in the future. I won't have to select that path every time. So this is useful if maybe I know that for the next week, I'm gonna be working within this same safe file and I don't want to have to select that every time. 189 Crystal Rodriguez 01:07:34.980 --> 01:07:36.100 Okay. 190 Crystal Rodriguez 01:07:39.460 --> 01:07:58.020 And then I'm going to select online searches because that's the process that I want to proceed with in my batch, and I'm gonna click, okay, and this is where I want you to really watch closely because this is a pretty fast process. So I'm gonna click OK and you'll see that connection is searching those quer. 191 Crystal Rodriguez 01:07:58.660 --> 01:08:00.660 That I entered previously. 192 Crystal Rodriguez 01:08:02.500 --> 01:08:05.140 And it's doing all of that offline. 193 Crystal Rodriguez 01:08:07.620 --> 01:08:14.940 Now if I had been logged on and I tried to process that batch connection actually would have automatically logged me off. 194 Crystal Rodriguez 01:08:15.940 --> 01:08:36.420 And when the searching is complete, because I selected it in my back settings, the processing report displays automatically and I can see report showing me the records that we returned and in the case of, for example, my Lepard gecko search, I can see that twenty- eight records were returned, and again, if I, if I had too many, they would. 195 Crystal Rodriguez 01:08:37.700 --> 01:08:56.500 Also pointing out that errors and like the too many records, those things they show up first, so you may have noticed that. I had a typing error and that was on purpose to show you how this error works. So we'll go back and fix that in a moment, but you'll see here in this report. 196 Crystal Rodriguez 01:08:56.900 --> 01:09:03.020 That, that lets me know. Hey, there was a mistake here so I can go back and correct that. 197 Crystal Rodriguez 01:09:05.859 --> 01:09:12.220 I also can print this report as I mentioned earlier if I, if I didn't set it to print automatically. 198 Crystal Rodriguez 01:09:14.180 --> 01:09:31.779 And then I can go back later and like, I can look at this report, but I can only look at the most recent report, but if I need to do that, I would click on batch and then view reports and the type of report. So if I clicked doublegraphic search report, I'm gonna get the same report here. 199 Crystal Rodriguez 01:09:35.299 --> 01:09:39.259 Okay, bear with me. Just one moment. I'm gonna check something else here. 200 Crystal Rodriguez 01:09:45.540 --> 01:09:49.540 Just checking to see if there's any additional questions before I move on. 201 Crystal Rodriguez 01:09:51.940 --> 01:09:57.300 Is there limit to how many batch, how many rows you can search for, in one bat. 202 Crystal Rodriguez 01:09:58.980 --> 01:10:03.300 I don't believe there's, I think you mean how many search keys can you enter? 203 Crystal Rodriguez 01:10:04.740 --> 01:10:20.180 That may be another one that I need to get back on you on, you've all got some good questions for me. I'm pretty confident that there isn't limit, but I, I want to confirm that for sure. So that's one I'm gonna need to confirm and get back with you on. 204 Crystal Rodriguez 01:10:23.300 --> 01:10:24.500 All right. 205 Crystal Rodriguez 01:10:28.420 --> 01:10:46.340 Okay, so I want to go ahead and show that process of correcting that error that I made. So, again, I'm gonna go ahead and go to batch enter bibographic search keys and connection helps me out here because what it does is it leaves just that error. So any. 206 Crystal Rodriguez 01:10:47.220 --> 01:11:08.980 It had an error is gonna be left in my query box, so I can correct that in order to research it again, so I- it's already highlighted if it were not, I would just click on it to highlight it, and then actually I'm going to double click it and by doing that, you see that it pops up into the query. 207 Crystal Rodriguez 01:11:09.620 --> 01:11:13.620 For me to edit, so I'm going to fix my typing error. 208 Crystal Rodriguez 01:11:16.660 --> 01:11:35.860 Because I think I'm going to, and then I can't just add that if I just add it, what's gonna happen is this old one's gonna stay and then it would add a second one. So what I want to do is I actually want to replace now had I just click to add, I could have deleted the other one cause you'll see here that there is the op. 209 Crystal Rodriguez 01:11:35.900 --> 01:11:53.820 Option to delete as well. So I want to search this again. I would just leave it highlighted and click delete. I do also want to go ahead and remove my default world qualifier. This is a good opportunity to point out that because I previously selected that it does remain there until ID selected. 210 Crystal Rodriguez 01:11:56.980 --> 01:12:16.180 So now that I've corrected that search, I'm gonna go ahead and save that and close, and I'm gonna run through that process again of that searching. So I'm gonna click on batch and then process batch. My last selection is selected for me here. I'm gonne online searches. 211 Crystal Rodriguez 01:12:16.820 --> 01:12:18.860 And I'm gonna click, okay. 212 Crystal Rodriguez 01:12:21.300 --> 01:12:40.500 And then this is that opportunity to show you that I get fifty- three records back and because I set it to fifty, I'm getting an error letting me know that too. many records were found. So that's when I would choose to go in and add some qualifiers, then. 213 Crystal Rodriguez 01:12:40.540 --> 01:12:43.980 So that I can then get the records that I want. 214 Crystal Rodriguez 01:12:46.900 --> 01:13:05.460 But I don't want to do that today, so I'm gonna go ahead and just remove that, and I'm gonna leave that search there for now, which I'm gonna go in and remove that again, since I'm not gonna proceed with that. I'm gonna go ahead and just click that and click delete, but before I do that again, if I wanted to, I could click on apply default. 215 Crystal Rodriguez 01:13:06.100 --> 01:13:09.060 World cat qualifiers and adequalifier there. 216 Crystal Rodriguez 01:13:12.500 --> 01:13:16.900 But for today's purposes, I'm just gonna go ahead and remove that. All right. 217 Crystal Rodriguez 01:13:19.540 --> 01:13:30.060 Okay, so then I wanna go ahead and search my local Safile. So again, I can, I'm gonna use the F- three key this time. 218 Crystal Rodriguez 01:13:32.340 --> 01:13:51.540 And that pulls up the box. I'm leaving this blank. So I've got my search box. I'm leaving my search blank. I'm thinking, okay, and here I get back forty- seven results. These are the results from my previous searches and you'll see that some of those are duplicates. So this is that opportunity where you can. 219 Crystal Rodriguez 01:13:51.820 --> 01:14:00.420 Review your results to determine your best match and determine if you want to. 220 Crystal Rodriguez 01:14:02.420 --> 01:14:15.500 Which record you want to edit and move forward with. So you'll, that's why you're seeing some duplicates here. So notice here list the, the Leper geko title, for example, we have quite a few duplicates here. 221 Crystal Rodriguez 01:14:16.500 --> 01:14:36.980 In my library, wants to go and look, you know, I can, I can look here on my results and see the library. The results that are DLC or maybe I need to open up each of the record. I can double click to review that and the same way that when we're working online, we can use window to pin or sorry, we can use the. 222 Crystal Rodriguez 01:14:38.940 --> 01:14:57.460 And then window to do to see different titles side by side, we can do that here as well. Those functionalities are discussed in our first connection class, which is recorded if you want to go back and see how those work, but they do work in this in your local safe file as well. 223 Crystal Rodriguez 01:14:58.740 --> 01:15:17.940 Additionally, once you have several records in your say file, you may want to customize your screen here, so I can, first of all, I can sort. So right now my local safe file is sorted by say file number, if I want to sort by title, I would just click title. 224 Crystal Rodriguez 01:15:17.940 --> 01:15:39.060 And then it's gonna sort alphabetically for me if I want to change it to reverse title, I can click again, and it does that reverse titles it. I also can customize which columns are displayed to do that anywhere within my list. I'm gonna click on, I'm gonna do right. Click. 225 Crystal Rodriguez 01:15:39.700 --> 01:15:46.020 And choose list settings, and here I see all of the different items that are selected. 226 Crystal Rodriguez 01:15:48.020 --> 01:15:50.540 And I want to. 227 Crystal Rodriguez 01:15:52.540 --> 01:16:06.540 Let's say that I don't really need to see the source, so I'm gonna uncheck source and maybe I want to uncheck the label option and the produce option. 228 Crystal Rodriguez 01:16:09.780 --> 01:16:28.340 And then I also can move things around here, So maybe I want to have the held by first, so I'm gonna click on that to highlight it. Not don't click in the checkbox because that'll uncheck it, but click on the word held, and then I just click move up until it's in the position that I want it to be in and. 229 Crystal Rodriguez 01:16:28.380 --> 01:16:48.820 Equally, I can move it down and then if I start making changes and I want to just reset or let's say that for one session, I wanted it one way the next session I don't, I can go ahead and just click reset as well. I'm not gonna do that because I do want to show you what happens when I click on okay, and see how that moved. So you'll see that the held by. 230 Crystal Rodriguez 01:16:48.860 --> 01:16:58.660 Statement area moved over here to the left side of my screen. and some of my columns went away. 231 Crystal Rodriguez 01:17:07.380 --> 01:17:25.300 So now I want to go ahead and make some changes to one of the records I do want to go ahead and open that record to edit. So, again, I think I showed this earlier, but I can double click on one of the titles to open up just that individual record. 232 Crystal Rodriguez 01:17:29.140 --> 01:17:45.780 I also have the option of searching by the local safe file number. So if, when I'm working in here, if I know that, maybe I know that my, I want to look at these records that are held by my library. So let's say I want to. 233 Crystal Rodriguez 01:17:46.100 --> 01:17:56.020 Number eleven, just like before I can go ahead and go open to the search box and I can search number eleven here. 234 Crystal Rodriguez 01:17:59.220 --> 01:18:10.220 I've just pulled that back. It's just gonna pull back that record equally. I can search by an OCLC number. 235 Crystal Rodriguez 01:18:12.660 --> 01:18:16.500 So I'm going to type in my OCLC number in the search box. 236 Crystal Rodriguez 01:18:21.620 --> 01:18:38.260 I guess also put in the title if I want you, but here I'm gonna do by OCLC number and I'm gonna use the drop down and change that to OCLC control number. Okay, and that brings back that record for Silver view for me, and this is the record that I went to edit. 237 Crystal Rodriguez 01:18:38.260 --> 01:18:52.060 So I'm going to go ahead and add a five hundred note. I'm going to scroll down and add that at the end of my record. I'm gonna scroll highlight the last field click enter, and then I can get that field. 238 Crystal Rodriguez 01:18:53.620 --> 01:18:57.340 I'm gonna put in a five hundred title from cover note. 239 Crystal Rodriguez 01:19:01.300 --> 01:19:18.300 And then just like in our editing class here is where I can reformat and that five hundred note is moved into the correct position. I can also validate see if I get any errors on that record. 240 Crystal Rodriguez 01:19:20.500 --> 01:19:23.580 Right there, which I would want to go ahead and correct. 241 Crystal Rodriguez 01:19:29.460 --> 01:19:45.460 So now that I have edited, I also can take action on this record so I can set the holdings or export using the same options as when I'm online catalogging, so I can use. 242 Crystal Rodriguez 01:19:46.100 --> 01:20:00.340 F- eight or I can use the action menu and go to update Holdings or the toolbar to add my holdings. So I'm going to go ahead and do that individually here. I'm gonna go actions holdings and then update holdings. 243 Crystal Rodriguez 01:20:04.020 --> 01:20:20.140 And I didn't, in this case, it actually did not update for me because I would need to correct those errors that popped up earlier. So let me find another record to do that with Oops. The wrong thing. 244 Crystal Rodriguez 01:20:25.780 --> 01:20:26.940 All right. 245 Crystal Rodriguez 01:20:30.260 --> 01:20:48.820 Let me go ahead and even though this one here I already hold it. So what's gonna happen is if I, I can delete my holdings here as well. So I just kind of just want to show you that you can do that individually here also just like with other options, you do have the option of making edits. I'm sorry, taking action. 246 Crystal Rodriguez 01:20:50.020 --> 01:21:10.420 Multiple records doing that either using the shift and click or the control and click you did earlier, so I could click on, for example, maybe I want to add my holdings to different series here. So I want to click on this. 247 Crystal Rodriguez 01:21:10.460 --> 01:21:30.900 First, one of Lepardicko, and then I want to a million hilo monster control for the Leopard Decko, and then I would go ahead and hit actions holdings, update holdings or click f- eight and you can see that those are showing with the R- in the status for ready. 248 Crystal Rodriguez 01:21:34.100 --> 01:21:37.540 I'll show in a moment how we would proceed with that. 249 Crystal Rodriguez 01:21:41.780 --> 01:21:42.900 Okay. 250 Crystal Rodriguez 01:21:44.980 --> 01:22:05.460 Now I've added these statuses here. So now that I've gotten these records ready to process that uphold update holdings in batch. I want to go ahead and search by that. So I can do that a couple different ways going back to my local C- file and open. 251 Crystal Rodriguez 01:22:05.580 --> 01:22:17.740 ING, the whole thing I can actually, once again, just click on update holdings and I'm gonna do that twice and it moves those to the top of my screen to the top of my list. There. 252 Crystal Rodriguez 01:22:18.900 --> 01:22:30.020 And I can do that with other statuses as well. So if I had a delete holdings ready, I could do that there. So just showing that you do have that ability to sort those. 253 Crystal Rodriguez 01:22:36.820 --> 01:22:56.660 And this is gonna go back to a question that was asked earlier about showing that my status again, because let's assume that you didn't set that default or you want to go ahead and set that status again. So to set that default, again, we go to tools options and then click on my status and you would. 254 Crystal Rodriguez 01:22:56.700 --> 01:23:17.140 Check the box for billygraphic records and enter your status in there into the empty box click apply and then click close, but let's say that I didn't do that and I just want to add my status here or maybe for this record, I want a different status, so I'm going to open this record. go to action. 255 Crystal Rodriguez 01:23:17.220 --> 01:23:26.060 Click set status and I'm going to put my colleagues initials in here and click. Okay. 256 Crystal Rodriguez 01:23:27.380 --> 01:23:36.580 And you'll see down at the bottom that my status was changed. So now my colleague's records, but my other records would be my personal status. 257 Crystal Rodriguez 01:23:47.860 --> 01:24:03.860 And then now that I have a few things saved here, I can also search by that status and I can search by the action status. So again, I'm gonna go ahead and just use F- three to open that up. My, I'm opening my search local billographic safe. 258 Crystal Rodriguez 01:24:04.580 --> 01:24:24.340 And to search by my action status, you'll see about midway down the screen here that action status is listed as one of my options, and then I would use the drop down to choose the update holdings ready, and if I click. 259 Crystal Rodriguez 01:24:24.500 --> 01:24:31.140 Okay, only those records that have the updates ready are returned for me. 260 Crystal Rodriguez 01:24:35.220 --> 01:24:53.140 And now that I have those ready to go. I want to go ahead and process that batch. So again, I'm gonna click on batch process batch now it's not necessary to sort first just to, or to search by this. I could have done this at the previous as well. 261 Crystal Rodriguez 01:24:53.780 --> 01:25:13.620 But once again, here I'm going to open up my box, my process batch box and I've got my selection for my local file this time I want to click on the online record actions. This is where if you were gonna export also, if you. 262 Crystal Rodriguez 01:25:13.820 --> 01:25:29.780 In my previous step, I could have chosen the export coming in and then I would choose to process exports here, but I'm gonna do online record actions and I'm gonna go ahead and click. okay. 263 Crystal Rodriguez 01:25:31.540 --> 01:25:38.460 And then I get a report letting me know that the update holdings was added for those four titles. 264 Crystal Rodriguez 01:25:40.500 --> 01:25:47.020 And again, I could go back and look at that report if I needed to, in this case, it would be a big epic record action report. 265 Crystal Rodriguez 01:25:52.020 --> 01:26:02.540 All right, I'm just going to check and see if there's any questions. I don't, I don't see any new ones yet, but I'm gonna take a pause to see if y'all have any, we just kind of went through a whole lot of info. 266 Crystal Rodriguez 01:26:09.300 --> 01:26:10.420 Okay. 267 Crystal Rodriguez 01:26:11.860 --> 01:26:19.260 I don't see anything coming in. So let's go ahead and look at that local safe file once again. 268 Crystal Rodriguez 01:26:21.460 --> 01:26:41.300 So now that I have completed the update holdings process for those titles or no, maybe if it might exporting, I've exported those titles. I want to go ahead and remove them from my local Safile records will not be removed from your local safe file until you do that. So I want to go ahead and highlight those using those same. 269 Crystal Rodriguez 01:26:41.300 --> 01:26:46.340 Same steps that we've used before of using the shift or control. 270 Crystal Rodriguez 01:26:48.340 --> 01:27:08.180 In this case, both, and I'm gonna click on action and delete record. Yes, I want to delete those disappear from my local file. This is also good use of, if you've got all those duplicates and you've decided that your library wants to. 271 Crystal Rodriguez 01:27:08.460 --> 01:27:28.660 This DLC match echo title. I can go ahead and I can actually just click on shift and tab up here in this case to get rid of others, and again, I'm going to click action or to say, yes, I've deleted a bunch of those lab or echo, right? It's there. 272 Crystal Rodriguez 01:27:29.940 --> 01:27:38.180 So it's pretty simple to remove those once you've either process them or decided that you don't need to process those. 273 Crystal Rodriguez 01:27:41.460 --> 01:27:42.580 Okay. 274 Crystal Rodriguez 01:27:45.300 --> 01:28:04.500 Then there's one more common process that is used during back process and that is just managing your holdings by an OCLC number. So you can do this with, by going to the batch and then holdings by OCLC number op. 275 Crystal Rodriguez 01:28:04.820 --> 01:28:08.260 So I'm going to close out of this and I'm gonna show that. 276 Crystal Rodriguez 01:28:10.260 --> 01:28:30.100 Now this is used only if you want to delete or update holdings. Okay, one second I see a question here. Yes, a record. Can the question is, can a record be moved from the local safe file to the online safe file so that it can be s. 277 Crystal Rodriguez 01:28:30.300 --> 01:28:50.580 With colleagues, yes, before I go on to this next step, I will show that. So going back to my online, say file cleaning my search there. So let's say that I've decided that this DLC record is the one I want my colleague to look at. So I'm going to highlight that one. 278 Crystal Rodriguez 01:28:50.620 --> 01:29:11.060 Go to action and then say move record whoops. Nope, sorry that, well this isn't what I wanted to show you, but I will use this to show you that I can move records from one local file to another. So this is, that's the step I would take if I wanted to move that into one of my other save files, sorry about that. 279 Crystal Rodriguez 01:29:17.460 --> 01:29:22.340 It should have given me that option. Bear with me. Just a moment. 280 Crystal Rodriguez 01:29:31.540 --> 01:29:49.460 I apologize, this is something I don't do regularly and I do know that it is possible. I'm just trying to refresh my memory on the steps. There it is Not sure, so what I should see is this option here to save record to local file. I'm into record to. 281 Crystal Rodriguez 01:29:49.500 --> 01:29:51.060 Online file. 282 Crystal Rodriguez 01:29:57.780 --> 01:30:01.900 And I'm not really sure why I'm not seeing that for this record because I should. 283 Crystal Rodriguez 01:30:07.380 --> 01:30:14.060 That being said, I sh- yeah, see I'm not even seeing my buttons. Sorry, one second here. 284 Crystal Rodriguez 01:30:15.060 --> 01:30:35.540 Ah, wait it's been a long day. I thank you for that. You do need to be logged on to do that. So thank you for that. I was like, I know it's, I know it's doable. So that's exactly why it didn't work because I, once again was trying to be offline and the process. 285 Crystal Rodriguez 01:30:35.540 --> 01:30:56.020 Adding into an online say file is online. So, yes, I went ahead and I quickly logged on and now I should see, Yes, so if I go to action and then save record to online file. Thank you Lee for acquiting that out. So now if I click on that, then I get the option and I do see a button that asks me. do I want to. 286 Crystal Rodriguez 01:30:57.340 --> 01:31:17.580 Profile or do I want to delete it from my local file? So I'm gonna say delete cause I don't need it in there anymore and then I get the button letting me know that it was saved to number forty- six, which is a kind of a cool thing to note here as well. Remember when we were doing our online safiles, we removed the record that we saved, so that. 287 Crystal Rodriguez 01:31:18.060 --> 01:31:38.060 Number forty- six available again, and as I mentioned connection saves to the first record available and then I'm gonna go ahead and okay, and then that record went away. Thank you for pointing that out that I missed that stuff. I'm gonna go ahead and log off though because my next demo is. 288 Crystal Rodriguez 01:31:38.740 --> 01:31:42.300 Another batch processing which I do need to be logged off for. 289 Crystal Rodriguez 01:31:44.060 --> 01:32:04.300 Okay, so I want to just manage my holdings using an OCLC number. So, again, I have a list of OCLC numbers that were provided to me. I have added those into a text file and in this text file, I don't need to add. 290 Crystal Rodriguez 01:32:05.580 --> 01:32:15.300 Number sign, because it's because connection just ignores that. So if it's there, it's not going to be a problem, but I don't need to add it. 291 Crystal Rodriguez 01:32:19.020 --> 01:32:29.180 I was just gonna pull that up to show you that fault, so you can see here I have some OCLC numbers and I don't have that numbers there. So those are added into a text file. 292 Crystal Rodriguez 01:32:30.540 --> 01:32:47.260 And that's the first step to being able to proceed with this. So here I'm gonna open the batch menu and I'm going to choose holdings by OCLC number and I want to make sure that I'm going to the. 293 Crystal Rodriguez 01:32:49.100 --> 01:33:08.940 The deck text file. So if I've already show it here, but you would click on browse to navigate to that text file and then add that in and before I click import, I'm gonna click which action I want to take. So I want to go ahead and import these and. 294 Crystal Rodriguez 01:33:09.060 --> 01:33:29.420 Update my holdings and again, I'm asked if I want to save the original file or if I, I mean, if I want to delete it, I'm gonna say I do not want to delete it, and I do have the option of set holdings if already held. I don't need to select that for my processes, but you might for yours, especially if you have a really long li. 295 Crystal Rodriguez 01:33:29.820 --> 01:33:49.900 Maybe you already have copies of that, and you don't want to have to determine that, and again, I also have the option for delete holdings and you may recall from a previous class that produce an update holdings. It just updates holdings. That's a kind of a legacy thing that used to exist, but they, they both do the same thing. So I'm choosing update holdings. 296 Crystal Rodriguez 01:33:49.940 --> 01:34:10.380 And I'm going to click, okay, and you'll see that process here and I get three successful errors. I mean, three successful actions, and then I do get the error that some of my holdings are already set and in my case, that's because I did not check that box had I checked it. They, I would have gotten all of them. 297 Crystal Rodriguez 01:34:11.660 --> 01:34:30.860 So this is a pretty common process used by libraries when they have a list of OCLC numbers and all you need to do is add or delete holdings to good process, if you're waiting, for example, and you've got all your, your list of holdings, now that procedure is appropriate for up to two hundred OCLC numbers at a time. 298 Crystal Rodriguez 01:34:31.500 --> 01:34:50.380 And there is information in the learner guide about that if you want to get some more details on that process as well. All right, I know that's quite a bit of info. We've gone over. I don't see any new questions. There are ques couple of questions that I'm, I apologize. I'm gonna have to get back to you on. 299 Crystal Rodriguez 01:34:51.340 --> 01:35:11.820 In the interest of time, and then also I just want to make sure that I'm giving full correct information and looking for any supporting documentation that you might be able to refer back to later, so I will get back to the attendees with that information as well. So I want to go ahead and shift gears a little. 300 Crystal Rodriguez 01:35:12.500 --> 01:35:17.700 And I'm going to ask you all some questions. Let me get those up for you. 301 Crystal Rodriguez 01:35:23.340 --> 01:35:39.340 Okay, in a moment, here you should be seeing my question launch up. See if it works. I'm trying a new app this time so I want to make sure that works for you all. So you should be seeing Slido and you should see a question. I'm gonna go ahead and bring up. 302 Crystal Rodriguez 01:35:39.460 --> 01:35:59.820 My Powerpoint as well and read that question for you, if you don't see the question, let me know in the chat in either way. I'm gonna go ahead and read it all for you too, And if you have any other questions about what we've gone over, feel free to add those in the chat in the meantime. So my first question for you is which type of. 303 Crystal Rodriguez 01:35:59.900 --> 01:36:06.180 File is required for batch processing. Is it online or local safe file? 304 Crystal Rodriguez 01:36:09.420 --> 01:36:12.220 Now give you all of one or two to answer that. 305 Crystal Rodriguez 01:36:15.820 --> 01:36:20.580 Another way of wording this batch processing might be to say, Offline catalogging. 306 Crystal Rodriguez 01:36:35.700 --> 01:36:53.580 Looks like pretty much everybody had a chance to answer that. So we're gonna go ahead and stop that, and the answer is the local safile. So that's what we were doing The majority of our work in here. So the local safe file is. 307 Crystal Rodriguez 01:36:54.220 --> 01:36:56.460 Required for batch processing. 308 Crystal Rodriguez 01:36:58.700 --> 01:36:59.980 All right. 309 Crystal Rodriguez 01:37:01.900 --> 01:37:05.020 Let me get up my next question for you here. 310 Crystal Rodriguez 01:37:10.860 --> 01:37:26.860 All right, let's see That's coming up for you. and then you should be able to see my slide as well, which of the following is true about the local safe file. You can enter. I'm sorry, you can create multiple looks local save files. You can change the list settings and sort local safe fil. 311 Crystal Rodriguez 01:37:26.940 --> 01:37:44.980 Results, the local safe files are required for batch processing or all of the above, And you can go ahead and use that poll there to provide your answer, just in case anybody's worried, this is anonymous not that anyone should be. 312 Crystal Rodriguez 01:37:49.260 --> 01:37:51.420 It's all in fun, right? 313 Crystal Rodriguez 01:37:53.740 --> 01:38:12.940 All right, I'm seeing quite a few answers coming in. Let's see, looks like just about everybody got a chance to answer even another second or two. Oh, well I guess not, there's your answer. So the answer is all of the above, so you can do all of those things using the local safe file. 314 Crystal Rodriguez 01:38:14.940 --> 01:38:19.780 And we have one more question for you. Let me go ahead and open that pool for you. 315 Crystal Rodriguez 01:38:21.900 --> 01:38:41.020 So, which is a list of actions that can be performed in batch. A is search edit update holdings, delete holdings and Export B is search derive new records, ad fields and C- is search delete holdings and create new records. 316 Crystal Rodriguez 01:38:43.660 --> 01:38:51.500 Oh, it looks like the voting was closed on that one. I'm not really sure what happened. Let me maybe try that one again. 317 Crystal Rodriguez 01:39:00.300 --> 01:39:18.220 Oh, okay, well unfortunately it's not working for you to be able to add that vote there, if you feel comfortable enough, you can send that in the chat or you can send it if, if you want to remain anonymous, you can send it privately to me in the chat and I'll just give it another moment to see if anybody wants to do that. I'm not really sure what happened with that. 318 Crystal Rodriguez 01:39:19.500 --> 01:39:25.860 As I mentioned, this is my first time using this application, so it's probably user error. 319 Crystal Rodriguez 01:39:42.540 --> 01:39:49.340 I'm going to go ahead and see a couple of people putting answers in, So we'll give it a couple minutes. See if anybody else feels confident or feels comfortable doing that. 320 Crystal Rodriguez 01:39:52.140 --> 01:39:53.380 All right. 321 Crystal Rodriguez 01:39:55.340 --> 01:39:59.420 I appreciate you all doing that. I'm sorry for the technical issue. there. 322 Crystal Rodriguez 01:40:03.020 --> 01:40:11.460 Okay, so the answer is a, you can search edit update holdings, delete holdings and export. 323 Crystal Rodriguez 01:40:19.660 --> 01:40:38.860 So that's what the information that I had to present for you today. Please feel free to add any questions as they're coming in. We do still have a little bit of time left in the meantime, if you do have follow- up questions or want to look through our documentation by an additional training or get in contact with our customer support team, you can do that. 324 Crystal Rodriguez 01:40:38.900 --> 01:40:52.260 At our help site at help dot OCLC dot org, and here on my screen, you see that to contact support directly. You should see a link on that website for contacting support in your region. 325 Crystal Rodriguez 01:40:54.860 --> 01:41:14.060 And then I do have one more ask for you all after this session you will be taken to a survey and then we would appreciate your feedback on any feedback You'd like to provide, and if you are watching the recording later on and you want to leave feedback, there will be a link on the site. The regist. 326 Crystal Rodriguez 01:41:15.020 --> 01:41:16.580 That as well. 327 Crystal Rodriguez 01:41:18.180 --> 01:41:20.980 For anyone that's watching that later on. 328 Crystal Rodriguez 01:41:21.980 --> 01:41:33.300 So I'm just waiting to see if there's any questions I might be able to address. I think I might have some information on one of those questions that was asked, see if I can pull that up. 329 Crystal Rodriguez 01:41:47.580 --> 01:42:05.500 Okay, so I'll provide some additional information, but on that question, about the searching the fifty record or how connection search is it kind of depends a lot on your search. So I'll definitely provide some more information follow up on that as well and see what I can find. 330 Crystal Rodriguez 01:42:05.780 --> 01:42:10.940 What documentation I can find about that. All right, I see a question. Did come in. 331 Crystal Rodriguez 01:42:11.900 --> 01:42:27.060 I'll just using Mark Listener impact processing Nicola. I'm not a hundred percent familiar with Mark Listener. Are you referring to like a Z thirty nine fifty or is that. 332 Crystal Rodriguez 01:42:30.620 --> 01:42:32.340 Like a Mark Edit. 333 Crystal Rodriguez 01:42:33.740 --> 01:42:50.940 This may be one that I might have to ask you to contact our support team about just because I'm not familiar with Mark Listener and if you do contact them about that, it would be best if you can provide a little bit more context on like what you're doing in Mark listener. 334 Crystal Rodriguez 01:42:54.980 --> 01:43:05.180 So, yeah, I, I feel like that might be a little harder for me to answer kind of on the spot. So new method for importing records, that's okay. 335 Crystal Rodriguez 01:43:08.220 --> 01:43:20.820 Well, if you have, I mean where it could impact is like if you have a list of OCLC numbers, you would be able to use that the, the method of searching the search keys that we talked about today. 336 Crystal Rodriguez 01:43:22.300 --> 01:43:42.740 And if you're just like importing full records into connection, that's not local Safile. That's a ti entirely different process. So, again, I'm, I might suggest that to get more information on that. I'd suggest that you send a ticket into our support team and just kind of give them a little bit of information about what you're doing now. 337 Crystal Rodriguez 01:43:42.780 --> 01:44:03.260 And like what you would maybe want to do in local files because that's, that's a little specific to your library and your library system, but there is a difference between, I think I'm understanding kind of your question a little bit, but there is a difference between importing a mark record versus importing search. 338 Crystal Rodriguez 01:44:03.580 --> 01:44:19.020 Which is what we showed importing search keys for batch processing. That's what we would do with what we've talked about today, but if you're interested in learning about importing records using connection, that is an option and I would recommend that you reach out to support to get that detail. 339 Crystal Rodriguez 01:44:26.500 --> 01:44:46.140 I'm not seeing any other questions. We do have just so we just have a few more minutes. I'll hang out a bit, but if you don't have anything else for me and you want to head out that's perfectly fine. The information that is on the screen here you do need that when you get that survey, just kind of tells you what my name is again, it's Crystal Rodriguez. 340 Crystal Rodriguez 01:44:46.380 --> 01:45:07.260 And that this is connection for save files and batch processing. I think a lot of you are signed up for my fifth class, which is gonna be in a few weeks here in mid February and that is on automation and customization that one goes over Mark Macros and things like that using some of the toolbar tools stuff like that. 341 Crystal Rodriguez 01:45:07.260 --> 01:45:21.500 And then our six class is going to be in March and that's on authority control. So I'm sure I'll see some of you there. I'm seeing lots of thank you, thank you all. Thank you for your time. And for your great questions. 342 Crystal Rodriguez 01:45:34.140 --> 01:45:43.100 All right, so Subsea and lots of thank yous and stopping out. I think I'm just gonna go ahead and close the session, but again, if you have any follow- up questions, you can reach out to us.
